Navigator
                       Individual Library Questionnaire

WorldCat Navigator is a consortial borrowing service. It is driven by the Navigator Request Engine
(NRE). To enable OCLC to configure this service according to the practices and preferences of each of
your member libraries, each institution planning to borrow or lend items within the consortium must
complete this questionnaire and its associated spreadsheets. Within the questionnaire, the three sections
can be distributed to different departments and then merged and returned to OCLC.

Some guidelines:

    •   For multiple-choice questions, you may either highlight the proper response or delete the
        improper one.

    •   If you already have a spreadsheet or other document that contains the details requested in the
        tables, enter the document name as the response and send it when you return the questionnaire.

    •   For the grayed text boxes, you can enter/type the information requested within the text box.

SECTION I: LIBRARY OPERATIONS and POLICIES

PART 1: Your Library’s Resource Sharing System

    a. Services you provide as a Lender

entitled “Institution Entities” in the spreadsheet with the appropriate details for all of the entities within
your institution that play a role in the consortial borrowing function. Instructions can be found in the
worksheet entitled “Inst. Entities Instructions.”

section and proceed to “PART 3: Your Library’s Resource Sharing Workflow”)

PART 3: Your Library’s Resource Sharing Workflow

a. Locally Held items
  What do you want to happen when a patron requests consortial borrowing for an item that is available in
  your collection?

              Stop the request for staff review. If staff decides the request shouldn’t go forward, alert the
user.

             Remove my library from the lender string and forward the request for normal processing

             Keep my library in the lender string and send the request to my library for fulfillment.

             We are using WorldCat Local and do not allow requests for items available in my library.

 If you select the first option, you can customize the text of the e-mail. Any of the request details can be
 included in the e-mail message. Here is a sample. Modify it to suit the needs of your library.

b. Duplicate Requests
  What do you want to happen when a duplicate request is detected by NRE? A duplicate is defined as a
  request for an item that has previously been requested by the same patron and the previous request is
  still an active request.

             Stop the request for staff review.
             Allow the duplicate and forward the request for normal processing



c. Unfilled Consortial Requests

 Select the option you would like applied when no Lender string can be built:

          Cancel the request

          Send to our ILLiad

          Send the request to WorldCat Resource Sharing

          Send an e-mail with request and patron details to our ILL staff for processing



 Select the option you would like applied when the request has gone through the entire Lender string
 and no potential Lender can fill the request
Cancel the request

           Send to our ILLiad

            Send the request to WorldCat Resource Sharing

           Send an e-mail with request and patron details to our ILL staff for processing


If you selected the option to send an e-mail to the ILL staff, what e-mail address should be used?

d. User Notification
NRE can alert your end users when their requests have reached a particular status. This function
requires an end user’s e-mail address to be included in his user details and/or explicitly entered in the
request.

   Do you want automatic e-mail alerts sent to your users for the following conditions?

If YES, Please supply the text of that e-mail. Any of the request details can be included in the e-mail
message. Here is a sample. If you want NRE to notify your user when a requested item has been
received, please modify the sample notification below to suit the needs of your library.

         2. The request has been sent to all potential lenders and has not been filled.

If Yes, please supply the text of that e-mail. Any of the request details can be included in the e-mail
message. If you choose to notify your patron that a request is unfilled, rather than send the request on to
ILL outside the consortium, please modify the sample notification below to suit the needs of your library.

        We are unable to supply your request for the item.

        3. The Lender has reported the item overdue.

message. If you choose to have NRE send overdue notices to your users, please modify the sample
overdue notice below to suit the needs of your library.

e. Shelf locations

When the Item Availability Service searches your OPAC and indicates to NRE that an item is available at
a certain shelf location, NRE matches the shelf location to an NRE location entity which performs lending
functions. This is how the lender strings are built.

The shelf locations are the text that displays in the Location column in your OPAC.
Here is an example:




In the accompanying “Additional Navigator Information” spreadsheet, there is a worksheet entitled “Shelf
Locations.” The purpose of this worksheet is to collect shelf locations for your institution and link them to
an entity on the Institution Entity worksheet. When filling out this worksheet, do not include shelf locations
of non-circulating items. If in doubt or if some items circulate and others don't, the shelf location should
be included. You may be able to get a complete list of shelf locations from your OPAC system
administrator or from your OPAC vender. Instructions on filling this worksheet out are on the worksheet
entitled “Shelf Locations Instructions.”


f. Availability terminology
    In the accompanying “Additional Navigator Information” spreadsheet, there is a worksheet entitled
   “Availability Terminology.” In order to determine if a requested item is available at your library, NRE
   needs to know the availability and status terms or labels that your ILS uses. In the worksheet, please
   list all the availability status terms used in your catalog (such as On Loan, On Shelf, Missing) and
   indicate if items with that status can be requested by other members of your consortium. Additionally,
   whether an item can be requested from your library may depend on the combination of status AND
   shelf location, we provide a column for you to indicate when this interdependency exists in your
   lending policies.

  • 1. Navigator Individual Library Questionnaire WorldCat Navigator is a consortial borrowing service. It is driven by the Navigator Request Engine (NRE). To enable OCLC to configure this service according to the practices and preferences of each of your member libraries, each institution planning to borrow or lend items within the consortium must complete this questionnaire and its associated spreadsheets. Within the questionnaire, the three sections can be distributed to different departments and then merged and returned to OCLC. Some guidelines: • For multiple-choice questions, you may either highlight the proper response or delete the improper one. • If you already have a spreadsheet or other document that contains the details requested in the tables, enter the document name as the response and send it when you return the questionnaire. • For the grayed text boxes, you can enter/type the information requested within the text box. We are using WorldCat Local and do not allow requests for items available in my library. If you select the first option, you can customize the text of the e-mail. Any of the request details can be included in the e-mail message. Here is a sample. Modify it to suit the needs of your library. SUBJECT: Requested item is available at your library The item you have requested is available at your library. Your request number: Date request was placed: Title: Author: If you need help or have additional questions, please consult with reference staff at (###) ###-####, email@domain.edu, Thank You b. Duplicate Requests What do you want to happen when a duplicate request is detected by NRE? A duplicate is defined as a request for an item that has previously been requested by the same patron and the previous request is still an active request. Stop the request for staff review. Allow the duplicate and forward the request for normal processing c. Unfilled Consortial Requests Select the option you would like applied when no Lender string can be built: Cancel the request Send to our ILLiad Send the request to WorldCat Resource Sharing Send an e-mail with request and patron details to our ILL staff for processing Select the option you would like applied when the request has gone through the entire Lender string and no potential Lender can fill the request

E-mail:       d. User Notification NRE can alert your end users when their requests have reached a particular status. This function requires an end user’s e-mail address to be included in his user details and/or explicitly entered in the request. Do you want automatic e-mail alerts sent to your users for the following conditions? 1. The item has been received. YES NO, my circulation system will do this If YES, Please supply the text of that e-mail. Any of the request details can be included in the e-mail message. Here is a sample. If you want NRE to notify your user when a requested item has been received, please modify the sample notification below to suit the needs of your library. SUBJECT: Your item is ready for you to pick up Name: Pickup Location: The material requested from [consortium name[ Title: Is now available. If the item is not picked up within __ days, it will be returned to the lender. Please call the Circulation Desk (###) ###-#### if you no longer need the material. Thank you. 2. The request has been sent to all potential lenders and has not been filled. YES NO, unfilled consortial requests will go to ILL If Yes, please supply the text of that e-mail. Any of the request details can be included in the e-mail message. If you choose to notify your patron that a request is unfilled, rather than send the request on to ILL outside the consortium, please modify the sample notification below to suit the needs of your library.
  • 6. SUBJECT: Unable to supply requested item We are unable to supply your request for the item. Title: because it is currently unavailable in [your consortium] If you still would like this item, you may request it via Interlibrary Loan. If you need help or have additional questions, please consult with reference staff at (###) ###-###, email@domain.edu Thank You. 3. The Lender has reported the item overdue. YES NO, my circulation system will send the overdue notices If Yes, please supply the text of that e-mail. Any of the request details can be included in the e-mail message. If you choose to have NRE send overdue notices to your users, please modify the sample overdue notice below to suit the needs of your library. SUBJECT: Overdue notice The item borrowed from a [consortium name] library, Title: Is now overdue. Please return this item promptly, if you have not already done so. Please contact us if you have questions or concerns. Thank You. Call us, (###) ###-#### E-mail us at, email@domain.edu If you requested that an e-mail should be sent to your users, what e-mail address should be used as the ‘From’ address? E-mail:       e. Shelf locations When the Item Availability Service searches your OPAC and indicates to NRE that an item is available at a certain shelf location, NRE matches the shelf location to an NRE location entity which performs lending functions. This is how the lender strings are built. The shelf locations are the text that displays in the Location column in your OPAC.

Here is an example: In the accompanying “Additional Navigator Information” spreadsheet, there is a worksheet entitled “Shelf Locations.” The purpose of this worksheet is to collect shelf locations for your institution and link them to an entity on the Institution Entity worksheet. When filling out this worksheet, do not include shelf locations of non-circulating items. If in doubt or if some items circulate and others don't, the shelf location should be included. You may be able to get a complete list of shelf locations from your OPAC system administrator or from your OPAC vender. Instructions on filling this worksheet out are on the worksheet entitled “Shelf Locations Instructions.” f. Availability terminology In the accompanying “Additional Navigator Information” spreadsheet, there is a worksheet entitled “Availability Terminology.” In order to determine if a requested item is available at your library, NRE needs to know the availability and status terms or labels that your ILS uses. In the worksheet, please list all the availability status terms used in your catalog (such as On Loan, On Shelf, Missing) and indicate if items with that status can be requested by other members of your consortium. Additionally, whether an item can be requested from your library may depend on the combination of status AND shelf location, we provide a column for you to indicate when this interdependency exists in your lending policies.
