Peace Learning Center in Indianapolis, and

7. Review of Import Basics
● Your data must be in a comma-separated values (.CSV) file.
● Up to 10,000 rows and be a maximum of 2MB in size.
● Use column headers that match field names in Bloomerang for easier
mapping.
● Duplicates–Bloomerang looks at an individual’s First Name and Last
Name, or an Organization’s Organization Name, along with one of the
following:
○ Email Address
○ Standardized street address
○ Last seven digits of a phone number
Does it match? The information gets added to the existing account.
Does it NOT match? Bloomerang creates a new constituent account.
Tip: If you have the individual or organization account numbers in the file, you don’t
need the name and contact information. This also allows you to import individuals and
organizations at the same time.
8. Import Process Review
1. Click Data Tools -> Import.
2. Click New to create a new import template.
3. Type in a Name (for example, New Constituent Import).
4. Choose the type of import: Constituents, Donations, Interactions or Notes.
5. Choose Individual or Organization.
6. Click Select a File. Browse to and select the import file from your computer.
7. Map your data. The fields on the left are the field names in Bloomerang, while
the fields on the right are the column headers from your file. Check that:
a. All fields from your file are being mapped.
b. The columns are being mapped to the correct fields in Bloomerang.
c. The fields are being mapped in the correct order.
8. Verify your information.
a. Check for import errors.
b. Choose how to handle existing constituents, if any.
9. Click Run.
9. Import Tips
● Import the first five constituents from your file as a test import.
● Donations, interactions, and notes may be created but not updated via import.
● The most recent addresses, emails, and phone numbers added from an import
file will be marked as primary in the database.
● Household account numbers are required to update the household name
fields. Without the household account number, households will not be
updated.
● To split first and last names into separate columns, insert a blank column to
the right, highlight area to be split, click on Data -> Split text into columns->
for Separator dropdown, select Space. (note: Create the columns first to the
right of your original column.)
● In your .CSV file, to add a constituent to multiple fields, insert the pipe
character between field names. Example: Major Donors|Annual Donors|IU

Tip: The pipe character is a vertical line. On most keyboards, select Shift+ to enter a
pipe character. You can include a space before or after the pipe, but it’s not
required.
11. Constituent Imports
Purpose: creating and updating constituent accounts
What information is required?
- Individuals: First name, last name
- Organizations: Organization name
- Households: Account Number
Other helpful information:
Adding specific information like email address, mail address, and
phone number helps prevent future duplicates.

Purpose: adding donations
What information is required?
- Individuals: First name, last name
- Organizations: Organization name
- Households: Account Number
AND
- Date
- Amount
- Fund
13. Interaction Imports
Purpose: adding interaction data
What information is required?
- Individuals: First name, last name
- Organizations: Organization name
- Households: Account Number
AND
- Date
- Subject
- Purpose
- Channel
14. Notes Imports
Purpose: adding notes to accounts
What information is required?
- Individuals: First name, last name
- Organizations: Organization name
- Households: Account Number
AND
- Date
- Note
15. Constituent Update Imports
Purpose: updating existing Constituents
What information is required?
- Individuals: First name, last name
- Organizations: Organization name
- Households: Account Number
AND/OR
- Email Address
- Account Number
- Street Address
- Last 7 digits of phone number
NOTE: To update Constituents already in your database, you need to have enough
matching information in your file for the system to match them.
16. Import to Groups
Purpose: Import constituents to new groups or to existing groups that you
manage*
What information is required?
- Individuals: First name, last name
- Organizations: Organization name
AND/OR
- Email Address
- Street Address
- Last 7 digits of phone number
You will do this using a Constituent Import. You will add a column for Groups
in your CSV. file.
*You cannot import to groups that Bloomerang manages automatically, which are known as Bloomerang Donor Groups. For a
list of Bloomerang Donor Groups, see View Groups.
18. Import to update in bulk
● Examples:
○ Standardizing our DB: Make household name
more standard in our database
○ Adding data: Cause Interests (a custom field)
after sending out survey and getting more
data
TIP: Run a report first to get account numbers if
you are concerned about duplicates.
20. Import to update in bulk
● Examples:
○ Adding a campaign to a group of transactions:
Staff person doing entry last quarter didn’t put
the campaign in our donations.
○ Adding an appeal to transactions: We found out
that the donations during the last week need to
have the Giving Tuesday appeal added to them.
TIP: Make sure you have updated any new Funds, Campaigns or
Appeals in Custom Data before attempting to complete this step.
22. Bulk deletes
Select the area where you are wanting to delete
data.
Filter for the data you would like to delete.
● Cannot delete Bloomerang managed Groups
● Household filtering will delete all members of
that household from the database
● You will want to be sure of this decision since
data will be lost
24. Avoiding duplicates
● Create and communicate data entry criteria to all staff who enter
data
● Check for typos before you hit save
● Collect and enter as much data as you can so that matching is more
efficient and accurate
● Do periodic checks of data that come in from online donation forms,
sign up forms, other integrations, and manual input
● Understand the matching criteria for your database
● Always dedupe before you do a large import
27. Use templates to make life easier
● This will set your fields up to map easier
