Event Coordinator
Duties include:
 Coordinate registration for trade events for all companies.
 Coordinate all promotional and event materials for all corporate and trade events such as
artwork, mock ups, promotional materials and giveaways, product information needed,
posters, coupons, booths and booth accessories, banners and all signage, digital images and
videos, tools, display needs, product displays
 Coordinate with tradeshow and event managers to organize show-space, furnishings, pre and
post storage, material handling, electricity, plumbing, banner hanging and other related items
or utilities that may be required for each show.
 Work with Customer Service and Shipping Departments to coordinate the consolidation of the
event shipments.
 Liaise with Executives, Key Account Managers and Sales Representatives to coordinate shows
and events materials.
 Communicate with the internet marketing department on shows and events that can be
attended and/or marketing via their department.
 Coordinate staffing for shows and trade events.
 Coordinate with IT for equipment required for events.
 Coordinate with purchasing department for event promotional products and incentive
giveaways.
 Coordinate the loading and unloading of tradeshow crates with the shipping departments.
 Monitor inventory of event supplies.
 Coordinate the creation/design of booth artwork.
 Coordinate the set-up/tear-down of trade show booths.
 Work with company contractors to repair, construct and improve tradeshow and event
equipment.
 Submit requisitions and create purchase orders for all event-related requirements companies.
 Coordinate the payment of event-related invoices for all companies along with coordinating
the setup of new vendors into the system.
 Renew corporate memberships.
 Maintain yearly event schedule for all companies.
 Liaison with speakers to secure event dates, provide event and presentation info, and provide
itinerary.
 Building a Canadian National demo program; assisted in hiring new product demonstrators,
creating work procedures, creating training manuals, purchasing supplies needed, coordinating
training, and being the point person of contact.
 Coordinate retailer and consumer contests; obtain signed consent documents, coordinate
