1- The Nature of Library Work
• What is the essence of working in a modern library? The
following dimensions give an outline of some of the factors
which may be involved in your job, and how librarians
approach some of the aspects of their work.
1. For many librarians, the interruptions are the job.
2. Librarians mostly tend to be cooperators.
3. But some librarians have territorial tendencies!
4. Librarians like to say ‘yes’!

Politics
• It is useful, indeed necessary, to understand the politics in
your own library, and the related politics in schools,
faculties, and across the institution as a whole.
• The following tips may help you to map out the terrain and
to start to understand how your university or college works.
1. Read the paperwork.
2. Find out about the TLAs (and others).
3. Find out about the hierarchies.
4. Familiarize yourself with the key people.

4- Motivating Library Staff
• Sometimes library staff appears to be demotivated! and
usually managers get the blame. Library work involves staff
working together effectively, so motivation becomes
crucial.
• The following suggestions may help bring the problems
surrounding motivation to the surface, when many of them
can be tackled. Some of these suggestions are aimed at
managers, but all of them work best when everyone tries to
put them into practice.

1. Feel good about being a librarian!

6. Try to be aware of when you are moaning!

• Gone are the days when books and papers were the only
contents of libraries. Library staff and library users alike
make more use of computer-based systems every day.
• It can be somewhat traumatic making one’s first encounters
with such technologies; the following suggestions will help
you to minimize such difficulties.

1. Don’t be blinded by science when someone
demonstrates a new piece of equipment to you.
2. Learning is by doing — and making mistakes.
3. Don’t be afraid to ask.
4. Be willing to keep up with technology.

8. Don’t always assume it’s your fault when the system

1- Managing Stock
• Librarians are in business only for so long as they have the
stock that their users want to read, in the right quantities,
and in the right places for them to find. The following
suggestions may help you take stock of your stock position.
1. Remember whom the stock is for.
2. Be objective about stock complaints.
3. Be honest about the rubbish.
4. Remember that rubbish and valuable stock are two
ends of a long scale.

5. Don’t expect a book to be valuable just because you
think it is valuable, or because it is included in other
libraries that you know.
6. Be ready to argue the case for multiple copies of set
texts.
7. Work right through the stock at least once a year.
8. Don’t just change everything during the summer!
9. Have a policy to weed the rubbish continuously.
10. Remember the cataloguing implications.
11. Have a clear policy on explaining and justifying what
you throw out.

2- Managing the Journals Budget
• With journal prices going up between 10% and 30% a year,
and with level or decreasing funds, journal cuts are forced
upon libraries. At the same time, in many subject areas,
journals are the most under-used part of the library stock
and therefore the least cost- effective.
• The following suggestions may make this area of work less
traumatic.

1. Put journals into perspective.
2. Try to find out the perceived ‘pecking order’ of the
journals in a field.
3. Research the position elsewhere.
4. Maintain or reinstate a journal selection policy.
5. Explain to staff that cuts will have to be made

6. Students don’t value journals so much.
7. Have in mind a maximum amount that can be spent on
journals.
8. Try to get the maximum journal budget formalized.
9. Know which journals the students use.

12. A decision to cut a title can always be reversed.

3- Managing the Budget for Your School,
Department or Faculty
Suggestions regarding how to manage budget most
appropriately.
1. Always overspend rather than under-spend.
2. Give yourself room for manoeuvre in forecasting.
3. Keep tabs on the budget.
4. Commit your funds — or as much of the funds as you
want to commit — well before the end of the financial
year.
5. Never be unsure about anything to do with money.
6. Keep a wish list.

• Preparing business plans is part of the work of many senior
academic librarians. The following tips are designed to
familiarize you with the elements that often make up a
business plan.
1. Don’t do it alone.
2. Begin with a SWOT analysis.
3. Start with your strengths.
4. Work with your weaknesses.
5. Open up your opportunities.
6. Think about your threats.
7. Go on to do a STEP analysis.
8. Work out who your customers are.

5- Managing Library Environments
• Librarians mostly have to make the best out of what they
have got with buildings, equipment and furniture. So these
tips are aimed towards tweaking the system to try to get the
best out of what you’ve got.
1. Get to know your cleaning staff.
2. Plan a system that looks after itself where possible.
3. Get to know your caretakers or servicing staff.
4. Know where all the fuses are!
5. Learn the procedure for getting minor works done.
6. Have your own desk-collection of tools!

7. Try to get some control of your heating and
ventilation.
8. Build mess patrols into routine procedures.
9. Get at least some natural light.
10. Be on the look out for the early signs of infestation.

6- Managing Noise
• There are no easy solutions to the problem of noise. It is
rather like a garden: if you can keep it under some control
then you are doing well. However, when people talk to each
other, they learn a lot that they could not learn just from
looking at books or computer screens.
• The following suggestions may help both towards a quieter
life and towards an effective learning environment for users.

1. Accept that students have views about noise.
2. It is not only a student problem!
3. Recognize that some noise is legitimate.
4. Lead by example.
5. Zone your study space into quiet and group study
areas.
6. Recognize that traffic is noisy.

less-popular stacks.

1- Helping Students to Learn About
the Library
Helping students to learn about the library is a never-ending
process. The goal is to empower students to be able to use
the resources of the library for themselves — but librarians
know how few students actually manage to do this. Still it
is important to keep on trying. The following suggestions
should help your students to make good use of the library.
1. Be enthusiastic when doing user education!
2. Don’t assume anything!
3. Don’t assume that academic staff will help students to learn
about the library.
4. Find out where you need to start.

5. Get the outside view.
6. Have a variety of ways that students can learn.
7. Make learning about the library fun!
8. Legitimize appropriate group working.
9. Consider assessing library induction.
10. Link library activities with other assignments that students are

12. Introduce them gently.
13. Let them know the rules of the game.
14. Give them a map.
15. Be prepared for high IT demands.

2- Dealing with Enquiries
Librarians spend much of their time and energy dealing with
questions from students. Many of the suggestions here are
also relevant to: enquiries from academic staff and other
users, but since most enquiries tend to come from students
so the major focus is on students.
1. Be seen immediately as wanting to help.
2. People almost never ask for what they actually want.
3. People sometimes don’t know what they want.
4. Gather as much information as you can.
5. Try to see the lecturer’s instructions to the students.

6. ‘Is it 500 words you’ve been told to write, or 5000?’
7. ‘Is it an essay you’re going to do, or a presentation,
or a group project?’
8. Try to understand the subject area yourself.
9. Don’t forget current affairs.
10. Keep yourself abreast of the stock that is most
relevant to frequent enquiries.
11. Think of yourself as a detective.
12. Don’t worry if you can’t solve a particular enquiry
straight away.
13. Sometimes, enquiries need to be referred on.
14. Don’t pass enquirers on unnecessarily.

3- Supporting International Students
Academic libraries are often used by students who speak many
languages. Quite frequently, English is not their strongest
one. Student users come from all kinds of cultures and
backgrounds, both from within the country and from
abroad and they may find local conditions different and
confusing.
The following suggestions may alert librarians to some of the
main issues to bear in mind.

1. Help gently with acculturation issues.
2. Beware of making assumptions.
3. Whenever possible, write things down for students who
may not be following your directions.
4. Don’t interpret lack of English language skills as an
indicator of lack of ability.
5. Think about providing user-guides is different
languages.
6. Keep your distance!
7. Don’t assume that international students will
understand the classification systems you use.

8. Be aware that international students can have very
different experiences of technology in libraries.
9. Be ready to clarify issues that may be different in your
institution’s learning environment.
10. Be prepared to act on occasions more like a tutor than
a librarian.
4- Supporting Part-Time Students
Part-time students make up an increasing proportion of the
users of academic libraries. While in most respects, all
students need to be treated equally in the design of library
systems and processes, it remains possible to go that extra
step to help part-timers with their particular needs.
1. Remember that part-time students don’t have much
time.
2. Part-time students may miss out on induction.
3. Part-time students often need places for group work.
4. Part-time students have different study-skills needs.

6. It can be worth having some set texts specifically
reserved for part-time students.
7. Encourage part-time students to make good use of
online support and information services.
8. Part-timers are likely to visit the library less

large library.
10. Some part-time students have a ‘supermarket dash’
approach in the library.
5- Supporting Students with Special
Needs
Librarians need to take into account the requirements of
students with special needs when planning library
provision. These suggestions are designed to help you
think about how best to approach this.
1. Adopt a positive action approach.
2. Involve the students in managing the support you
offer.
3. Think carefully about the language you use.
4. Don’t assume that people with mobility problems are
wheelchair-bound.

5. Don’t use difficult buildings as an excuse to exclude
people with special needs.
6. Help people with visual impairments.
7. Help students with hearing difficulties.
8. Make provision for students with learning
difficulties.
9. Recognize that it is important to provide support for
students with, and recovering from, mental illness.
10. Keep in mind health and safety requirements for
students with special needs.
11. Seek out additional support.
6- Helping Students to Use the
Internet Productively
Students using the Internet in the library are a client group that
is now very significant in academic libraries. The
following suggestions may help librarians to support
students.
1. Be well informed about what students must do
before they can log on.
2. Be willing to talk students through logging on for the
first time.
3. Help students to use the Internet for information
retrieval.
4. Demystify the process for technophobes.

5. Introduce students to the various browsers, and
show them how to make their own bookmarks.
6. Emphasize the importance of learning by playing.
7. Encourage students to learn from one another.
8. Help students to discover the joys and perils of e-

10. Help students to avoid frustration with the Internet.

1- Liaising with Academics
The simple fact about liaising with academics is that the more
effort you put into it, the more effective it is. It takes you
away from other tasks but, if effective, is probably the
single most worthwhile activity that a subject librarian can
engage in. Finding out what the information needs of your
institution are at a grass roots level is critical in times of
financial restraint. It allows the librarian to build up a very
clear picture of what is required. The stockfund will be
spent more effectively as a result, the service will probably
be used more and the library will be seen as more
proactive.

1. Don’t think of liaison in terms of just one academic.
2. Don’t just liaise with academic staff!
3. Be aware that people may be prioritizing their own
needs.
4. Think of liaising with all the academics in your subject
area.
5. Don’t rely too much on circulars to staff or e-mail.
Most academic staffs are sinking in paperwork already.
6. Don’t wait for academics to come to you.
7. Don’t expect academics to tell you what you need from
them.

2. The most important thing is that you are present and
listening to what is said.
3. Read the advance paperwork carefully.
4. Try to get library matters down as a regular agenda
item.
5. Use the committees to get to know key players.
6. Recognize the vociferous minority.

9. Divide the issues raised between those you can do
something about and those you can’t.
10. Take particular note of the issues you may be able to
change.

There is much in common between the work of the educational
or staff developer and that of librarians; both roles have
strong emphasis on increasing the quality of students’
learning. The following suggestions may help.
1. Be useful to your educational developers.
2. Educational development spans the whole operation
of the college.
3. Get to know your educational developers.
4. Join in with feedback-seeking initiatives.

development workshops.
8. Try to get included in educational development

4- Encouraging Academics to Use
Resource-Based Learning Effectively
The librarian has a key role in helping colleagues to move
from a tutor-centred mode of teaching towards student-
centred learning in which learning resources play a large
part.
1. Help them to identify what they’ve got already.
2. Dissuade them from simply dumping their notes on
the Web!
3. Raid their bookshelves!
4. Help them to work out how best to use library stock.
5. Advise them about copyright.

8. Remind lecturers about the importance of effective

5- Preparing for Quality Assessments
The following suggestions are based on recommendations
drawn together in the UK by the Standing Conference of
National and University Librarians (SCONUL) and the
Universities and Colleges Information Systems Association
(UCISA) together with the teaching-quality assessment
division of HEFCE.
1. Check the connections between library and
computer services to course development and review.
2. Work with the course teams in the preparation of
their self-assessment documents.
3. Avoid the temptation to grumble to the quality
assessors!

4. Appoint one person to be in charge of the library’s
representation during each teaching-quality
assessment visit.
5. Ensure that everyone is fully briefed for the occasion
of a quality assessment visit.
6. Library and computer services staff need to be seen
to communicate together effectively.
7. Be prepared to show that library staff communicates
effectively with the academic staff teaching the
courses being assessed.
8. Have clear open lines of communication between
students and library staff and computer services
staff.

9. Ensure that students are actively encouraged to
make full use of the facilities available to them in
libraries and computing centres.
10. Be prepared to show that new academic staff are
given useful induction into the library and
computing provision.
11. Library and computing support needs to be seen to
match course requirements, as outlined in the self-
assessment document produced by the course team.
12. Have clear and appropriate mechanisms for the
selection of relevant learning resource materials and
equipment.

13. Check that the availability of facilities and resources
is sufficient, as far as possible, to match student
needs on the courses being quality-assessed.

  • 8. 1- The Nature of Library Work • What is the essence of working in a modern library? The following dimensions give an outline of some of the factors which may be involved in your job, and how librarians approach some of the aspects of their work. 1. For many librarians, the interruptions are the job. 2. Librarians mostly tend to be cooperators. 3. But some librarians have territorial tendencies! 4. Librarians like to say ‘yes’! 8
  • 9. Cont… 1- The Nature of Library Work 5. What is important to librarians is not always ‘what is’ important to others. 6. Librarians are often ‘pig in the middle’. 7. Librarians’ jobs are about meeting information needs. 8. There is necessarily some tension between effective liaison, and meeting day-to-day demands. 9. There is a similarity between library work and warehousing. 10. There are almost certainly no perfect solutions to librarians’ major problems. 11. Librarians are at the sharp edge of technology. 9

  • 11. 2- Keeping On Top of the Job Tips to help you keep on top of the work in a flexible and responsive way. 1. Train yourself to be relaxed about interruptions. 2. Tell users how to do things, rather than always doing it for them. 3. Become skilled at finding out what people really want. 4. Don’t expect information technology always to be the answer. 5. Aim to be able to do running repairs. 6. Be willing to learn from students. 11
  • 12. 7. Don’t go it alone. Librarians tend to work well in teams. 8. Accept that there will always be unfinished business. 9. Distinguish between the urgent and the important. 10. Find out as much as you can about what everyone else can do well. 11. Be alert for new ideas. 12. Keep staff training in mind all the time. Cont… 2- Keeping On Top of the Job 12

  • 14. 3- Getting to Grips with Your Institution’s Politics • It is useful, indeed necessary, to understand the politics in your own library, and the related politics in schools, faculties, and across the institution as a whole. • The following tips may help you to map out the terrain and to start to understand how your university or college works. 1. Read the paperwork. 2. Find out about the TLAs (and others). 3. Find out about the hierarchies. 4. Familiarize yourself with the key people. 14
  • 15. Contd… 3- Getting to Grips with Your Institution’s Politics 5. Look out for the ‘kitchen cabinet’. 6. Observe how people behave in meetings. 7. Find out about the committee structure. 8. Go back to the future. 9. Get yourself a mentor. 10. Get the low down on the past. 11. Don’t become a maverick. 12. Be in all the right places at all the right times. 13. Be ready to inform policy decisions. 14. If unsure, ask. 15

  • 17. 4- Motivating Library Staff • Sometimes library staff appears to be demotivated! and usually managers get the blame. Library work involves staff working together effectively, so motivation becomes crucial. • The following suggestions may help bring the problems surrounding motivation to the surface, when many of them can be tackled. Some of these suggestions are aimed at managers, but all of them work best when everyone tries to put them into practice. 17
  • 18. Contd… 4- Motivating Library Staff 1. Feel good about being a librarian! 2. Don’t blame the boss. 3. Don’t blame the government. 4. Don’t blame one another. 5. Don’t blame yourself either! 6. Try to be aware of when you are moaning! 7. If you are the boss, tackle the problem of motivation head on. 8. Notice what staff are doing and always comment when something is done well. 18
  • 19. Contd… 4- Motivating Library Staff 9. Praise has to be genuine. 10. Work out a number of different ways of saying ‘well done’. 11. Start looking for what is being well done. 12. Open a ‘thanks!’ box. 13. Small actions also count. 14. Criticism is not the same as blaming. 15. Talk to your people. 16. Be willing to listen. 17. Within sensible limits, let staff re-design their own jobs. 19
  • 20. Contd… 4- Motivating Library Staff 18. Encourage ownership of decisions. 19. Try to avoid an atmosphere where everyone takes everything far too seriously. 20. Allow people to be honest without fear of recrimination. 21. Remember that money is not the only motivator. 22. Have a short ‘accolades’ round to start off staff meetings. 20
