Information for Parents, Athletes and Pupil Spectators
Dear Parent(s) / Guardian(s)
This Friday, 13 February, our school will be travelling to Coetzenberg in Stellenbosch to take part in the
2015 Inter-School athletic’s meeting. This will be a first experience at Coetzenberg for our school and we
hope to have a wonderful day.
Please find below the information you need to know for the day. If there are any further queries, please
contact the school. We are requiring that all pupils travel to and from the stadium on Fairmont arranged
transport so that we can keep a tight control on the transport arrangements.
Parents who wish to travel to and from the stadium may travel in convoy with the buses. The moment we
make travel concessions for one pupil and that pupil offers a lift to another, the situation could result in us
losing transport control. Each pupil will be allocated to a bus and an embarking checklist, both at school
and the stadium, will be conducted.
Tickets for parents will be available at the stadium at a cost of R10 per adult and R5 for U18 visitors. Pupils
who are attending the function on the day enter free. We kindly request that pupils who have indicated that
they will not be attending the athletics day, do NOT arrive on the day at the Coetzenberg track. This will be
closely monitored at the gate.
2. Information for Athletes:
Athletes must wear the new athletics vest with green shorts (any tights worn in addition to the shorts
must be the Fairmont green tights).
There will be a uniform check (no make-up, jewelry, girls MUST tie up hair, boys must be shaven)
before athletes board the bus.
Register at 05h30 at school with Ms Phillips and the relevant age group manager/s in the main parking
area in front of the school.
Parents of athletes please note that the front parking area will be out of bounds for drop-off of athletes
after 05h30. No cars will be allowed to enter the front gate after 05h30 to facilitate the departure and
boarding of buses. To avoid traffic congestion en route to Stellenbosch, ALL buses must depart
Fairmont High school by after 05h30 for athletes and 06h30 for spectators.
The day at Coetzenberg will end at approximately 16h00. Please arrange to fetch your children from
school at 17h30. This time is subject to traffic flow. Please keep in contact with your children for
updates on their arrival time on their way home.
Arrival at Coetzenberg: After entering the stadium – athletes must report to the relevant athlete
gathering point on the embankment (staff members will direct you to the athlete area).
Athletes will march onto the track at 09h40.
After the march-on and cheers, athletes are to be seated opposite their school on the track.
Athletes must stay on the embankment for the day.
Use the tuckshop facilities when needed (behind the stand), but return to the athletics team ASAP.
Use toilets on embankment.
NO athletes may be behind the main stand or at any other area except the designated FHS
athlete area at any time during the day, unless they are participating in an event.
Please apply sun screen regularly throughout the day.
Please bring own strapping and own cream for sore muscles.
Please bring along all the food and beverages you require for the day.
All school rules apply and we expect exemplary discipline on the day.
Please remember to keep the area on the embankment litter free. At the end of the day, everyone will
be responsible for picking up the leftover litter.
Please be careful with your cellphones and money.
It is a normal school day. No learners will be able to leave the stadium.
If you are ill, please go to the First Aid tent, where contact will be made with Mrs Gallie / Mrs Lourens.
No learner is allowed to leave with their parents. If an issue arises, see Mrs Gallie / Mrs Lourens
regarding the matter.
Spectators cheering on the stand:

All learners must please ONLY be dropped by the back gate, tennis court gate or in Hillcrest Road
outside the main entrance to the school. No cars will be allowed to enter the front gate after 05h30
to facilitate the departure and boarding of 16 buses. To avoid traffic congestion en route to
Stellenbosch, ALL buses must depart Fairmont High school by 06h30.

Learners must report to the marked register points. Buses will be loaded according to the seating
arrangements on the stand. Learners will be informed which bus they must board and what time
they need to be at the register point.
Latecomers MUST report to Ms Piek and make sure they have been ticked off on the register.
Ms Piek will assign you to a bus.
Arrival at Coetzenberg: you will be guided to the designated seating area by the staff on duty.
Learners will be seated on the stand closest to the main gate.
At 09h40, athletes will march past and cheer will commence.
It is a normal school day. No learners will be able to leave the stadium.
If you are ill, please go to the First Aid tent, where contact will be made with Mrs Gallie /
Mrs Lourens.

The day at Coetzenberg will end at approximately 16h00. Please arrange for lifts from 17h30 from
Fairmont High School.
No bags will be allowed into the stadium.

Bus Rules:
1. Register and bus allocation:
Please only board the bus that has been allocated to you. Each bus will be numbered.
Register will be taken at school and when we leave Coetzenberg later during the afternoon.
Register in the morning: main parking area outside school. Please line up at the bus that has been
assigned to you – there will be signboards to assist you.
Register in the afternoon prior to departure from Coetzenberg: in the area next to stand. Please
line up at the signboard which will indicate the relevant row number and corresponding bus
number.
Pupils must travel back on the bus on which they arrived – refer to your bus number.
2. Please remain seated at all times in the bus.
3. Please do not put any part of your body out of the bus window.
4. No items may be thrown out of bus windows.
5. Do not make gestures to passing motorists / pedestrians.
6. Please follow the instructions of the teachers on the bus.
7. Please keep the bus litter free.
