3. INTRODUCTION TO MAIL PORTAL
o This project solely intends to incorporate all the mailing facilities and
mechanism into the proposed system with certain advancements.
o The target audience of the project are the students, faculty members and
other employees of the organization.
o It’s a general mailing system that includes features like sending mails with
attachments and then allowing users to do reply, forward it to another legit
users, keeping drafts, maintaining history of sent and received mails and
blocking users.
o Administrator of the system can add user, delete user, manage quota for
them and can deactivate the account of the subscribed user.
4. OVERVIEW
o The project contains modules of the clients which includes sender and
receiver and anonymous users of the system who will firstly sign up in the
system.
o The administrator of the system then will activate the user from the table
maintained by him/her.
o After activation the user will become the authorized user of the system.
o The user is then provided with the provision of using the facilities provided
to him/her for sending mail to the other subscribed users, uploading and
downloading the attachments and even blocking them.

o As far as receiver is concerned, receiver can see the mail, download the
attachments, and after reading the mail sender can be made aware that rec
eiver has read the mail.
Administrator –
o Admin after activating the user will allocate the user with a fixed quota that
a user can use to send data and attach files.
o Admin can add and delete the domain to which the user subscribed will bel
ong to. For ex:- if user belongs to domain “abc” then his/her email id will be
of the fomat <username>@abc.
o Admin can manage notifications and messages for important events and
articles.

o Admin can change the quota allocated to the user and can also do the nece
ssary changes related to settings.
o Admin can maintain the count of the total users, total mail, total inactivated
users, total notifications, total messages and total blocked users.
o Admin can do the email monitoring for that when a user sent mail and to wh
om.
o How many users have actually visited the portal admin can find by public
API used in the portal.
33. RESULTS
o The system proposed is well suited for use and can be deployed in any ge
neral environment of organization.
o The system ensues additional functionality of letting the sender know that r
eceiver has read the mail giving them assurance of secured and complete
communication.
o The system proposed is easy to use and gives the feel of a complete maili
ng site.
o The system ensures economical way of using a general mailing mechanis
m which can be used with the private network.
34. FUTURE ENHANCEMENTS
o The proposed system can provide the feature of mail recovery by enabling t
he users to restore in case of loss of the important mails and creating the b
ackup.
o It should also allow the usage of “2nd mail forwarding” which means a mail c
an be sent to any other mail too including the intended mail which needs an
approval and enquiry regarding the existence of second mail id.
o The system should also allow the user with archives folder in the mail syste
m to manage the older mails and manipulate them.
35. LIMITATIONS
o It can not communicate with other existing mailing system
o No pipeline system or retry if sender server is not responding
