MainManager is a comprehensive Computer Aided Facilities Management
system (CAFM) and is used in more than 30,000 buildings across Europe.
We offer flexible, efficient and user-friendly solutions, tailor made to fit the
need of the property manager.
For more than 20 years we have been focusing on the optimisation of
operations and maintenance. The solution has since been refined and
developed in close cooperation with our customers and is now in use with
some of the leading Facilities Management organisations in Europe.
The use of MainManager has been shown to yield 10 to 30 percent reductions
in operational costs. This cost reduction is achieved by improving the
efficiency of working practices, methods and processes.

MainManager - the learning process

The creation and execution of annual budget plans is central to all
companies and public institutions.
MainManager‘s Maintenance module makes it possible to:
AA Manage maintenance plans
AA Issue work orders
AA Allocate manpower
AA View the budget allocated and its status
AA Evaluate the expenses and condition of a property in previous years
It is standard practice to examine the property‘s history before the plans
can be created. The following aspects need to be taken into account and
viewed, for each respective property:
AA Tasks
AA Work orders
AA Incidents
AA Building inspection results
AA Cost estimations
AA Actual cost
This gives the user an overview of each property´s history and condition
and provides all the information needed to start creating the plans.
Once the plan has been approved the amount of funding allocated to each
property is established. This amount can then be divided between tasks
and work orders on the given property.
Preventative Maintenance
A budget is created on a yearly basis and can be divided into months,
giving the user a good overview of expected outlay. MainManager makes
it possible to monitor the cost figures for work orders, tasks, buildings,
floors, rooms, sites, site groups and the overall plan so that expenses do
not exceed the budget.
All previous jobs and expenses are easily viewable, facilitating cost
estimates for new jobs. Work orders are issued for tasks and their cost
is estimated (allocated funds). The project manager can at all times view
the funds allocated and remaining funds without waiting for cost to be
registered by accounts. All figures for actual costs can be obtained from
accounts as required.
As cost is collected from building parts, benchmarking data is gradually
created for the operating and maintenance costs, which in turn can be
used for the future planning and assessment of operating costs for new and
existing buildings. The summary in Task handling shows estimated costs
for the property in question, the property group and the overall plan, giving
a good overview of the status of the plan, allocated funds and actual costs.

More and more institutions and companies have been setting up helpdesks to collect
incidents (suggestions, requests and complaints) from their internal and external
customers.
Both private companies and public institutions need to have access to all incidents and work
orders created by building staff, building supervisors or the general public. MainManager
makes this possible by allowing incidents to be registered directly into MainManager
through:
AA a browser,
AA an app or
AA E-mail, or
AA from a building management system or
AA an energy monitoring/measurement system
MainManager also makes it easy to manage or create work orders from these incidents
and assign them to in-house technicians or external service providers.
Helpdesk
Space management
Space Management is a set of processes which include information, statistics and re-
ports on building geometry and open areas.
Because physical space in buildings is costly, it is important to control the usage of all
areas as effectively as possible. In MainManager it is possible to:

floors, rooms, open areas and streets manually or by importing them to

For this reason, MainManager has always emphasized rapid access to
information, requiring as few mouse clicks as possible.

In MainManager the input data can be converted into KPI reports, making
it possible to view developments and trends in real time, through graphs
and lists, providing a snapshot of the current performance.

MainManager‘s project management module
was developed in close cooperation with
customers with extensive experience in
property management and is based on proven
project management diciplines.
Questionnaires
It is possible to link questionnaires to work
orders and deviations. They can then be
sent to different parties in order to gather
information on a specific topic. They can
for example be used to measure customer
satisfaction or to find out why a particular
malfunction has occurred.Process Portals
Some processes contain portals with informa-
tion on specific topics, such as:

These portals allow specialist property
inspectors to monitor and plan the operation
and maintenance in relation to each of
these aspects in a stand-alone environment.

account in the planning phase.
BIM Integration
When a BIM model is ready it‘s data can be
imported into MainManager. When the data
has been imported a 3D representation of the
BIM model is visible within the MainManager
application.
Interactive drawings
MainManager makes it possible to register and
locate information through GIS (Geographic
information system) maps and CAD drawings.
Lifecycle Modeling
The LCC model is based on defined condi-
tion levels and priorities. When they are met,
MainManager can calculate the expected cost
for maintenance of a given object.
If financial resources have been allocated to
the maintenance of an object, MainManager
can calculate whether the predefined goals for
condition levels can be met or not.

Today´s users expect to be able to work on different equipment. They
may want to perform a task on the go: create work orders on their
phones, view their tasks through their laptops, take a picture of the
property and attach it directly to a file or task, etc.

We offer flexible, efficient and user-friendly solutions, tailor made to fit the need of the property manager. For more than 20 years we have been focusing on the optimisation of operations and maintenance. The solution has since been refined and developed in close cooperation with our customers and is now in use with some of the leading Facilities Management organisations in Europe. The use of MainManager has been shown to yield 10 to 30 percent reductions in operational costs. This cost reduction is achieved by improving the efficiency of working practices, methods and processes. MainManager gives you the tools to: AA Manage projects and service contracts centrally AA Breakdown costs between departments to improve cost awareness across the organisation AA Create an annual budget plan for your portfolio AA Build and refine your annual budget plan using condition surveys or audits AA Make work more efficient through resource and budget prioritization AA Issue work orders for all projects, enabling comprehensive cost monitoring AA Generate performance benchmarks for each support service AA Improve internal task handling using electronic work methods and reducing paper use Introduction
  • 4. 4 MainManager - the learning process
  • 5. 5 The creation and execution of annual budget plans is central to all companies and public institutions. MainManager‘s Maintenance module makes it possible to: AA Manage maintenance plans AA Issue work orders AA Allocate manpower AA View the budget allocated and its status AA Evaluate the expenses and condition of a property in previous years It is standard practice to examine the property‘s history before the plans can be created. The following aspects need to be taken into account and viewed, for each respective property: AA Tasks AA Work orders AA Incidents AA Building inspection results AA Cost estimations AA Actual cost This gives the user an overview of each property´s history and condition and provides all the information needed to start creating the plans. Once the plan has been approved the amount of funding allocated to each property is established. This amount can then be divided between tasks and work orders on the given property. Preventative Maintenance A budget is created on a yearly basis and can be divided into months, giving the user a good overview of expected outlay. MainManager makes it possible to monitor the cost figures for work orders, tasks, buildings, floors, rooms, sites, site groups and the overall plan so that expenses do not exceed the budget. All previous jobs and expenses are easily viewable, facilitating cost estimates for new jobs. Work orders are issued for tasks and their cost is estimated (allocated funds). The project manager can at all times view the funds allocated and remaining funds without waiting for cost to be registered by accounts. All figures for actual costs can be obtained from accounts as required. As cost is collected from building parts, benchmarking data is gradually created for the operating and maintenance costs, which in turn can be used for the future planning and assessment of operating costs for new and existing buildings. The summary in Task handling shows estimated costs for the property in question, the property group and the overall plan, giving a good overview of the status of the plan, allocated funds and actual costs.   • 6. 6 More and more institutions and companies have been setting up helpdesks to collect incidents (suggestions, requests and complaints) from their internal and external customers. Both private companies and public institutions need to have access to all incidents and work orders created by building staff, building supervisors or the general public. MainManager makes this possible by allowing incidents to be registered directly into MainManager through: AA a browser, AA an app or AA E-mail, or AA from a building management system or AA an energy monitoring/measurement system MainManager also makes it easy to manage or create work orders from these incidents and assign them to in-house technicians or external service providers. Helpdesk Space management Space Management is a set of processes which include information, statistics and re- ports on building geometry and open areas. Because physical space in buildings is costly, it is important to control the usage of all areas as effectively as possible. In MainManager it is possible to: AA Manage space utilization AA Allocate space AA Record key information related to usage AA Get an overview of the usage AA Monitor leased areas and lessees AA Get an overview and keep track of unused spaces AA Calculate rents AA Manage measurements AA Import and manage interactive drawings of a property
  • 7. Asset management 7 MainManager has an extensive and flexible system for asset registration and asset management, giving the user the possibility of registering a variety of assets. AA Sites AA Buildings or parts of buildings AA Floors AA Rooms AA Open areas AA Streets AA Technical systems Technical systems or parts of them can be connected to buildings, floors, rooms, open areas and streets manually or by importing them to MainManager as interactive drawings or BIM models. Many types of information on the assets need to be available during daily operation. This information is connected to the relevant assets within MainManager so that the user can easily access it. This includes information such as: AA Work orders AA Plans AA Documents (pictures, technical drawings, documents) AA Incidents AA Inspection history AA Cost AA Contracts AA System quantities AA Risk assessments AA Etc When managing multiple properties spread over large estates or geographic regions it is vital to have access to correct information as quickly as possible. For this reason, MainManager has always emphasized rapid access to information, requiring as few mouse clicks as possible.
  • 8. 8 For a company to perform well it is imperative to set measurable goals at each level within the company. In MainManager the input data can be converted into KPI reports, making it possible to view developments and trends in real time, through graphs and lists, providing a snapshot of the current performance. MainManager is also an excellent management tool when used in conjunction with a balanced scorecard approach. MainManager provides analytical monitoring results for: AA Departments AA Employees AA Service providers AA Equipment AA Systems MainManager‘s energy module is a portfolio-level Energy Management System (EnMS). It enables you to manage and monitor your portfolio‘s energy efficiency and consumption efficiently, helping to minimise both your costs and environmental footprint. MainManager provides you with advanced monitoring and analytical features, such as: AA Portfolio energy usage comparison (kWh/m2 ) AA Multiyear consumption development AA Consumption profiles (hour, day, week, month, year) AA Degree-day correction AA Submetering AA Energy zones AA Reference profiles AA Energy temperature charts (ET charts) AA CO2 , SO2 and NOX footprints These features help you detect excess consumption and identify energy performance improvement opportunities. Meter readings can either be imported automatically from an available data source or entered manually via a browser or smart phone.   • 10. 10 Additional modules in MainManager Project Management MainManager‘s project management module was developed in close cooperation with customers with extensive experience in property management and is based on proven project management diciplines. Questionnaires It is possible to link questionnaires to work orders and deviations. They can then be sent to different parties in order to gather information on a specific topic. They can for example be used to measure customer satisfaction or to find out why a particular malfunction has occurred.Process Portals Some processes contain portals with informa- tion on specific topics, such as: AA Fire prevention AA Universal Access (DDA) AA Health & safety AA Environment AA Historic importance These portals allow specialist property inspectors to monitor and plan the operation and maintenance in relation to each of these aspects in a stand-alone environment. Information from portals is also available through the MainManager interface. It is possible to carry out a risk analysis for each of these categories, which can then be taken into account in the planning phase. BIM Integration When a BIM model is ready it‘s data can be imported into MainManager. When the data has been imported a 3D representation of the BIM model is visible within the MainManager application. Interactive drawings MainManager makes it possible to register and locate information through GIS (Geographic information system) maps and CAD drawings. Lifecycle Modeling The LCC model is based on defined condi- tion levels and priorities. When they are met, MainManager can calculate the expected cost for maintenance of a given object. If financial resources have been allocated to the maintenance of an object, MainManager can calculate whether the predefined goals for condition levels can be met or not. City Direct MainManager uses the latest technology to provide cities and local authorities with the opportunity to promote local democracy, engage citizens and give the public a voice in local decisions.

They may want to perform a task on the go: create work orders on their phones, view their tasks through their laptops, take a picture of the property and attach it directly to a file or task, etc. MainManager mobility: AA MainManager is web-based AA Accessable everywhere – on smartphones, tablets and pc computers – with an internet connection and offline through apps AA Information available on the go AA Apps available a wide range of devices MainManager promotes mobility to improve ways of working. With mobility, technicians can receive their work orders in the field, spend more time working, reduce unrequired transit time and process work orders on the devices which reduces paper usage, printer consumables etc. Our mobile technology lets technicians view more relevant data. As a result of this increased access, technicians are better prepared to service assets when they require maintenance, repair or inspections. Technical information A solution that fits in the palm of your hand MainManager was developed with the latest .NET technology from Microsoft and runs on Microsoft SQL Server. As the software is web based, it is accessible anywhere and anytime – via smartphones, tablets or PC‘s.
