Workplace Challenge
In 2010, a leading healthcare and not-for-profit health plan provider based in Oakland,
California implemented a managed print services (MPS) program to reduce printer,
consumables and maintenance costs. Initially the program achieved its cost reduction
goals, but just a few years later, the organization wanted to reevaluate its options.
The reason? The inability to procure any of the related consumables through a
diversity partner. For years, this large healthcare provider had maintained a significant
focus on diversity spend, ultimately with the intention of becoming a member of the
Billion Dollar Roundtable—created in 2001 to recognize and celebrate corporations
that achieve spending levels of at least $1 billion with minority and woman-owned
suppliers, and promote and share best practices in supply chain diversity excellence.
It was time for this healthcare organization to streamline the toner fulfillment process
with a diversity solution.

Healthcare // Case Study
Under the new program:
•	 The MPS software continues to generate automated alerts
regarding consumables, avoiding the need for manual
order placing.
•	 The MPS vendor then routes the consumables order to
OfficeMax’s distribution centers, to be consolidated with all
other office supplies orders shipped to the customer on a
daily basis.
•	 Supplies are delivered directly to the device requiring the
consumables rather than merely being dropped off at a
local delivery dock.
•	 Through OfficeMax’s reverse logistics program, empty
cartridges are captured and recycled as part of the office
supplies deliveries instead of being sent to a landfill.
•	 OfficeMax’s diversity partner provides a detailed invoice
directly to the customer, broken out by cost center and
printer device.
OfficeMax’s toner fulfillment program is quality-tested and
guaranteed to ensure print quality and page yield of the
national brand cartridges; environmentally responsible; and
cost-effective. In addition, the selection is unparalleled—
with over 275 models of cartridges plus maintenance kits
compatible with nearly 20 leading manufacturers.
Workplace Results
Thanks to the single source solution for MPS consumables
and office supplies from OfficeMax Workplace, this health
care organization is realizing benefits on three important levels:
Efficiency
	Simplified the delivery process through the use of desktop
delivery, increasing employee efficiency and reducing
the amount of effort required by the customer’s receiving
personnel.
	Reduced cartridge delivery time from 1–10 days to next
day directly to the device.

down to one supplier.
