EXECUTIVE ASSISTANT

DEPARTMENT M Benefit Solutions – Consulting Services and Actuarial Departments
SUMMARY This position is responsible for providing administrative support to the
Consulting Services and Actuarial teams.
RESPONSIBILITIES • Maintain calendars, schedule meetings, prepare or gather
meeting materials and assist with follow-up from meetings and
conference calls
• Produce and bind reports for client meetings
• Make complex multi-trip travel and hotel arrangements in a cost-
efficient manner; prepare all necessary information and materials
related to the trip
• Promptly process expense reports and monthly AMEX or other
credit card reconciliations
• Draft and edit correspondence, reports, memos, emails, meeting
minutes and other written materials
• Answer telephone calls and respond appropriately and proactively to
varying issues
• Assist with coordination of meetings and convention
participation for M Benefit Solutions and joint venture
partners including shipment of exhibit booths and marketing
materials
• Conduct ‘intelligence’ research on corporate and bank
prospects for marketers and joint venture partners
• Post documents to corporate, bank and joint venture websites

and assist in monitoring websites for necessary updates
• Provide information to Finance department quarterly for
billings to bank marketers (“Advisor Group”)
• Assist with updating marketing materials as needed
• Prepare reports and documents utilizing word processing,
spreadsheet, and presentation software
• Maintain marketing pipeline database
• Monitor activities of existing clients and notify client teams of
noteworthy events
• Complete registration for continuing education and maintain a
spreadsheet to keep track of credits and hours earned for both
departments, as needed
• Print weekly AWIP (Actuarial Work in Progress) reports for
the AWIP meeting and, when necessary, lead the meeting
• Manage the administration of Consulting Services and
Actuarial time off
• Perform other duties as assigned

QUALIFICATIONS • High School diploma or equivalent; Bachelor’s degree
preferred
• Minimum two years’ progressively responsible, relevant
experience as an Executive Assistant at a mid- to senior- level
• Proficiency with a PC and a variety of software applications and
database management (Microsoft Word, Excel, PowerPoint)
• Excellent verbal and written communication skills
• Proven ability to track, prioritize and report status of multiple
projects
• Exceptional organization and problem solving skills, with the ability
to follow through
• Ability to build rapport with internal and external contacts
• Ability to work independently as well as in a team environment
• Proven ability to work with changing requirements/priorities
using internal/external peer resources
• Detail-oriented, proactive, self-motivated and responsible
JOB CONDITIONS AND
ENVIRONMENT
• Normal office environment/desk assignment
• Extensive use of PCs, computer terminal, display, keyboard, and
mouse
• Extensive close work with documents, publications, databases,
spreadsheets, presentation materials and other software
