To import Excel files:
You can Import Customers, Vendors, Items and
Accounts from Excel file. There are options for
importing Excel files from QB.
Option 1: Standard Import
QB opens a formatted Excel sheet where you can put
your information. You can save and close the file then
review results and view Data.

1. Go to File menu then click Utilities > Import > Excel
Files.
2. Click on No, if you get the Add or Edit multiple list
entries window.
3. Follow the wizard in importing files.
A) Select the type of data.
B) QB opens a formatted Excel sheet where you
have put your information and saved your file after
that closed it, then given the option to Add My Data
Now.
C) Review results and view QB DATA.
D) Click on Close when done.

Note: If you need to import vendor, customer or item
data from excel following this option, you can always
go back to this window.
Option 3: Add/Edit Multiple Lists
This opinion gives you to add & edit multiple
customers, items and vendors. It is for name,
description etc.) & cann’t be used to import
transactions.

1. From the Lists menu, click Add or Edit Multiple List
Entries.
2. Click the List dropdown & choose it you want to
work with.
3. Filter the list to see a particular record.
4. (Optional) Click on Customize Columns to
choose which columns you want to see in the
Add/Edit Multiple List Entries window. You can
work on the columns you need in this option.
Click on Default button to back to the preset
columns for the list.

A) To add, from the left pane, select a column &
click on Add
B) To remove, from the right pane, select a
column & click on Remove.
C) To re-arrange the column order, from the right
pane, select the column & click on Move
Up/Down.
D) Click on Ok

NOTE: Columns as a customer/vendor name are
compulsory & can’t be removed. You can only
change their order.
5. Add/edit the entries by clicking the appropriate
fields. Note that you can copy data from Excel then
paste (Ctrl+V) it into this window. You can also Copy
(Ctrl+C) down and Duplicate rows.
6. Click on Save Changes.

7. You will receive a warning telling you
the number of records saved after
saving your changes. QB will also tell
you if there are errors that need to be
fixed.

To fix the errors:
1.Click on any field to see what the error is.
2.Update the record to fix the errors.
3.Click on Save Changes & again start the process
until all errors are fixed.
Note If you don’t want to fix an error, you can
save the changes you have made so far & click
on Close without making any changes.
QuickBooks won’t save the changes that contain
errors.

To export Excel files
You can export Payroll lists, Vendor, Customer &
transactions as well as Items list into an Excel
spreadsheet. If you need to change a report’s
appearance/contents in ways that are not
available in QB. You can also export reports &
customize it in Excel without affecting your
QuickBooks data.

Customer/Vendor/Payroll list and transactions
1.Open the Vendor/Customer/Payroll center.
2.Click the Excel drop-down & choose:
Export Customer/Vendor/Employee list you can export
customer/vendor/employee data like name, balances & contact
details
Export Transactions you can export transactions (either by name
or transaction type).

3.You can choose whether to create a new
worksheet or update an existing worksheet in the
Export window.
4.Click on the Export button then QuickBooks
opens Micro Soft Excel and you can edit the
details as needed.

Items
1.click on Item List from the Lists menu,
2.Click on Excel dropdown error & choose Export
all Items.
3.In the Export window, choose whether to create a
new worksheet or update and existing worksheet.
4.Click on the Export button. QuickBooks opens Excel
and you can edit the details as needed.

Reports
1.Open the report you want to export.
2.Click on the Excel drop & down at the top of
the report.
3.Select whether you want to create a new
worksheet or use the report data to update or
replace an existing worksheet.
4.Click on the Export button. QuickBooks opens
MS Excel. You can edit your details as needed.

Details that QuickBooks exports to Excel include:
•Data in the report, as it is displayed on screen
•Formula for subtotals, totals, and other
calculations
•Row labels that describe the contents of each
row
•Headers and footers from the QuickBooks report
