DUTIES
 Receiving incoming and making outgoing telephone calls, and routing them accordingly and taking
messages when the required staff are not available.
 Receiving and dispatching mail and any other correspondence in line with PSI Kenya guidelines;
 Take and circulate regional meeting minutes;
 Handling clients’ enquiries and receive and direct visitors to respective staff;
 Ensuring that all telephone lines are in working order and report any faulty telephone lines to the
Administration Support Coordinator;
 Ensuring timely maintenance of office equipment;
 Preparing and serving tea to Regional Office staff and ensure other office refreshments e.g. drinking
water are replenished as required;
 Ensuring and maintaining maximum cleanliness of the reception area and the office at large;
 Assisting in photocopying, scanning and any other document management as may be requested by
supervisor;
 Ensuring office security is maintained;
 Purchasing any kitchen and toiletries required for the regional office in line with policies and procedures;
 Maintaining the Regional office petty cash;
 Maintaining adequate stationery stocks and requesting replenishment in line with the policies and
procedure, and running errands for the regional office in a time-efficient manner including following up on
payment of office electricity, water & telephone bills and resolution of any disconnection
