Technology is a powerful tool that allows us to achieve things we couldn’t even dream of a few years ago . However event technology can also be a huge distraction. The truth is, our phones have become a very personal and prized piece of technology that we use for everything from entertainment to emergency, and as our reliance upon these devices increases, we are being trained.
You can relax, by the way. I won’t confiscate your phones for this session – nothing to secret here. I want you to tweet how awesome this session is! My twitter handle is on the next slide, in fact. Our phones are helping to teach us more and more ways to engage with our environment using technology around us. Our phone is often times the key to the technology, or the remote. And it plays a big part in today’s event technology because it is in every attendee’s pocket.
Now why am I the one speaking to you about this today? Aside from speaking at events at minimum 30 times a year, I’m hired to help organizations with their social media through training, strategy, and coaching their social media teams on how to track and improve on their results. As a result of the speaking and coaching, I’ve not only seen a lot of technologies at different meetings, but I’m on the lookout – constantly – for technology that can be used. And what I’ve seen is pretty cool. But to get there from where we are today, you have to ask yourselves some questions and so that’s how I’ve designed today’s session. I’m going to share some information with you, but we will have four brief points when I want you to talk with each other, a partner sitting close by, about a question designed to help with your own technology planning. So let’s get started.

If you don’ t know the who and why, you ’ re shot before you ’ ve even started looking at all the cool technology. One way to keep this in mind is to remember Forrester ’ s POST Methodology when looking at technology. As we begin to look at the different technologies, I want you to keep this methodology in mind so you don’ t begin to feel overwhelmed and the first place we start is before the meeting is even happening in a stage we ’ ll call building momentum.
Many times we talk about the pre-during-and-post event timeline…today we’re looking at the pre time as the “building momentum phase” and the way that we’re going to look at this phase is what kind of technology might we use during the building momentum phase? What are we trying to do when we build momentum? In this context today, we’re trying to get people excited or at least talking and thinking about our event. We’re building the buzz. Looking at former attendees and potential attendees, we want to build mass fast in people talking and planning on our event. There are some predictable technologies we’d use at this point. We’d be using our CRMs or our databases to contact those who had attended or who could attend through save the date emails, for sure. But on those emails we might also include,…
The hashtag. By now, having a hashtag for your event should be a no brainer. Even if it is a private event. When I had knee surgery and tweeted about it, I had a hashtag for it. Still, I include it here because I’m still working with clients who haven’t started using them yet and it reminds me that this is still something we need to talk about. Hahstags allow people to talk together about your meeting online and they can find and communicate with one another as long as there is an agreed upon hashtag they can use. By providing the hashtag in your save the dates and other communications, you can relate information using that hashtag before during and after your meeting and your attendees who are tech savvy will appreciate it. In the months leading up to your meeting, a hashtag is critical.
Another no-brainer is posting your meeting on Plancast and Lanyrd. These sites are helpful because they allow you to post your conference or meeting date and information online so that others can connect to it and friends of friends can see who is attending what and perhaps be influenced to join in themselves. I have attended events based on what I saw other people attending using Lanyrd and Plancast. I know some of you are still upset over the fact LinkedIn shut down their events application and along with it Lanyrd’s tie in, but these guys keep coming up with cool ways to add content that is valuable to a potential attendee. Like allowing for people to make speaker’s profiles…just really cool.
