Professional Communications
The impact and importance of effective communication in an
organization is one that cannot go unmentioned. This
presentation seeks to discuss cross-cultural communication
and some of the communication problems in companies.
Thesis
Communication has always being vital to the progress of any
firm, therefore, communication problems need to be addressed
as soon as they come up in order to ensure company progress.
Communication is important to any organization
Effective communication helps firms to achieve their goals
faster and with much ease
Business managers have the responsibility of identifying
communication needs, and strategizing on how to improve the
communication between all relevant stakeholders
Introduction
Effective communication is important for the success of any
business. According to statistical reports from Forbes, the
corporate with the best communication tools achieve their
objectives easily as compared to businesses with poor
communication. Consequently, the aim of this presentation is to
help business managers to understand the usage of effective
communication tools to improve communication to all the
stakeholders in the organizations. Although the basic
responsibility of a business manager is to motivate the
employees to give out their potential, this cannot be achieved
without effective communication. It is therefore the
responsibility of a business manager to identify the
communication needs and provide effective strategies aimed at
improving communication between the stakeholders. Therefore,
business managers should understand that communication is
significant since it helps in delegation of the basic management
functions.

Communication problems in firms
Communication Problems in My Company
There are several communication problems that have been
identified in my company. Failure of delegation of duties is one
of the main communication barriers for any business. Every
employee expects the management to provide sufficient
information for the kind of business that they are supposed to
work. Lack of a common code of conduct also prevents the
organization from having a common language that can be used
to delegate duties to the employees. When a duty has been
delegated by the top management, it is difficult for the company
to develop a channel in which the message can be delivered.
Effective communication enhances business performance and
productivity. The company does not have an effective channel
of communication that can be used to address imminent
problems that have arisen in the company. Moreover, the
company lacks adequate information technology systems that
can be used to send urgent messages (Gopal, 2009).
Cross cultural communications
There are many strategies and ways that can be used to
improve cross cultural communication among two different
people. The new norm of cross-cultural communication has been
enhanced through the usage of modern technology and
particularly the internet. Today communication has been made
electronic. This is due to the emergence of modern trends of
communication such as the usage of social platforms such as the
Facebook and twitter. Developers of information technology
have also introduced platforms of communicating to different
people at the same period of time such as the video
conferencing that promotes communication across people of
different cultures. Electronic media is essential for cross-
cultural communication. This is because people can
communicate despite their geographical boundaries (Lussier,
2012).
Understanding of cultural diversity is also another way of
promoting cross-cultural communication. Every workplace
consists of people from different cultural backgrounds. It is thus
essential to increase tolerance of different people despite their
language backgrounds. Awareness should also be developed
from people of different cultures. This means providing respect
of people from one culture to the other. This increases cultural
awareness for people of different cultures thus improving
acceptance of cultures. Cultural tolerance should be demanded
so as to increase cohesiveness and cultural integration in the
workplace (Smith, 2002).

The commonly used non verbal cues include; posture, gestures,
facial expressions, eye contact and appearance
Physical appearance is a nonverbal cue used to judge the
confidence of a person.
Eye contact improves engagement in people and tunes them into
their communication with each other
Facial expressions often portray emotions
Managers need to understand the power of non verbal cues
Managers also need to align non verbal cues with verbal
communication in order to be effective
Universal non verbal cues should be used to promote
understanding by people of all cultures
Use of non-verbal communication
Using nonverbal communication effectively
Non-verbal cues speak louder than even a manager speaks
in a business. Some of the commonly used nonverbal
communication includes; eye contact, posture, gestures, facial
expressions and appearance. In business setting, physical
appearance is one of the nonverbal cues that are used to judge
the confidence of a person. The first appearance of an
individual often sets the tonality of the interaction between
people. Moreover, eye contact is another nonverbal cue that is
used in communication with a person. It improves engagement
in people and tunes them into their communication with each
other. Facial expressions are also used to show emotions such as
when a manager is delegating an important duty to the
employees. Emotions can be used to show stress over a
particular matter or concern. It is important for business
managers to understand that all forms of nonverbal
communication work together with verbal communication. For
this reason, the business managers should ensure that the two
forms of communication work together. People from different
cultural backgrounds take different forms of communication in
different ways. With this in mind, the business managers should
employ nonverbal techniques that are universal to all people
(Guffey & Loewy, 2010).

Use of indirect form of communication (Ober, 2008).
An example: Non approval of a request for promotion
Indirect way of communication is easier and more appropriate
for communicating bad news (Ober, 2008).
Bad news
Bad news are usually hard to convey to anyone as they create a
bad feeling to the person being told and even to the person who
is conveying them. In order to communicate such bad news
effectively, it is good to use the indirect form of
communication. Use of the indirect way of communicating helps
to prepare the respondent for the bad news without telling them
instantly as it may lead to an extremely bad reaction (Ober,
2008). For example, conveying a message that an employee’s
request for promotion has been declined or has not been
approved may be hard. Therefore, the conveyer of the message
may use the indirect way to communicate this as it is easier and
more appropriate for communicating bad news (Ober, 2008).

An explanation should be given
Explanation may lead to better understanding
Should be conveyed in a positive way
Positive conveyance may create a better feeling (Guffey&
Loewy, 2012).
Bad news
This should be followed with an explanation of how the
management came up with the decision as it can help the
employee to understand the message better and not overreact.
This news should also be conveyed in a positive way so that the
respondent thinks that they will gain from the decision and to
also avoid making them feel terribly bad about the news
(Guffey& Loewy, 2012).

The most appropriate way of communicating them direct form

The rationale for this is to ensure precision and clarity.

Relationships may be strengthened through these messages.
An example is; when informing employees of a pay rise or a

through the direct form of communication. The rationale for
this is to ensure that the message is conveyed clearly and
precisely. To ensure that the message is passé clearly,
explanations may be given. It is easier to communicate these
messages and therefore the conveyer is often more relaxed
compared to when conveying bas messages. Relationships are
often strengthened through these messages. An example is;

managers to promote effective communication if the firm.
In order to know whether communication is effective in your
firm, ask yourself this simple question; How long does it take
for you to know of a scheduled meeting?

This presentation seeks to discuss cross-cultural communication and some of the communication problems in companies. Thesis Communication has always being vital to the progress of any firm, therefore, communication problems need to be addressed as soon as they come up in order to ensure company progress. Communication is important to any organization Effective communication helps firms to achieve their goals faster and with much ease Business managers have the responsibility of identifying communication needs, and strategizing on how to improve the communication between all relevant stakeholders Introduction
  • 2. Effective communication is important for the success of any business. According to statistical reports from Forbes, the corporate with the best communication tools achieve their objectives easily as compared to businesses with poor communication. Consequently, the aim of this presentation is to help business managers to understand the usage of effective communication tools to improve communication to all the stakeholders in the organizations. Although the basic responsibility of a business manager is to motivate the employees to give out their potential, this cannot be achieved without effective communication. It is therefore the responsibility of a business manager to identify the communication needs and provide effective strategies aimed at improving communication between the stakeholders. Communication problems in firms Communication Problems in My Company There are several communication problems that have been identified in my company. Failure of delegation of duties is one of the main communication barriers for any business. Every employee expects the management to provide sufficient information for the kind of business that they are supposed to work. Lack of a common code of conduct also prevents the organization from having a common language that can be used to delegate duties to the employees. When a duty has been delegated by the top management, it is difficult for the company to develop a channel in which the message can be delivered. Effective communication enhances business performance and productivity. The company does not have an effective channel of communication that can be used to address imminent problems that have arisen in the company. Moreover, the company lacks adequate information technology systems that can be used to send urgent messages (Gopal, 2009).
  • 4. Cross cultural communications There are many strategies and ways that can be used to improve cross cultural communication among two different people. The new norm of cross-cultural communication has been enhanced through the usage of modern technology and particularly the internet. Today communication has been made electronic. This is due to the emergence of modern trends of communication such as the usage of social platforms such as the Facebook and twitter. Developers of information technology have also introduced platforms of communicating to different people at the same period of time such as the video conferencing that promotes communication across people of different cultures. Electronic media is essential for cross- cultural communication. This is because people can communicate despite their geographical boundaries (Lussier, 2012). Understanding of cultural diversity is also another way of promoting cross-cultural communication. Every workplace consists of people from different cultural backgrounds. It is thus essential to increase tolerance of different people despite their language backgrounds. Awareness should also be developed from people of different cultures. This means providing respect of people from one culture to the other. This increases cultural awareness for people of different cultures thus improving acceptance of cultures. Cultural tolerance should be demanded so as to increase cohesiveness and cultural integration in the workplace (Smith, 2002). 3 The commonly used non verbal cues include; posture, gestures, facial expressions, eye contact and appearance Physical appearance is a nonverbal cue used to judge the confidence of a person.

Eye contact improves engagement in people and tunes them into their communication with each other Facial expressions often portray emotions Managers need to understand the power of non verbal cues Managers also need to align non verbal cues with verbal communication in order to be effective Universal non verbal cues should be used to promote understanding by people of all cultures Use of non-verbal communication Using nonverbal communication effectively Non-verbal cues speak louder than even a manager speaks in a business. Some of the commonly used nonverbal communication includes; eye contact, posture, gestures, facial expressions and appearance. In business setting, physical appearance is one of the nonverbal cues that are used to judge the confidence of a person.
