Abstract: Social networking platforms may allow organizations to improve communication and productivity by
disseminating information among different groups of employees in a more efficient manner. While it is not
meant to be all-inclusive, the list below outlines some of the possible advantages and disadvantages of social
media use by workplaces.
Keywords: Social Networking, SNS, Media, Facebook.
INTRODUCTION
Social media are computer-mediated tools that allow people to create, share or exchange information, ideas, and
pictures/videos in virtual communities and networks. Social media is defined as "a group of Internet-based
applications that build on the ideological and technological foundations of Web 2.0, and that allow the creation
and exchange of user-generated content”. Furthermore, social media depend on mobile and web-based
technologies to create highly interactive platforms through which individuals and communities share, co-create,
discuss, and modify user-generated content. They introduce substantial and pervasive changes to
communication between businesses, organizations, communities, and individuals.[2]
These changes are the focus
of the emerging field of techno self studies. Social media differ from traditional or industrial media in many
ways, including quality, reach, frequency, usability, immediacy and permanence. Social media operates in a
dialogic transmission system, (many sources to many receivers). This is in contrast to traditional media that
operates under a monologic transmission model (one source to many receivers).
POSSIBLE ADVANTAGES
• Facilitates open communication, leading to enhanced information discovery and delivery.
• Allows employees to discuss ideas, post news, ask questions and share links.
• Provides an opportunity to widen business contacts.
• Targets a wide audience, making it a useful and effective recruitment tool.
• Improves business reputation and client base with minimal use of advertising.
• Expands market research, implements marketing campaigns, delivers communications and directs interested
people to specific web sites.
POSSIBLE DISADVANTAGES
• Opens up the possibility for hackers to commit fraud and launch spam and virus attacks.
• Increases the risk of people falling prey to online scams that seem genuine, resulting in data or identity
theft.
• Potentially results in negative comments from employees about the company or potential legal
consequences if employees use these sites to view objectionable, illicit or offensive material.
• Potentially results in lost productivity, especially if employees are busy updating profile etc.
Employers do have the right to simply ban all computer activity that is not work-related, but this approach may
not yield optimal results. If employees are to be allowed access to social networking platforms, then a
comprehensive and well-defined policy should be established to prevent abuse.
A SOCIAL NETWORKING USE POLICY GENERALLY
• Defines what social networking is particular to your organization, so employees know exactly what is
meant by the term.
• Establishes a clear and defined purpose for the policy.
• Communicates benefits of social networking and of having a policy.
• Provides a clear platform for educating employees.
• Takes into consideration any legal ramifications of not following laws.
Advantages and Disadvantages of Social Media
88 ISBN 1-63102-458-2
• Refers to confidentiality of employer trade secrets and private or confidential information.
• Provides guidance regarding social networking outside of company time/property that could be associated
with the company, employees or customers. Some employers may prohibit posting of company
information on social networking sites without explicit consent.
• Provides examples of policy violations.
• Outlines disciplinary measures to be taken for policy violations.
What may be the most concerning aspect of social networking platforms is that they encourage people to share
personal information. Even the most cautious and well-meaning individuals can give away information they
should not; the same applies to what is posted on company-approved social networking platforms.
Employees may not be aware of how their actions online may compromise company security. Educate
employees as to how a simple click on a received link or a downloaded application can result in a virus infecting
their computer and the network. Advise them not to click on suspicious links and to pay careful attention when
providing personal information online. Remember that just because employees may have an online profile, it
doesn’t necessarily mean they have a high level of security awareness.
The biggest advantage of social media is its power to connect people. It has become a popular way for family
and friends who live far away from one another (sometimes internationally) to keep up with what is going on in
each other’s lives, without the expensive cost of long-distance calling.
In a very different sphere, another advantage of social media is that it can used to connect people informally but
academically. I know of other students who would not use Facebook at all if they didn’t need it for group
projects and classes.
On the other hand, some critics have made the argument that social media only serves to drive people farther
away from one another. While it is great that you can contact your aunt in another country, these digital
interactions are still a poor replacement for face-to-face contact. Sometimes, friends don’t feel the need to be as
close in real life because they think that chatting online can make up for this.
Another disadvantage of social media is that it can serve as a platform for inappropriate actions. People might
do or say things they wouldn’t in real life because there are minimal rules for communication in social media.
DISADVANTAGES OF SOCIAL MEDIA
1. The wrong online brand strategy could put you at a viral social disadvantage and may even damage your
reputation, i.e, when you make a mistake offline, a few will know but when you make a mistake in front
of hundreds or thousands of you online audience, most of them will know!
2. Using social media for marketing and advertising could be more time consuming than companies expect.
3. In order to get social media’s full effect, you need to understand how it works, when and how to use it and
which channels to focus on depending on your end goal of using social media.
4. Social media can have a negative influence on worker productivity. Employees may waste valuable time
using social media channels such as Facebook and Twitter. They can also use social media to attack the
company’s reputation!
5. When social media is used excessively or in the wrong way, it could have serious detrimental outcomes
on both mental and even physical health of individuals.
ADVANTAGES OF SOCIAL MEDIA
1. When using social media for marketing products, social media could be easily utilized to create cost
effective strategies and campaigns that can create viral results.
2. Social media has the power to drive traffic to your website, blog, articles, etc.
3. Social media is able to bring people together, especially when promoting global products or cause-related
campaigns and ideas since it allows people from the different geographical location to meet at a single
point and express their views.
4. Social media could be the spark you are looking for to attract attention to your site, product or service. It
could also be used to further build loyalty and long-term relations with your audience.
Web Seminar: Use of Social Networking in Knowledge Sharing
ISBN 1-63102-458-2 89
5. Social media marketing could always be a fun and creative method of doing business.
CONCLUSION
Social networking platform allows organizations to improve communication and productivity by disseminating
information among different groups of employees in a more efficient manner. It is beneficial for the employer in
using the resources in an efficient manner. The workplace can become eco-friendly by not using paper and other
resources which can be saved.

Professor | Tecnia Institute of Advanced Studies | lalit.media@gmail.com Sachin Kumar | Graphic Designer | Tecnia Institute of Advanced Studies | sachingraphix@gmail.com Abstract: Social networking platforms may allow organizations to improve communication and productivity by disseminating information among different groups of employees in a more efficient manner. While it is not meant to be all-inclusive, the list below outlines some of the possible advantages and disadvantages of social media use by workplaces. Keywords: Social Networking, SNS, Media, Facebook. INTRODUCTION Social media are computer-mediated tools that allow people to create, share or exchange information, ideas, and pictures/videos in virtual communities and networks. Social media is defined as "a group of Internet-based applications that build on the ideological and technological foundations of Web 2.0, and that allow the creation and exchange of user-generated content”. Furthermore, social media depend on mobile and web-based technologies to create highly interactive platforms through which individuals and communities share, co-create, discuss, and modify user-generated content. They introduce substantial and pervasive changes to communication between businesses, organizations, communities, and individuals.[2] These changes are the focus of the emerging field of techno self studies. Social media differ from traditional or industrial media in many ways, including quality, reach, frequency, usability, immediacy and permanence. Social media operates in a dialogic transmission system, (many sources to many receivers). This is in contrast to traditional media that operates under a monologic transmission model (one source to many receivers). POSSIBLE ADVANTAGES • Facilitates open communication, leading to enhanced information discovery and delivery. • Allows employees to discuss ideas, post news, ask questions and share links. • Provides an opportunity to widen business contacts. • Targets a wide audience, making it a useful and effective recruitment tool. • Improves business reputation and client base with minimal use of advertising. • Expands market research, implements marketing campaigns, delivers communications and directs interested people to specific web sites. POSSIBLE DISADVANTAGES • Opens up the possibility for hackers to commit fraud and launch spam and virus attacks. • Increases the risk of people falling prey to online scams that seem genuine, resulting in data or identity theft. • Potentially results in negative comments from employees about the company or potential legal consequences if employees use these sites to view objectionable, illicit or offensive material. • Potentially results in lost productivity, especially if employees are busy updating profile etc. Employers do have the right to simply ban all computer activity that is not work-related, but this approach may not yield optimal results. If employees are to be allowed access to social networking platforms, then a comprehensive and well-defined policy should be established to prevent abuse. A SOCIAL NETWORKING USE POLICY GENERALLY • Defines what social networking is particular to your organization, so employees know exactly what is meant by the term. • Establishes a clear and defined purpose for the policy. • Communicates benefits of social networking and of having a policy. • Provides a clear platform for educating employees. • Takes into consideration any legal ramifications of not following laws.
  • 9. Advantages and Disadvantages of Social Media 88 ISBN 1-63102-458-2 • Refers to confidentiality of employer trade secrets and private or confidential information. • Provides guidance regarding social networking outside of company time/property that could be associated with the company, employees or customers. Some employers may prohibit posting of company information on social networking sites without explicit consent. • Provides examples of policy violations. • Outlines disciplinary measures to be taken for policy violations. What may be the most concerning aspect of social networking platforms is that they encourage people to share personal information. Even the most cautious and well-meaning individuals can give away information they should not; the same applies to what is posted on company-approved social networking platforms. Employees may not be aware of how their actions online may compromise company security. Educate employees as to how a simple click on a received link or a downloaded application can result in a virus infecting their computer and the network. Advise them not to click on suspicious links and to pay careful attention when providing personal information online. Remember that just because employees may have an online profile, it doesn’t necessarily mean they have a high level of security awareness. The biggest advantage of social media is its power to connect people. It has become a popular way for family and friends who live far away from one another (sometimes internationally) to keep up with what is going on in each other’s lives, without the expensive cost of long-distance calling. In a very different sphere, another advantage of social media is that it can used to connect people informally but academically. I know of other students who would not use Facebook at all if they didn’t need it for group projects and classes. On the other hand, some critics have made the argument that social media only serves to drive people farther away from one another. While it is great that you can contact your aunt in another country, these digital interactions are still a poor replacement for face-to-face contact. Sometimes, friends don’t feel the need to be as close in real life because they think that chatting online can make up for this. Another disadvantage of social media is that it can serve as a platform for inappropriate actions. People might do or say things they wouldn’t in real life because there are minimal rules for communication in social media. DISADVANTAGES OF SOCIAL MEDIA 1. The wrong online brand strategy could put you at a viral social disadvantage and may even damage your reputation, i.e, when you make a mistake offline, a few will know but when you make a mistake in front of hundreds or thousands of you online audience, most of them will know! 2. Using social media for marketing and advertising could be more time consuming than companies expect. 3. In order to get social media’s full effect, you need to understand how it works, when and how to use it and which channels to focus on depending on your end goal of using social media. 4. Social media can have a negative influence on worker productivity. Employees may waste valuable time using social media channels such as Facebook and Twitter. They can also use social media to attack the company’s reputation! 5. When social media is used excessively or in the wrong way, it could have serious detrimental outcomes on both mental and even physical health of individuals. ADVANTAGES OF SOCIAL MEDIA 1. When using social media for marketing products, social media could be easily utilized to create cost effective strategies and campaigns that can create viral results. 2. Social media has the power to drive traffic to your website, blog, articles, etc. 3. Social media is able to bring people together, especially when promoting global products or cause-related campaigns and ideas since it allows people from the different geographical location to meet at a single point and express their views. 4. Social media could be the spark you are looking for to attract attention to your site, product or service. It could also be used to further build loyalty and long-term relations with your audience.
  • 10. Web Seminar: Use of Social Networking in Knowledge Sharing ISBN 1-63102-458-2 89 5. Social media marketing could always be a fun and creative method of doing business. CONCLUSION Social networking platform allows organizations to improve communication and productivity by disseminating information among different groups of employees in a more efficient manner. It is beneficial for the employer in using the resources in an efficient manner. The workplace can become eco-friendly by not using paper and other resources which can be saved.
