ADMINISTRATIVE ACHIEVEMENTS / SKILS
 Preparing the purchase requests & inviting quotations for the procurements.
 Preparing Supplier Selection Canvass Sheets/Comparative statement & issuing the Purchase Orders in favor of the
selected supplier.
 Maintenance of record for the office stationery purchased / issued, along with showing running balances of the
each item.
 To keep track & record of the travel authorizations.
 Handling logistics arrangements i.e. travel arrangements for the staff, foreign delegations, & other official guests.
 Along with arrangements for the hotel reservations & airport pick / drops etc. Maintenance and up keeping of
office automation equipment i.e. photocopies, fax machine & printers etc.
 Arranging training workshops, meetings, seminars & other outdoor activities organized by the PLAN
INTERNATIONAL PAKISTAN.
 To monitor the standard of services provided by the third party based on the agreement signed with them and
reporting to Program Manager, if found any deficiency.
 Maintenance of office filing system as prescribed by the Int’l. Head Office with the objective to save the time and to
increase quality and quantity of work in minimum time.
 Lesioning with Front Line Management and field staff with providing maximum and timely support.
 To scrutinizing the variances of expenditures with the budgeted vs. actual and to monitor the field activities on the
basis of budgeted data.
 To verify the third parties / projects payments/bills according to the job contracts signed by the parties.
 Maintenance and reconciliation of store inventories record of the following; Non- food relief items, Office
stationery, Office fixed assets, and reconciliation of Petty cash book and correspondences with Co-partners office,
Suppliers, Governmental & non-governmental departments, Field offices.
 To Supervise the support staff to maintain a hygienic environment in office premises
 Payments of utility bills with control and analyze the expenses
 Supervise Advertisement / publicity matters concerned with Govt. / Public offices
 Issuance of fuel fleet cards along with control and analyze the expenses
 Checking of Company vehicles logbooks and maintaining its record
 Prepare Company vehicles repair and maintenance expenses and record
 Control and analyze the expenses spent and try to identify the areas which exceed the usual consumption, in
accordance with the budget
 Maintaining record of furniture & fixture
 Hiring new premises / office
 Building maintenance (AC, janitorial services, office layout….etc)
 Establish and maintain positive work relationships with government authorities for the smooth administration
 Ensure protection and security of offices and office records
 Supervise the office assistants / office boys for maintaining the pantry services
 Perform any other duties required by management
LOGISTICS ACHIEVEMENTS / SKILLS
 Management of program and project transport requirements.
 Develop, plan and deliver all aspects of the events in an organized and professional manner.
 Seeking permissions for land and venues, negotiating the best rates and ensuring appropriate confirmations and
paperwork is in place.
 Recce all events, including organizing quarterly visits with the rest of the Events Team to event locations in order to
provide the full briefing, training, and brainstorm/problem solve logistics.
 Liaise with the Country Office on development and application of policies in order to enhance the operations
systems that are valuable for the Area / Project Office.
 Allocate duties to drivers for field mobility.
 To ensure proper maintenance of vehicles and in running condition
 To ensure the availability of vehicles in pool for emergency / breakdown
 Ensuring full compliance with organizational security policy and regulations.

 Manage travel and accommodation plans of international and inter-offices staff.
 Facilitate international missions and delegations with respect to their logistic needs.
 Maintenance of equipment’s inventory.
 Ensure that procurements are made in line with the approved policy, the data base for potential suppliers is
maintained and documentary records are kept in a safe possession.
 Keeping up to date event plans and documentation.
 Plan the logistics and delivery of events in the most cost effective way, remaining within the set budget.
 Recording and paying all invoices on time, following the correct internal processes.
 Ordering all t-shirts, medals, Backdrops, Banners and other participant materials/merchandise for the team.
PROCUREMENT ACHIEVEMENTS / SKILLS
 Preparing formal bid documents for items and services for the purpose of ensuring that material is in compliance
with all procurement regulations.
 Compiles reference data from a variety of sources for the purpose of reviewing compliance with policies and
procedures.
 Informs other staff and vendors regarding procedural requirements (e.g. ordering and purchasing procedures,
available funds, etc.) for the purpose of facilitating the purchasing process with established practices.
 Maintains purchasing documents, files and records (e.g. Requests for Proposal, vendor files, etc.) for the purpose of
ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
 Participates in meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering
information required to perform job functions.
 Processes financial data and documents (e.g. bids, incoming purchase requisitions, mail, etc.) for the purpose of
updating and distributing information and/or acquiring resources to support purchasing operation in compliance
with established guidelines.
 Processes requisitions into approved purchase orders for the purpose of updating and distributing information
and/or acquiring resources in compliance with established guidelines.
 Reviews and authorizes purchase orders within assigned limits for the purpose of facilitating on-site ability to
acquire required supplies and/or equipment.
 Reviews documents and data (e.g. incoming requisitions, past purchases, reconciliations, inventories, etc.) for the
purpose of ensuring completeness and accuracy of the purchasing process.
SECURITY ACHIEVEMENTS / SKILLS
 To ensure the security of Staff.
 To establish Safety and Security Risk assessment of staff and office building and its implementation.
 Attend security meetings organized at Area / Project Office level and maintain regular contact with other
NGO/UN security focal points.
 As Focal Person for Security Review Team (SRT); prepare emergency evacuation plans, organize drills ensure the
implementation when required.
 Liaison with police and other security agencies, and ensure security plans are updated on a regular basis in
collaboration with the Country Security Manager.
 Monitor staff movement to ensure the compliance with the Field Security Manuals while traveling in the field.
 Secures premises and personnel by patrolling property; monitoring surveillance equipment; inspecting buildings,
equipment, and access points; permitting entry.
 Monitor alarm systems, closed-circuit television (CCTV) systems.
 Prevents losses and damage by reporting irregularities; informing violators of policy and procedures.
 Completes reports by recording observations, information, occurrences, and surveillance activities.
 Maintains organization's stability and reputation by complying with legal requirements.
 Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's
instructions; troubleshooting malfunctions; calling for repairs; evaluating new equipment and techniques.
Contributes to team effort by accomplishing related results as needed.
