Letter Writing
The most common form of written communication is
the letter. Letters should have a format that goes with the
latest conventions.
Types of Letters include:
• Informal letters—These are letters written to close
associates.
• Formal letters — These are:
Business or official letters (for making enquiries,
registering complaints, asking for and giving information,
placing orders and sending replies).
• Letters to the Editor (giving suggestions on an issue).
• Application for job.

Important points to remember while
drafting letters:
• Gently and respectfully direct the recipient’s
course of action.
• It may be strongly worded, but always be
courteous and use polite language and
pleasant tone.
• Self-introduction should be avoided.
• Write the letter in full block format (i.e., to the
left).

• State your reason for writing in the first
paragraph and stay on track.
• Informal expressions, greetings or contracted
forms of words should not be used.
• The language should be simple, straight
forward and to the point.
• Leave a line/additional space between
paragraphs since no indentation is followed.

• Open punctuation to be followed (no
punctuation marks to be used).
• Do not mix up the old format and the new
format.
• Always include specifics that will help ease the
recipient’s task. For instance, if you are writing
to a bank, mention your account number.

• If you refer to other correspondence, quote
date of the letter(s), reference numbers, file
numbers, order numbers, cheque number
with date. Include copies, whenever possible.
• In letters to the Editor:
• Do not ask the editor to solve the problems.
• In the letter to the Editor: use ‘yours truly’ or
‘yours sincerely’, as the complimentary

• Curriculum Vitae (CV)/Biodata
Format/Resume should be written.
• It should not be included in the body of the
letter but after the complimentary close, as an
enclosure.

Significance Of Job Application
The job application is perhaps the most
important piece of writing for each one of us.
With the increasing competition in the job
market today, it is specially important that we
write a good resume, or curriculum vitae (CV for
short). In India, we often use the word ‘Biodata’
for a CV. In this unit you will learn how to write
good job applications.

What is a curriculum vitae?
• A curriculum vitae, often shortened to CV, is a
Latin term meaning “course of life.” A CV is a
detailed professional document highlighting a
person’s experience and accomplishments.
Employers often require a CV when
considering applications. This document
shares an overview of your career history,
education, relevant awards and honours,
scholarships, grants, research, projects and
publications.

• A CV may also include professional references,
as well as coursework, fieldwork, hobbies and
interests relevant to your profession. You
might also choose to add a personal profile
that lists your skills and positive attributes to
ensure employers have a well-rounded view of
your personality and achievements.

What to include on a CV
• Your CV should include the following:
• Contact information. Include your full name,
address, phone number and email address.
• Academic history. List all schooling from high
school through postdoctoral (if applicable).
Include the title of the degree you earned, the
year you graduated and the name of the
school.

• Professional experience. Include the
organization where you worked, the job title,
the dates you were employed and a summary
of your experience and achievements.
• Qualifications and skills. List a combination of
hard and soft skills you’ve developed
throughout your career.
• Awards and honours. For each award, add the
name, year received, the organization that
gave you the award and any pertinent details
(such as how often it’s presented).

• Publications and presentations. For publications,
provide a full citation including your co-authors,
date, summary, volume, page, DOI number. For
presentations, provide the title, date and venue
where you presented.
• Professional associations. List the organization’s
name, location or chapter and the dates of active
membership.
• Grants and scholarships. Provide the name of the
grant or scholarship, date awarded and the
institution that provided the award.
• Licenses and certifications. Include the name of
the license or certificate, the date you earned it
and the institution that awarded it.
