 Deliver excellent customer service, at all times
 Assist in keeping the hotel reception area clean and tidy, at all

 Conduct regular security checks throughout the day and report
any security issues to line manager

including all furniture, fittings and equipment
 Provide reports, as required, for housekeepers and managemen
 Be responsible for evacuation, in cases of emergency, acting as
first point of contact for guests and the emergency services

2. Logistics-ECS Guest

 Ensure that all Supplies Requests (SR) are correctly completed
coded and processed in line with Concern Worldwide Logistic
guidelines;
 Ensure that all items to be purchased are with complete
necessary documentation including authorisation;
 Ensure that all purchased items are of the same specification
as ordered.
 Ensure that all goods purchased are received and verified by th
authorized recipient or entered into the relevant store;
 In consultation with Concern Logistics Coordinator in Jub
coordinate procurement with Concern’s Juba, Nairobi and Dubl
offices
 Ensure floats are timely cleared with finance department.
 Ensure that the Supplies Request tracking sheet is alway
updated and shared on weekly basis with programme manager
or designated persons.
 Participate in tender process while ensuring all Tende
paperwork are correctly filed
 Report to Systems Director any problems encountered durin
discharge of duty and possible corrective measures;
 Ensure all necessary paperwork is passed to finance in order t
adhere to financial requirement and facilitate payment.
3. Transport officer-
Reconcile international
 Follow security procedures in managing vehicles, delivery of goods
and transportation of authorized personnel;
 Ensuring vehicle fleet management complies with reconcile
standards through appropriate allocation and safe use of vehicles
and servicing and maintenance schedules are adhered to throughou
the program
 Follow up the timely maintenance, inspection of all vehicles and
renewal of vehicle insurance. Provide monthly fuel consumption
reports for all vehicles and any other vehicle repair reports. Inspect
the vehicle log book weekly and counter sign.
 Supervise and document the monthly cost of each vehicle (fuel
consumption, repairs) in coordination with finance assistant
 Ensure rental vehicles are fit for purpose and hired drivers have an
acceptable level of skills and are briefed on reconcile policies and
code of conduct; Ensure that rented vehicles and drivers contracts
are complete and correct
 Supervise and manage the drivers and store workers on the basis
of Reconcile staff guidelines and the National Labour Law.

Purchase Requests and Orders in term of quantity, price and
quality.

procedures, compel himself to always look for and purchase
the best “value for money” items and material
 All the items requested by program managers have to be
submitted to their approval in order to insure their quality.
 Keep the requester updated on the status of the procurement
process
 Ensure that the requester or the admin manager verify and
sign the delivery report for any item delivered.
 Identify the material in and out and check the quality an
quantity;
 Conduct a monthly inventory and make an inventory report;
