The Chairman welcomed all the members present at the meeting.
Minutes of the previous meeting were confirmed without amendments.

01 Techno Theme
 Responses for the invitation made to Members for submission of
Theme as agreed at last meeting, were received.
 Themes suggested by IESL members were displayed at the meeting.
 The Theme suggested by Eng. Himal Hikkaduwa was selected as
the Theme for techno 2023.
“Engineering for Regaining the Economy “

02 Reservation of BMICH
 Secretariat already reserved 13th, 14th and 15th October for Techno
2023 Exhibition.
 The Committee agreed to use Hall A and Hall B for all stalls
including Universities/IESL Chapters/Sectional Committees/
Building Clinic/ Seminar Room/JIY/YMS Competition Area due to
high cost involved in hiring outside canopies.
Machineries/Equipment/Vehicles can be located outside area.
 The Committee agreed to negotiate with Officials of BMICH for a
discount by convincing the low income from selling stalls and/or
obtaining Meeting Room free of charge for Awards Ceremony.

03 Techno Launch
 Considering the current country situation, Chairman proposed to
have the Techno Launch at IESL. Committee members agreed to
that because it will reduce considerable amount from the budget.

04 Techno Awards Night
 Committee proposed to have the Awards Night at the end of the
techno exhibition in order to add some glow for the exhibition as
well as to reduce the expenditure.
 Also committee decided to have the Awards Night in a hotel if the
expected income is achieved.

05 Budget
Tentative budget prepared by the Secretariat was presented at the
meeting and following were discussed,
 To reduce the expenses in following areas
1. 1. Printing – to use electronic media as much as possible
2. Techno Launch – to hold ay IESL Auditorium (Expenses can be
reduced 50%)
3. Techno Awards – At BMICH itself at last day evening. It is to be
negotiated with Officials of BMICH for a Committee Meeting
Room free of charge. If cash flow is good, venue can be a Hotel.
4. Gifts for Member’s Longue (expected participation 3500) –
Chairman proposed to get all gift items from sponsors (even
from the main sponsors) to reduce the expenses of Members
Lounge. It is to be negotiated with companies to donate caps,T
shits etc. There may be several sponsors for this in various
items.
Chairman will see the possibility of getting Beer free of charge.
2. 5. YMS Competition - with reduced budget (Rs 0.5 m)

 Chairman informed that following proposal submitted to the
Council were declined.
1.Subsidize the cost of BMICH Premises charges
2.Assign an Event Coordinator for Techno Exhibition on contract
basis
However, the Council has approved to hold the techno 2023 as
planned by the Committee.
 Committee decided to reduce stall prices due to current economic
crisis after comparing the stall prices of other exhibitions and
stall’s cost should attractive. The Chairman specifically informed
that this benefit should be extended to entrepreneurs who start
the businesses after losing their jobs.
 Two options for Budget prepared by the Secretariat (compulsory
budget and including “nice to have items”) were discussed and it
was decided to submit Budget for all activities to F & P
Committee for recommendation.
Also followings were discussed not to exceed the budgeted
expenditures,
 Find appropriate ways to minimize the cost for Chapters/
Sectional Committees/Universities stalls.
Eg:
1. one seminar hall for all Sectional Committees
2. Universities are allowed only for 2 objectives and not for all
objectives of the University
3. To inform Chapters/ Sectional Committees/Universities
regarding this and request proposal and presentation well
in advance
 Any additional expenses of Chapters/ Sectional Committees
and universities stall be borne by themselves by obtaining
sponsorships for those.
 Decided to discuss with tri forces to use their resources without
hiring from outside.

06 Sponsors
 The Committee agreed to increase the sponsorship amounts as
follows.

 Committee Members suggested to obtain sponsorships from foreign
companies and to invite the IESL Foreign Chapters to get their
support too.
 It was agreed to assign minimum Rs 1 million sponsorships for each
Local Chapters.
 The Committee mainly focused to get sponsorships from
telecommunication companies this year exhibition.

 Chairman for each Subcommittee was appointed by the Chairman
and as indicated above.

08 Publicity
 Video with artist to be published in Social Media.
 As discussed in Publicity Subcommittee, a banner designs for
techno2023 was designed and displayed at the meeting. Committee
Members select a design (blue color) among them and instructed to
publish on IESL website/ Techno website / Facebook and other
publicity materials.
 Media
The Committee decided to get a full sponsorship from media
partners this year and let them use their logos /promotions in
techno exhibition.
Eng. S A Witaana said that as a respond for letter handover to Mr.
Mohan Samaranayake he agreed to give below benefits free of
charge,
1. 1 hr live program/discussion about techno in ITN or
Rupavahini
2. dvertisements in Lakehouse newspapers

09 International Exhibition
 As discussed in previous meeting committee proposed to have the
techno2023 exhibition as an International Exhibition with support of
foreign chapters and foreign companies.
 Also proposed to include foreign corners in exhibition. Ex: India
Corner, China Corner For foreign companies we can sell the stalls at
higher rate.
 It was decided to forward letters to Embassies / Foreign chapters
informing about techno exhibition.

09 Layout and Stall Construction
 Chairman instructed to call the stall construction suppliers and ask
to submit proposals for techno 2023 exhibition.
 Committee suggested that stall plan should be design strategically
when placing the stalls to encourage stall holders and easy for
participants. Stall Plan to be discussed at the next meeting
 Committee suggested that at least 50% of the stalls need to be align
with the techno theme.

10 Other Matters
 Private Universities
The Committee decided to invite private universities (which having
recognized engineering degree programs) to have stalls in Techno
exhibition. Also committee agreed to charge for stall from private
universities. The Committee also decided to inform this to the
Council
 Other Professional Bodies
Committee decided to invite other professional bodies related to
Engineering and technology for techno exhibition.
 Entrepreneurs / Inventors / Junior Engineers
Committee Members suggested to focus this exhibition to give
opportunities for junior engineers / inventors / entrepreneurs to
showcase their things and also find opportunities like jobs /
sponsors etc.
 Special Area in Exhibition
Committee suggested having a special area as a meeting point for
entrepreneurs/ customers / inventors / service providers on
exhibition days.
 Sri Lankan Engineers Zone
It was discussed about this and it will be discussed further in next
meetings
 Exhibition Area
Committee decided to have all the stalls in Hall A and Hall B this
time and heavy machinery items can display in outside area.
 Stall Judging
Eng. Mangala said he will revise the judging criteria this time and
will consider the research and projects when judging the university
/chapter/sectional committee stalls.

  • 2. The Chairman welcomed all the members present at the meeting. Minutes of the previous meeting were confirmed without amendments. Committee discussed the following items. Item No. Description Action/ Follow up by Target Date 01 Techno Theme  Responses for the invitation made to Members for submission of Theme as agreed at last meeting, were received.  Themes suggested by IESL members were displayed at the meeting.  The Theme suggested by Eng. Himal Hikkaduwa was selected as the Theme for techno 2023. “Engineering for Regaining the Economy “ All Members 02 Reservation of BMICH  Secretariat already reserved 13th, 14th and 15th October for Techno 2023 Exhibition.  The Committee agreed to use Hall A and Hall B for all stalls including Universities/IESL Chapters/Sectional Committees/ Building Clinic/ Seminar Room/JIY/YMS Competition Area due to high cost involved in hiring outside canopies. Machineries/Equipment/Vehicles can be located outside area.  The Committee agreed to negotiate with Officials of BMICH for a discount by convincing the low income from selling stalls and/or obtaining Meeting Room free of charge for Awards Ceremony. All Members All Members All Members 03 Techno Launch  Considering the current country situation, Chairman proposed to have the Techno Launch at IESL. Committee members agreed to that because it will reduce considerable amount from the budget. All Members 04 Techno Awards Night  Committee proposed to have the Awards Night at the end of the techno exhibition in order to add some glow for the exhibition as well as to reduce the expenditure.  Also committee decided to have the Awards Night in a hotel if the expected income is achieved. All Members All Members 05 Budget Tentative budget prepared by the Secretariat was presented at the meeting and following were discussed,  To reduce the expenses in following areas 1. 1. Printing – to use electronic media as much as possible 2. Techno Launch – to hold ay IESL Auditorium (Expenses can be reduced 50%) 3. Techno Awards – At BMICH itself at last day evening. It is to be negotiated with Officials of BMICH for a Committee Meeting Room free of charge. If cash flow is good, venue can be a Hotel. 4. Gifts for Member’s Longue (expected participation 3500) – Chairman proposed to get all gift items from sponsors (even from the main sponsors) to reduce the expenses of Members Lounge. It is to be negotiated with companies to donate caps,T shits etc. There may be several sponsors for this in various items. Chairman will see the possibility of getting Beer free of charge. 2. 5. YMS Competition - with reduced budget (Rs 0.5 m) 6. Media – free sponsorships All Members

Item No. Description Action/ Follow up by Target Date Budget (Contd)  Chairman informed that following proposal submitted to the Council were declined. 1.Subsidize the cost of BMICH Premises charges 2.Assign an Event Coordinator for Techno Exhibition on contract basis However, the Council has approved to hold the techno 2023 as planned by the Committee.  Committee decided to reduce stall prices due to current economic crisis after comparing the stall prices of other exhibitions and stall’s cost should attractive. The Chairman specifically informed that this benefit should be extended to entrepreneurs who start the businesses after losing their jobs.  Two options for Budget prepared by the Secretariat (compulsory budget and including “nice to have items”) were discussed and it was decided to submit Budget for all activities to F & P Committee for recommendation. Also followings were discussed not to exceed the budgeted expenditures,  Find appropriate ways to minimize the cost for Chapters/ Sectional Committees/Universities stalls. Eg: 1. one seminar hall for all Sectional Committees 2. Universities are allowed only for 2 objectives and not for all objectives of the University 3. To inform Chapters/ Sectional Committees/Universities regarding this and request proposal and presentation well in advance  Any additional expenses of Chapters/ Sectional Committees and universities stall be borne by themselves by obtaining sponsorships for those.  Decided to discuss with tri forces to use their resources without hiring from outside. All Members 08 Publicity  Video with artist to be published in Social Media.  As discussed in Publicity Subcommittee, a banner designs for techno2023 was designed and displayed at the meeting. Committee Members select a design (blue color) among them and instructed to publish on IESL website/ Techno website / Facebook and other publicity materials.  Media The Committee decided to get a full sponsorship from media partners this year and let them use their logos /promotions in techno exhibition. Eng. S A Witaana said that as a respond for letter handover to Mr. Mohan Samaranayake he agreed to give below benefits free of charge, 1. 1 hr live program/discussion about techno in ITN or Rupavahini 2. dvertisements in Lakehouse newspapers Sub Committee Sub Committee Eng S A Withana

Item No. Description Action/ Follow up by Target Date 09 International Exhibition  As discussed in previous meeting committee proposed to have the techno2023 exhibition as an International Exhibition with support of foreign chapters and foreign companies.  Also proposed to include foreign corners in exhibition. Ex: India Corner, China Corner For foreign companies we can sell the stalls at higher rate.  It was decided to forward letters to Embassies / Foreign chapters informing about techno exhibition. All Members 09 Layout and Stall Construction  Chairman instructed to call the stall construction suppliers and ask to submit proposals for techno 2023 exhibition.  Committee suggested that stall plan should be design strategically when placing the stalls to encourage stall holders and easy for participants. Stall Plan to be discussed at the next meeting  Committee suggested that at least 50% of the stalls need to be align with the techno theme. Sub Committee 10 Other Matters  Private Universities The Committee decided to invite private universities (which having recognized engineering degree programs) to have stalls in Techno exhibition. Also committee agreed to charge for stall from private universities. The Committee also decided to inform this to the Council  Other Professional Bodies Committee decided to invite other professional bodies related to Engineering and technology for techno exhibition.  Entrepreneurs / Inventors / Junior Engineers Committee Members suggested to focus this exhibition to give opportunities for junior engineers / inventors / entrepreneurs to showcase their things and also find opportunities like jobs / sponsors etc.  Special Area in Exhibition Committee suggested having a special area as a meeting point for entrepreneurs/ customers / inventors / service providers on exhibition days.  Sri Lankan Engineers Zone It was discussed about this and it will be discussed further in next meetings  Exhibition Area Committee decided to have all the stalls in Hall A and Hall B this time and heavy machinery items can display in outside area.  Stall Judging Eng. Mangala said he will revise the judging criteria this time and will consider the research and projects when judging the university /chapter/sectional committee stalls.
