Job Description
• Answer all incoming calls and handle caller’s inquiries whenever possible
• Re-direct calls as appropriate and take adequate messages when required
• Reception desk should be manned at all times except for agreed breaks and
upon specific request to carry out duties elsewhere
• Receive, direct and relay fax messages to the appropriate staff member
• Greet visitors, inform appropriate staff member and offer refreshment. Direct

• Direct any incoming mail to the Finance Manager and process outgoing mail
as required

are provided before the meeting starts, i.e. equipment/projector set up,

• Assist in maintaining an adequate inventory of office supplies – carry out
weekly stock checks of office supplies and stationery and submit appropriate
orders to Finance Manager for approval. Place orders as necessary
• Maintain an updated and accurate internal contact list and make sure updates
are circulated to all staff including Aberdeen office
• Covering absences of other reception staff when required.
• Provide administrative and clerical services for staff as requested such as
faxing, photocopying, sorting, shredding, scanning and word-processing
• Printing & Binding documents, proposals, presentations, portfolios as and
when required
• Maintain and update Guard Books as required
• Books conference room for meetings as requested and makes necessary
arrangements.
• See to it that all access codes given to BP’s accounts and clients must be
tracked and documented in CRM.
