11. INTERVIEW – INSTRUCTIONS TO RESEARCHERS
Preparation
• Dress properly
• Bring along ID card, authorization letter, clipboard, pen, interview questions,
recorder. (Make sure the recorder is working properly)
• Identify your areas and target groups/ respondents. Only 1 respondent can be
interviewed at 1 time.
• Make sure to be on time if the respondent has already decided on the time and
date for the interview.
• Try to conduct an interview in quiet room.
• Put your phone in silent mode during interview. Stay focus and do not get
distracted.
• Smile. Speak clearly and slowly. Do not speak too fast because it can be stressful
to the respondent.
• Keep an eye on the time.
• Study the questions. You might need to rephrase them so that your target
respondent can understand.
12. Making your respondent comfortable
• Introduce yourself, explain the purpose of research, show your authorised letter
and ID card.
• Record the interview using recorders from the very beginning.
• Explain to respondent that this is public perception research and therefore there
is no right or wrong answers.
• Explain to the respondent that all information provided will be kept strictly
confidential and available only to persons to whom it is necessary to write the
assessment report.
• Write down the particulars of your respondents: name, area, age, gender,
occupation.
• Ask your questions and take simple notes for the answers. (The notes can act as
reminders for you when transcribing the interview)
13. Conducting the interview
• Ask about the general perception of the project and then all 7 main issues related
to the project.
a) Immigration
b) Economy & Human Resource
c) Poverty Rate.
d) Communication & Media
e) Health, Environment & Security
f) Social & Community
g) Future Hope
• Speak in language common to the respondents for his/ her easy and clear
understanding. (Northern dialect)
• Be polite and act with consideration and prudence during interview.
• Try to end the interview within 1 hour. (The most 1 hour and 30 minutes)
14. Things to avoid.
• Arrive late or miss your appointments.
• Reschedule your appointments.
• Dress poorly. Do not care about appearance.
• Overtired/ Bored appearance.
• Bad manners/ inappropriate behaviour.
• Complaining about the jobs.
• Gossiping about irrelevant issues.
• Talking/commenting about political matters.
• Making promises to pay money.
• Getting into arguments.
• Talking call during interview.
• Being angry because of criticism.
• Showing negative body language.
15. End the Interview
• Try to end the interview within 1 hour. (The most 1 hour and 30 minutes)
• Thank the respondent for their time and valued information.
• Explain to them that the information will be used to prepare better report for Chuping
Valley Assessment project.
EVERY INFORMATION SHOULD BE TREATED AS PRIVATE & CONFIDENTIAL
Updating the progress everyday.
• On average each enumerators will have to conduct 12/13 (12.6) interviews and 226
surveys.
• Each enumerators have to update the work progress by whatsup.

18. • Listen to the interview and write it down exactly the way it has been spoken.
(True verbatim sentences)
• True verbatim sentences requires a keen ear and attention to detail. Pay close
attention to every sound, tone, word and make intelligent use of punctuation to
convey the correct message.

19. Definition
True Verbatim Transcription
Everything a person says is faithfully copied, which means any grammatical errors,
repetition, or false starts are delivered without being tidied up.
Verbatim Transcription
Verbatim transcription involves detailed transcription followed by light editing,
delivering a transcript not overloaded with unnecessarily detail.
Intelligent Verbatim Transcription
This style of transcription involves creating a clean, print-ready transcript that has
been edited in detail to correct grammatical errors, improve sentence structure
(paraphrasing) and remove distractions fillers (um, uh, you know, etc.), false starts
(incomplete sentences) and repetitions (repeated words and sentences).
20. Rules
1) Do not paraphrased sentence. True verbatim sentence is used to show
pronounced emotion.
Example
True Verbatim sentence : Buat pa kalau tercemark semua. Kita kena
jaga jugak …..
Paraphrase sentence : Tidak setuju kalau mengakibatkan
pencemaran. Kita kena juga menjaga (alam
sekitar).
2) Do not leave out non verbal communication since communication has a lot of
other components such as gestures, pauses, laughter etc.
Example
True Verbatim sentence :Emmm…. ya ka….(gelak). Tak degark apa-apa
pun.
21. 3) When you and respondent speak at the same time, indicate this with /, as in:
Example
A : Ya, saya lama dah/ dok sini.
Q : Oh! ogang sini?
A : Tak ogang KL.
“dok sini” and “Oh! ogang sini” were said at the same time and A continued on
his sentence without stopping.
4) Use = when two lines come directly after one another without a gap.
Example
Q : Jadi pakcik sokonglah? =
A : = Ya!
That is a very fast reply.
5) For short pauses add a full stop, each one representing a second. For pauses
longer than 4 seconds, put time in brackets and italicised e.g. [6 second pause]
22. 6) Write down fillers and false starts
Fillers are the ums, ahs, you knows, that are often used by speakers to buy time
to think.
Example
A : Umm…hujan bah jugak.
False starts are sentences that are started but never completed.
Example
A :Umm…rasa macam…tu depa dok kata…
Fillers and false starts may break the flow of speaking but often provide insights
into the thinking process of a speaker. The process of verbatim transcription
therefore includes these components in the transcript rather than editing them
out.
