4. Background and history of the company
There’s different type of tiles which are ceramic & porcelain tiles. This tiles are classified
as an inorganic material which does not have any metallic materials that revolves around us.
Tiles can be used on both walls and floors.
As a group of 6 from a quantity surveying company, we have been exposed to different
type of tiles and other building materials. From our understanding and exposure on site, we
realized that tiles are widely used and a lot of building uses tiles more often than other building
materials.
5 years after the global financial crisis that happened in 2008, we decided to work
alongside each other to open a company called Versace Flooring Sdn. Bhd. that sell & design
tiles in 2013 which collaborated with Versace, the fashion brand company from Italy.
The company started off small with one branch and grew successfully and sell tiles
within Kuala Lumpur. As the company grew bigger with reaching the sales of RM 60,000 /
monthly, Versace Flooring Sdn. Bhd. Open up more branches around Malaysia and outside
Malaysia. Our target customers are high level of the society that could afford the tiles under
collaboration with Versace, at the same time we still produce other tiles with ordinary design.

6. Organizational Structure / Chart
Our company use a divisional structure, also called a product structure, break our organization
down into a number of self-contained divisions. A self-contained division is a collection of
functions that work together to produce a product and develop a strategy to compete. This two
divisions are created according to the type of products produced which are porcelain and
ceramic.
5
7. Due to the divisional structure is based on an extensive delegation of authority, the
performance of each division can be measured directly. This approach makes it much easier to
assign responsibility for actions and results. In particular, a division is run by its own
management group, which looks out for the best interests of the division.
Other than that ,the divisional structure works well in markets where there is a great deal of
competition, where local managers can quickly shift the direction of their businesses to respond
to changes in local conditions.Even though set up a complete set of functions within each
division, there are likely to be more employees in total than would be the case if the business had
instead been organized under a purely functional structure and more overhead cost to the
business yet this approach allows for an improved adaptation and implementation of overall
business strategies that better fit the demands of the local market.

narrow down applicants in the candidates selection process .
Thus , HR representative will only shortlist the qualified candidates that has a good match for the
management trainee position .
Telephone Interview
After the HR representative finish the list of interviewee who meet the selection criteria, they can
start to contact them and having a short conversation with them.Normally, they will using
telephone to contact them and having telephone interview with interviewees. This is considered
the initial stage of interview. With the telephone interview there may not be direct/face to face
contact between the employer/HR representative and potential employee, however, the
expectations are still there. Telephone interviews are scheduled and questions are generally
prepared in advance.Basically, the questions asking during telephone interview is simpler and
easy compare with video interview which is the second stage of interview but still important for
the position they apply and it can be answer within fews minute or lesser.
Therefore, the human resource management representatives would start of with interviewee
personalities, career goals to be achieved ,and also job preferences. This is to allow them to know
more about the interviewee rather than justifying them from their resume. At the same time, they
will make appointment with all the interviewees for next stage which is video interview.
20
22. Some of the telephone interview questions can be :
1.Are you willing to travel?
This is because our company having others branch at different states or overseas and sometimes
manager also need to visit the manufacturer to ensure the product’s quality.
2.Work history questions
The questions is included name of company interviewee working before , job title and job
description, dates of employment. This can help the HR representative understand the
interviewee’s working experience hastily.
3. What are your salary expectations?
This question can help both interviewer and interviewee understand both salary expectation for
this position and thinking carefully is the interviewee/himself suitable for the position or not.
2.Video Interview
Nowadays , technology in the world is getting more advance . Thus , many companies are
utilizing video interviewing to facilitate the interview process . Video Interview is a job
interview takes place remotely and uses video technology as the communication medium and it
is also the future of recruiting method .It allows hiring management trainees to conduct first
round interview before proceeding to the next round.
There are two main types of video interviews which is synchronous and
asynchronous.Synchronous interviews are conducted live over the internet with both the
interviewer and the interviewee in attendance. In contrast, asynchronous video interviews are
recorded by the job seeker at a time convenient to them. Typically, the applicant responds to
questions displayed by the video interview platform. The hiring manager is not present for the
interview.
21
23. In addition, the options of video interview software can be classified into two, company or HR
representative can choose to conduct an online interview using popular, consumer-grade video
platforms, such as Skype or Facetime. This is the least expensive approach and is generally easy
to set up.On the contrary, the drawback is that the HR representative cannot record and review
the video interview.
The another main option is to use specialized video interviewing software such as Spark Hire
and HireVue.There is a lot special features or advantages for these type of video interviewing
software. But one of the drawback is required funds/relatively high capital to purchase/utilized it
for the hiring process.
Spark Hire
Spark Hire is a cloud-based video interviewing platform with options for one-way pre-recorded
interviews or live interviews. And there is other features include collaboration tools to comment,
rate and share interviews with others on the hiring team. All interviews (live or pre-recorded) can
be played back at any time to review a candidate’s responses.Interviewee and company
representative both parties can leave a comment under the video for opinion or review. To those
users who are interested to get a job from some particular companies, they can share their pre
recorded interview to the hiring team and they can also tagged some related terms/words under
their video to seek attention.Spark Hire also includes a mobile app for iOS and Android devices
so that applicants can do their interviews on the go.
HireVue
HireVue is a video intelligence for interviews which developed in conjunction with some of the
leading industrial-organizational (IO) psychologist. This software uses proprietary machine
learning algorithms and analyze data points found in the video interview to predicts the
interviewee future job performance. The data this system/software analyze including facial
expressions, eye-movements, body movements, details of clothes to help the company make
22
24. better hiring decisions and also avoid unconscious or intended bias such as affinity bias, gender
bias, school bias and racial bias during the selection process at the same time.
Our company choose synchronous because we can get the most veracity reaction and answer
from interviewees. And the video interview also is not editable compare with asynchronous so the
HR representative can understand and evaluate them accurately.
And we choose to use specialized video interviewing software which is Spark Hire and HireVue
in our video interview stage since our company having high capital and also because these
software can help us analyze all those interviewees, avoid HR representative bias and make a
better decisions.
Advantages of Video Interview :
1. Improve performance tracking
As much as a HR representative tries to ask the same questions of each candidate, it can be easy
to forget to cover a particular point or to go off track. After implementing video interviews into
their hiring process, the HR representative can take a look at those top interviewees and see if
their video responses had anything in common and also make a comparison with others
interviewee to choose the best one.
2.Create a convenient interview experience for passive candidates
Some of the interviewees may be is passive candidates or having introversion personality
but with excellent performance on working or academic.Having video interview can help them to
having interview at some comfortable and familiar environment such as their own
house. Therefore, they might having better performance during interview.
23
25. 3. See the candidate’s command over technology
Regardless of the position for which you’re hiring, you inevitably want the person who fills the
role to have some degree of understanding about technology. In a subtle way, video interviewing
software enables you to gauge their level of familiarity with an understanding of technology right
off the bat.
4.Save the candidate from transportation headaches
Video interview can help some interviewees avoid driving all over town, or even to another
town, just for a fews hour face to face interview.Offering a video interview screening
demonstrates that you respect the candidate’s time and resources as well.
This type of interview can be as short as 20 to 30 minutes so it can be carried out quickly and
efficiently . Due to the fact that this is a pre-screening stage , interviewer will be able to quickly
eliminate or exclude less desirable candidates . Besides that , it is also a cost effective method .
Video interviewing allows candidates from other part of the world to meet the interviewer
face-to-face virtually ,anywhere and any time . Hence , interviewee does not need to spend on
transportation cost and we won’t missed all those excellent interviewee due to transportation
reason.
Video Interview Questions
1.Tell me about yourself .
This is the most common interview question being asked . “ Tell me about yourself” does not
necessary means telling everything but rather candidates presenting themselves in the best
possible manner on what makes them as a candidate to stand out among the other candidates .
The best way to approach this question is by giving an overview about education qualification ,
pass or best achievements , any internship experience and personal career goals .From here , the
interviewer can start to observe the candidate’s personalities and whether they are the right
person to handle this position .
24
26. 2. What are your long term career goals ?
The interviewer is eager to know how ambitious the candidate is and whether the goal mentioned
is achievable or unrealistic. There is actually no right answer to this question as this question
enables the interviewer to determine whether the candidate’s goal is a perfect match to their
vision , mission and value statement of the organization .Interviewer also will based on
candidate’s goal to determine whether he or she will be the best fit for the job position . Besides ,
interviewer would like to find out what are the candidate’s strengths that could help them
achieve the goal as well as weaknesses that might be an obstacle to reach the goal . Candidates
should view their weaknesses positively and transform it into strength .
From there , the interviewer can judge whether the candidate is an optimistic or a pessimistic
person .
3. What do you know about our company ?
This question actually reflects whether the candidate did some research in advance about the
company that he or she is applying .The candidate should know the company’s vision and
mission after doing a thorough research about it . They should be able to present some basic
information about the company such as how long this company has involved in this industry and
etc . The response from the candidate will enable interviewer to determine whether this candidate
is passionate to work for their company .Hence , if the candidate failed to give any knowledge
about the organization , this will indicate that he or she is not interested or committed to the
application .
4. What are your greatest strength and greatest weaknesses ?
A good candidate should always be prepared with at least 3 strengths and 3 weaknesses .
Since the company is searching for a candidate who has the skills and ability to manage the
organization , it is important that suitable candidate will be employed to put their strengths in
good use for the company . Candidate should not be shy to review their attributes as this enable
25
27. interviewer to judge what is the qualities from you that other candidates do not have .For
example , candidate whom knows that he or she has good time management skills then this will
be an advantage for to get a job offer .If a candidate is not really sure about their strength , he or
she can always approach friends , family and any previous coworkers .Anyways , candidate
should be prepared with examples that illustrate their strengths in contributing for the job

environment , no one can escape from internal conflict between employees .Hence , candidates

whether candidates are willing to listen to others opinions ( even if you think it is wrong )
.Candidates should answer this question by thinking of a scenario where someone in the past has
not only critique about your decision , but also when you disagree with that critique . Candidates

for the candidates to impress the interviewer . If the candidates answered “ No , I have already
got all my answers” ,it would reflect that the candidates are not interested to know more about
what to expect in this job position. Therefore , candidates should always come prepared with a
few questions to ask at the end of the interview . However , the questions should be relevant to
the interviewer. This is the time whereby candidates can leave a good impression that he or she is
someone who is capable to take this management trainee position . The ones who leave the best

28
30. 3.Group Assessment
Leaderless Group Discussion
Leaderless Group Discussion ( LGD ) is a highly effective method to distinguish those who
desire to rule from those who desire to lead , and those who value only their own opinions
exclusively from those who are open and accept ideas of others .
Group discussion usually involves 6 to 12 candidates and 3 to 4 assessors . The assessors are
positioned so that they can clearly see the candidates assigned to them for the entire session .
Then , a group of candidates might be given a case study brief , for example , Ceramic Tile
Design: a Case Study of Collaborative New-Product Development in Fashion-Driven Chains .
From there , they would need to cooperate and make a decision acceptable to all within the time
limit( 15 to 20 minutes ) .
First , each candidate is required to read through the case and take notes before discussing it with
the others . During the discussion process , there will be a few assessor observing and evaluate
each candidate . These assessor are not searching for a candidate that can make a good decision
but rather how these candidates work as a team whereby everyone shares their own input and
ideas . Assessors are more keen to find candidate who acquires skills in contributing instead of
dominating .The assessors document everything they hear and observe about each person’s
behaviour . If a candidate is an introvert person who is shy to give ideas , he or she should try
their best to participate as a team . Besides that , every candidate should respect others by
actively listening and not interrupting when they are giving own ideas as this will gain both
assessors’ appreciation and other group member’s gratitude .The assessors will observe the
situation , meanwhile , measures interpersonal skills ( teamwork , problem solving skills , group
leadership and etc . ) of each candidate .
29
31. Finally , all candidates have to compromise everyone’s thoughts and make a final decision
whether organization that develop new tile products under rapidly changing in fashion trends ,
technological or market conditions deserve special attention .Upon completing the group
exercise , each assessor will review the information they have recorded against the desired
behaviour . The assessors then discuss and make a decision whether the candidates is the right
person for the role of a management trainee . Hence , leaderless group discussion actually
evaluates group interaction skills which are known to be vital to success in managerial position .
Common behaviours that are assessed includes :
1. Team work – it is something that a candidates need to show how they work with
individuals and teams, support others, and allow others an opportunity to express their
opinion on an issue. It is important to remember not to confuse ‘Influencing’ with ‘Team
Working’ as it is highly unlikely that both of these will be assessed during a single
exercise.
2. Communication – candidates need to show how they deliver instructions , how their
body language help them to have better communication and how they respect others
when they are expressing their thoughts . Candidates should listen to others attentively
and acknowledge this through nods and gestures of agreement .
3. Analysing & Interpreting – candidates show how they collect ,analyse and interpret the
facts and data, focus on the most important element of the problems or issue and then
draw a conclusion based on the data collected .
4. Influencing –candidates abilities to persuade others , get others’ buy-in to their ideas, or
direct others’ behaviour.
30
32. 5. Time management - times is the essence . Hence ,during the group discussion ,
candidate should show how well they keep track of the time and provide regular
information updates throughout the discussion . There is nothing worse than the session
running out of time.
6. Managing Conflicts Effectively -candidates should avoid confrontation and allow
everyone an opportunity to speak up . If someone is your group is consistently rude or
aggressive and does not care about others’ feeling , candidates should not resort this
behaviour themselves . Also , they should always avoid being forceful or speaking over
anybody .
4.E-tray Exercise
What is E-tray Exercise ?
E-tray exercises is a test of your ability to deal with a real work scenario and it actually same
with in-tray exercise but it have to done on computer. We will simulate a work place and position
relevant scenario used to assess the aptitude of potential employees in this e-tray exercise as part
of the selection process.Interviewee will be presented with a business-related scenario,
accompanied by a list of related tasks. The assumed position of the interviewee in the exercise
will be a managerial role, and possibly even senior management. We will provide them relevant
background data to the exercise such as memos, newspaper clippings and abstracts which will be
required or using at some stage in the exercise. In addition, those potential employees will be
asked to work through it within a time limit.
Difference between In tray Exercise and E-tray Exercise
In tray exercise and E-tray exercise their principles is just the same but due to the technology
improvement nowadays there is a lot of company change the In tray exercise to E-tray exercise.
31
33. Basically In tray exercise is paper based and provided by hard copies of the document and E-tray
exercise is computer based, all document is online copies and send thru email inbox to the
interviewee.
How we using E-tray exercise to choose the most suitable interviewee in the Selection
Process
Normally the scenario will be set,for example: it is Monday morning and the work has piled up
and you have to prioritise your tasks because you have only two hours to finish all your task
before proceed to an important meeting. You should put all the works in order of priority for
action and then explain what type of action is required and how you will deal with each
situation. You'll work at a computer and deal with a series of emails and files, and done your task
on screen. The emails and files are likely to include a mix of requests, memos, phone messages
and information of our company and job.Besides,we will provide some supporting informations
so the interviewee should take note of it.
This could give the potential employees/management trainees a feel for how staff within our
company would typically interact with customers, manufacturer and other employees.
Why do our company choose to use e-tray exercises?
● Test the interviewee’s command over technology
● Test their time/task management skill
● Show their ability of planning and organising
● Problem solving
● Show their analytical skills
● Decision making ability
● Resilience and adaptability
● Attention to detail
32
34. There is a lot of reason why we choose to use e-tray exercise in one of our stage of select
management trainee process.
One of the reason we choose e-tray exercise other than in tray exercise is because it can test the
interviewee’s command over technology. Those interviewees who can perform well in the
exercise show that they have some degree of understanding about technology. It enables to gauge
their level of familiarity with an understanding of technology.
Moreover,we can test their time/task management skill also because to complete the exercise
within the time limit you should have good ability to manage their time and ability to priortize
the task .
And also ability of planning and organising can be tested, the interviewee should know how to
prioritising the right task, understanding what affect what, ability to deal with tasks within time
frame(we only given 2 hours to complete all the works/tasks), manage diary clashes.
E-tray exercise can also show how the interviewee solve the problem based on the
objectives, managing resource constraints, other barriers, assessing problems or conflicts between
tasks.
Besides, since we only given 2 hours to complete the exercise, the interviewee should know how
to analyze/evaluate the relative importance or urgency works to be complete and making
accurate and quick decision within certain time limit.Giving certain time limit to them is the best
chance to see how well they are to cope with the pressure, adapt to changes and how they use
initiative to achieve the desired outcome.
Last but not least,if the interviewee is careful they will pay attention/take note in the supporting
informations we provided to avoid mistake or help to accelerate the work performance.
33
35. 5.Personality Test
Myers Briggs Test Indicator (MBTI)
History Background
Myers Briggs Test Indicator is a personality test that was developed by Katharine Cook Briggs
and her daughter Isabel Briggs Myers . The test development occurred in the 1940s and was
developed based on psychological research performed by Carl Jung in the 1920s . The test is
carried out based on a list of questions that collect information of how a person normally
responds or relates to different situations
The purpose of this MBTI is helping a candidate to have more understanding about themselves
and enhance their personal development . For your information , there will be no perfect
combinations as all sixteen types of combination represent different personalities .Therefore
,human resource management people can use Myers Briggs Test indicator to know more about
the candidate .This will facilitate their search for the right candidate to be selected as a
management trainee .
The human resource management people will asked all the candidates to take the online MBTI
test. After the candidate had answered the questions , they will be calculated to determine the
candidate’s individual personality type . Hence, human resource management people are able to
acquire important insights of each candidate by understanding personality of a person such as
optimal career choice and path to personal growth .
An MBTI personality test is formed from 4 couples of 2 preferences being oppose
(Extraversion-Introversion , Sensation-Intuition, Thought-Feeling , Perception-Judgement) that
results in combination of 4 alphabets indicating the preferences that match a candidate’s
34
36. personality the most . Everyone has 8 preferences , but we use them at various degree . Hence ,
the type is composed of the ones with use the most .
Extraversion (E)
Extroverts are the type of person who is energized when in the company of other people , unlike
Introverts who are usually quiet ,reserved and prefer to be alone . Extroverts prefer speaking
from their point of view and thrive in social situations . They are usually popular and well-liked
by people around them .In the event of not having company with others for too long will result in
feeling down and drained .Thus, this character of person will be able to socialize with their
colleagues in our company that increase team work skills to achieve the organizational goal of
our company .
Introversion (I)
Introverted person is reserved , quiet and prefer to be alone at home to recharge . Introverts
usually rely on themselves for entertainment rather than finding conversation or stimulation from
others .They are usually self-sufficient and would rather work alone than in a team . Besides that
, socializing can actually drain an Introvert’s energy and they would need alone time to recharge
their energy . Hence , Introvert does not really have much social skills as compared to an
extrovert .Although , introverts are not able to get along closely with people but they are focus
and can perform better in their task . Thus , the character of this person may not be suitable to be
a manager for our company in the future .
Sensing (S)
Sensing individuals have great emphasis on what they observe, feel and experience in the real
world , unlike Intuitive people who would rather live in their imaginations .An individual who
has a sensing character is said to be an outward-looking person who is practical and prioritize on
facts . They prefer not to deal with philosophical ideas or introspective ponderings . They would
rather focus on what they concretely experiences with their senses.Hence, person with this
35
37. character may not make much changes to our company in terms of being different from our
competitors as they are more practical and follow the majority .
Intuition (N)
Intuitive individuals are more imaginative and have a lot of ideas . They tend to prioritize
introspection and dreaming , unlike Sensing individuals who enjoy seeing ,touching and
experiencing the world .Intuitive individuals are inward-focused and prefer to live in their
imagination . Intuitive individuals are those who read between lines , tend to lean towards
allusions as well as analyze things at greater depth. Therefore , the person with this character
have a vision that may help our company to improve and be an innovative company .
Thinking (T)
Thinking individuals are very logical ,objective and rational is making a decision .So , their
decisions and actions are usually controlled by their head than by their hearts. In the society ,
many people often judge that a thinking person may be lacking of emotion . However , that is not
true as they can be just as emotional and sensitive as the Feeling group ,but feelings are not their
main priority . Therefore , they can sometimes hide their emotions as they often prioritize facts
over feelings. Person with this characteristics can be a manager in our company as they are
rational in decision making .
Feeling (F)
Feeling individuals usually are more emotional and like to express themselves than what it
deemed rational or logical . However , this does not mean that Feeling types are irrational ; it
only means that those individuals with this trait are more likely to express their feelings as
compared to Sensing individuals who prefer to suppress their feelings. Those who focus on
36
38. expressions of emotion tend to be more sensitive , open-minded and emphatic .Therefore ,
individual with this trait might not be a good fit for a manager position because they cannot be
emotional during decision making .
Judging (J)
Individuals with Judging trait tend to have good plan and strategy before they take any actions.
They would prefer thought-out plan over going with the flow. They are the type who are more
organized , responsible ,very good work ethics and reliable .In fact , they are always prepared for
the worst to happen , ready with checklists and contingency plans . Although ,they are likely to
commit to future plans , but may forget to live in present . Thus, individual who has this trait can
be our future manager as a manager’s role is to come out with plans and strategic actions to help
our company to achieve our vision and mission statement .
Perceiving (P)
Individuals who are Perceiving value their sense of freedom as they do not like to be tied down
to a specific task or committment if there is something better that is worthy of their time .They
are excellent in spotting new opportunities and the grab them whenever they can . They like to
improvise something ,even in the emergency situations . They feel stifled if forced to stick to a
schedule as they prefer taking life as it comes.
37
39. From the image shown , each whole personality type is more than the sum of its traits. In
addition to each of the four main traits of each profile, further personality insights from the
Myers Briggs personality test emerge when the combination of those traits are taken into
consideration.
For instance, an individual with the combination of Thinking (T) and Intuition (N) will portray
different behaviours that someone with the traits of Thinking (T) and Sensing (S). The
combination of Thinking and Intuition reflects an individual who is often in their head , thinking
about all the possible circumstances as well as fantastics ideas . On the other hand , an individual
with the Thinking and Sensing traits , often lost in their thoughts ,will be relying on their senses
instead of their intuition and their ponderings will be rooted in the current state of reality .

45. How Our Company Utilized IT and IM Skills to Create Competitive Advantages ?
A competitive advantage is an advantage over competitors gained by offering consumers
greater value, either by means of lower prices or by providing greater benefits and service that
justifies higher prices.
The information technology revolution is sweeping through our economy and thus affecting all
businesses in both positive and negative ways. Information technology is affecting businesses in
three main ways. They are;
1. It has modified the structure of the business industry and has thus changed the rules of the
game.
2. It gives a means by which a business can outperform its competitors thus giving it
competitive advantage.
3. It has created new business opportunities even with within existing businesses.
Since the start of the information technology revolution, it has succeeded in changing the way
companies run and do their business, the products they produce and even how the products are
produced.
The value that is created by a company is gauged by the amount of money that the buyers are
willing to exchange for that product or service. Thus, a business is said to be viable and
profitable if the value that is created by the business is more than the cost that is involved in
running the business.
So for a business to get a competitive advantage over its rivals, it has to either perform these
activities at a cheaper cost or perform them in such a way that the business will stand out to the
extent that customers will not mind paying a premium price in order to get it.
Every firm can benefit from the latest technological advancement whether they are an
established multinational, a small business, a startup or whether it is a high tech industry or not.
