1. Experience
•Provide effective and cost efficient resource planning and scheduling for all fleet assets , as well
as ensuring that preventative maintenance support is carried out in accordance with standard
maintenance guidelines and schedules
•Development of Vehicle and Generator replacement plan
•Management, control and accountability of all fuel supplies and provide fuel management
support including contingency planning and storage country-wide
• Monitor, control and report on the use of all fleet assets
• Ensure that all asset and driver administration is executed in a professional manner and in
accordance with Standards, Procedures and legal obligations.
• Ensure that accidents and insurance claims are properly handled; insurance benefits are properly
negotiated to the benefit.
• Ensure that all fleet assets are serviced and maintained according to a preventative maintenance
schedules
• Ensure accurate reporting on all fleet management aspects by all field locations.
• Provide technical assistance and advice to all field locations on servicing and maintenance of all
vehicle & generations.
• Support the fleet team to produce generator management reports on monthly, quarterly, and
annual basis.
• Provide and ensure professional training for all drivers, mechanics, and other fleet management
staff in accordance with security, technical and legal requirements
• Build and develop the capacity of the fleet teams through the use of effective training,
performance management , frameworks and development plan.
• Conduct training and daily vehicle inspections along with drivers and mechanics to monitor the
use of vehicles through logbook management.
• Maintain comprehensive vehicle maintenance records and a plan for maintenance schedules.
• Compile regular fuel consumption reports and monthly vehicle/generator utilization analysis for
all locations.
• Establish monthly timetables with drivers and ensure regular coordination and planning
meetings with the fleet team.
• Monthly movement plan – on basis of project proposal, submitted by program team and signed
off by budget holder.
• Daily vehicle movement board, updated throughout the day.
• Daily and weekly vehicle checks of standard items as per vehicle weekly checklist and report all
vehicle defects, health and safety issues. To be performed by the driver. MUST be spot checked
by fleet assistant.
• Ensure that proper documentation is maintained for all aspects of vehicle operations.
• Submit monthly vehicle performance reports to the R.V.Fleet Manager including fuel
consumption, maintenance and vehicle utilization etc. File reports and contracts relating to
vehicle management
• Surprise visits to workshops during repair works.
• To maintain vehicle warranties, all work must be documented in vehicle logbook as evidence if
further problems arise
• Ensure good communication and coordination between the Security and radio room.
2. • Prepare and submit Fleet reports.
• Ensure drivers and hire vehicles adhere to the Code of Conduct at all times.
• Ensure staff and visitors respect rules drivers are bound by with regard to safety and security of
passengers
• Ensure accident and incident reports are filled by drivers and staff, submitted on time and sent
to correct persons
• Manage the people and the department’s budget and report on progress on expenditure.
• Train and capacity build other Transport officers and assistants.
• Ensure appropriate staffing at all levels of the Transport department
• Encourage a team culture of learning, creativity and innovation.
• Close coordination with all field logistics/fleet staff.
• Maintenance of vehicle & Assign duty to staff for repair maintenance.
• Job cards opening.
• Fuel injection pumps overhauling.
• Maintain all workshop and reporting to the Supervisors
• Lubricates equipment in accordance with established procedures and charts.
• Uses a variety of testing equipment such as ammeters, voltmeters and gauges to determine
malfunctions and the need for repair.
• Maintain the stock system and ensure that any ordered parts are the best value for money
available at the time they are needed.
• Stock levels are not above the pre-agreed limits.
• Daily work activities including scheduling, assigning work, job completion, and monitoring
leaves and absences.
• Assist mechanics in the ordering and requisitioning of all parts and approve materials required
for the repair and maintenance of vehicles.
• Maintain an accurate inventory of parts by insuring that issued parts are accounted for
accurately on each work order.
• Monitor shop activity to ensure efficient use of time, materials, and equipment. Estimate time
required to complete repairs by using Shop Key Estimator.
• Work with and train mechanics to meet industry standards.
• Control the use, care, and repair of the workshop facilities
• Manage Workshop & Conducts vehicle safety inspections.
• Provide assistance to mechanics in the assessment of maintenance demands.
• Preparation of maintenance plans and servicing schedules.
• To ensure the mechanics perform the work in safe manner.
