Department of Corrections (DOC) is currently seeking qualified applicants to fill an Administrative Specialist I (Assistant Division Chief) position, grade G-29, in the Support Services Division.
This is a professional management level position requiring knowledge of Capital Improvement Project (CIP) planning and facility operations management. This position supports the Division's Administrator and requires daily management and supervision of Support Services operation. The incumbent is responsible for oversight of construction management and facility maintenance, capital budget planning and preparation, writing specifications for bid proposals and contract monitoring, financial management of grants. The Field Administrator Assistant is responsible for assisting the field staff in their duties by performing
receptionist, secretarial, computer and timekeeper skills at project level.
The Field Administrator Assistant reports directly to the Project Manageror Superintendent and must receive
training from the Regional Office Manager.
The Field Administrative Assistant shall:
Order and purchase office supplies on the job site.
Fax and type documents.
Answer phones and take messages and general reception duties.
Copy and file documents.
Take notes in meetings and prepare meeting minutes.
Communicate with field on material invoices, deliveries and questions.
Verify pricing on invoices and check delivery slips against invoices.
Assist Project Engineer in tracking labor, equipment, materials and otheritems using Excel spread sheets or
Expedition software.
Assist with monthly billing preparation.
Check and submit timecards and handle questions from main office.
Document control – track and maintain plans and specification revisions.
Periodic cleaning, dusting,emptying trashcans,etc.
Comply with Ames’ policies, procedures and dress code.
Should be familiar with EEO/AA reports and will assist with various insurance issues.

I worked closely with Alex Carlin, Ames Project Manager, to expedite submittal and transmittal documentation. I
assisted in submitting daily time cards to our corporate office and updated various safety, equipment, and vendor
logs. Provided timely weekly & daily reports and completed all office duties in a professional and friendly manner. I
organized and filed documents electronically and hard paper copy format.
I worked closely with Scott Klein, Ames Construction Superintendent, in updating safety logs for gas monitors,
daily equipment check sheets,Foreman Reports, JSAs and safety permits. I assisted in new hire paperwork and
updated all employee emergency contact information. Updated concrete log book and all aggregate, top soil, sand
and clay logs to reconcile with vendorinvoices.
I assisted Ben Stans,Ames Superintendent,with weekly expense reports, organized and filed Field Work Orders,
verified concrete Pour Cards were filled out correctly. I filled out weekly equipment usage reports,operator and
teamster hours reports to their respective union stewards. Submitted total weekly man hours report to Price Gregory,
Inc. along with daily paperwork, i.e., safety permits, daily on-site personnellists, gas monitor log sheets,JSAs,
Foreman Reports, daily time cards, new hire/termination forms and shipped overnight deliveries with necessary.
