you the freedom to lead life on your terms, and do things your way.
But, for most small business operators, the reality is something quite different.
That’s why, as the topic of this cheat sheet, brought to you by Lumo Energy, we decided to tackle FIVE
obvious ways to save time and boost cash flow and TWO you’ve probably haven’t ever contemplated.
(That’s seven strategies, in total, if you were counting.)

1. Audit your time (You can’t buy more of it)
Most smallbusiness owners get caught up in the minutiae
of a business.
Theybecome trapped like a hamster in awheel, spinning,
spinning, spinning, never taking the time to stop and look
up, only to discover they are getting nowhere!
Tomes of literature are already dedicated to this topic.
But they don’t seem to stop the vast majority of small
business owners from managing their time in idiotic ways.
One simple way to dramatically improve your personal
time management, as a business owner, is to audit your
time and segment your activities into ‘core’ tasks and
‘mechanical’ tasks.
Core tasks are responsibilities only you can do – or they
require the skills of someone likeyou.Theymight depend
upon your personal skill-set or your role as a business
manager.
One example is quality control. Sometimes others can’t
progress on their work without your sign off. And, if
you’re not available to give approval, you become the
bottleneck.
Another example is sales. Often, when a business is new,
the best sales person will be the owner. If you are the
most profitable member of your team, how much is your
time worth? Should you truly be mucking around with
invoices (and such) when you could be selling?
A third example might be financial management. Few
people will be able to identify cost savings or have the
authority to switch to cheaper or more efficient practices
and solutions. (That’s one of the reasons we created this
cheat sheet… to help you do just that!)
On the other hand, mechanical tasks are day-to-day
activities that could be easily outsourced or automated
with online tools. These are ‘low-value’ tasks that you
need to avoid at all costs.
For example, you might have a big presentation coming
up. The usual modus operandi of most small business
owners is to spend four hours struggling with PowerPoint.
However, there are plenty of experts on freelancer
sites that only specialise in assembling PowerPoint
presentations. This is a task that could be outsourced for
$25 while you spend valuable time rehearsing.

Other responsibilities can be automated. For example,
far too many small business owners spend far too much
time wrestling with social media. Yet, a plethora of tools
exist to auto post or dispatch a summary of activities as
an email, direct to your inbox, once a day.
What tasks could be outsourced or automated? When
should you delegate?
1.	 Invoicing and bill paying
2.	Social media posting
3.	Sorting emails and sending automated responses
4.	Scheduling appointments and meetings
5.	Data collection and cleaning up data
6.	PowerPoint presentations and graphics
7.	 Blog posting and preparing content
Seven common mechanical tasks
that can be automated:
Make a list of your core tasks versus mechanical tasks.
Identify which responsibilities truly require your
personal time and attention, and which ones could be
outsourced or automated. Try auditing your time, using
this two column approach, over a one to five-day period.

2. Audit your invoicing (And outsource where possible)
Even profitable businesses can go under purely due to
poor cashflow management.
This cost and time saving strategy is one of the most
obvious and the most neglected.
It’s time to put an end to sloppy invoicing and payment
collection.
Setupascheduletoensureinvoicesarebeingdispatched
in a timely manner and make sure that they are being
followed-up promptly.
In most businesses, invoicing and payment collection are
not core responsibilities. You can use automation tools to
manage this process, or even outsource the follow-up
and collection.
Write down what you think is a reasonable amount
of time for a supplier to pay you versus how long the
supplier actually takes. Can you come up with incentives
to prompt customers and clients to pay you faster? What
automation tools could you use to follow up?

3. Audit your base (And offer them more)
Instead of spending your precious time chasing after new
customers and clients, focus on your existing customers,
those who are the most profitable and engage with your
business repeatedly.
Keep your existing customers happy, and figure out ways
in which you could grow your relationship with them. In
other words, love the ones you’re with!
Selling more things to existing customers and clients is
one of the most reliable ways to boost cashflow. In most
instances, you don’t even need to create new products
or services. Simply find complementary non-competitive
organisations to partner with.
Create a list of your most profitable and consistent
customers. What else could you offer them to ensure
they keep coming back? What might they need AFTER
they work with or buy from you?

4. Audit your supplies (Little wins lead to big cost savings)
When seeking ways to cut costs, the temptation is to
chase big wins by closing down projects or reducing on
staff overheads (the painful way). Rather, focus on little
cost saving endeavours,
Let the small wins add up. Focus on the obvious, the
most easily identifiable expenses and shop around.While
it is important to identify your biggest expenses, don’t
underestimate the amount of savings you could achieve
by seeking better terms from obvious suppliers, the usual
suspects, like banks and energy suppliers. You’ve read
the statistics. You know it pays to shop around.
Set aside a small amount of time each quarter, perhaps
around the time you’re putting together your BAS, to
revisit your supplier list and shop around. Look for ways
to cut costs, no matter how small, and seek out suppliers
who can offer you the biggest bang for your buck.

5. Leverage, leverage, leverage
Make everydollar count.Think outside the box and go the
extra step to get as much out of your time and resources
as you possibly can, starting with your efforts in this list!
For example, once you begin to observe how you are
spending your time, you will find ways to outsource,
automate and delegate and this will free up more time!
Take advantage of that freedom to isolate the most
profitable uses of your newly acquired freedom and
attention.
If you have begun to clean up sloppy invoicing practices
AND begun to identify new products and services that
you could strategically offer to existing clients, why not
combine the two? Add new offers to your invoices. This is
something that all the big brands do.
And, finally, when shopping around for suppliers, seek
out offers that include bonuses and incentives, such as
travel and frequent flier points. These can be used for
personal purposes or to reward staff. The main lesson
here is to always… leverage, leverage, leverage.
Revisit the previous four strategies and identify ways in
which you could get more out of each audit. When auditing
your time, how else could you exploit your specialised skill-
set? Could these talents become the basis of a strategic
alliance partnership? When auditing your invoicing, could you
incorporate additional offers? When auditing suppliers, don’t
just look at price. Look at what else suppliers could throw in to
sweeten the deal, such as frequent flier points.

6. Embrace radical transparency practices
It’s often said that running a business is a lonely journey.
But it doesn’t have to be that way, if you choose to
involve staff members in the parts of your business that
are normally kept secret.
For example, if you are having trouble collecting invoices
and managing cashflow, make it known. Your staff want
you to succeed, they want to help, because their fate
is also tied in the success of your business. If you need
help sourcing suppliers, this is something that could be
conducted as part of a team exercise, like a working-b.
Let it be known which staff activities cost you the most
money. For example, a recent study found that while 62%
of small business owners worry about the cost of their
next energy bill, around 50% indicated a lack of concern
from employees when it comes to energy use at work.
Also, you now know how important it is to audit your
own time. Why not introduce this frame of thinking
to your employees? How often are they wasting their
valuable time – and your money – on tasks that could
be automated or outsourced? These tasks could be
delegated to virtual assistants or specialists who could
provide the same services faster and at cheaper rates.
Initially, many staff members fear that you could be
outsourcing their roles. But research has consistently
shown that organisations which automate, outsource or
delegate, from the top down, become more cost efficient
and, therefore, achieve more, providing a safer and more
sustainable work environment for everyone. This can
become another topic for a working-b.
You might control the purse strings, but you don’t have a
monopoly on good ideas.
Ask yourself, ‘Where am I holding back? Why am I holding
back?’ Introduce your staff to the core task versus
mechanic task mindset. Have them prioritise their own
responsibilities in ways that maximise their productivity
and personal skillsets. Involve them in your decision
making, even with respect to decisions that would
otherwise be made ‘behind closed doors’.

1.	 Turn appliances and computers completely off at the
end of the day. Putting them on ‘stand-by’ or ‘sleep’
mode still sucks up unnecessary energy.
2.	 Set your thermostat at temperatures appropriate for the
season: 24-27°C in warmer months and
18-20°C in cooler months.
3.	 Avoid superfluous printing. Minimising the amount of
printing will save you costs on paper and will reduce
your printer’s energy usage.
4.	 Ensure all lights are turned off at the end of the day.
Consider setting up your lights on timers and motion
sensors in less frequented areas of the office and at
night for security purposes.
5.	 Take advantage of natural lighting whenever possible.
Use energy efficient light bulbs, such as CFLs and LEDs.
These bulbs use less wattage and have much longer
lifespans than incandescent and halogen bulbs.

7. Get a mentor (Do you have a ‘boss’?)
There’s a saying, “You’ll be the same person in five years
that you are today, except for the people you meet and
the books you read.” Naturally, this applies in business.
Far too many business owners continue to make the
same common mistakes as other people in their industry
because they haven’t taken the time to seek out mentors
and advisors.
Most mentors are happy to help and would be flattered if
you sought them out for advice.
Ask your mentor to share with you any strategies he or
she has found to be successful and key past experiences
from whichyou can learn. Sometimes the role of a mentor
is to simply listen.
Employ your mentor as a sounding board to bounce new
ideasoffofandasaresourcewhenyou’retroubleshooting
a situation. Ask the question, ‘What would you do in my
shoes?’
Name an industry leader you would love as your boss.
This could be anyone from Richard Branson to the Dalai
Lama. Then, think about someone you know in your
network that has similar qualities, and invite that person
to become a mentor of yours. Sometimes the price for
recruiting a mentor is little more than a monthly coffee
or lunch.

Welcome to the wonderful world of small business ownership! When you started out, you probably had different ideas about how to run a business. The goal was a humming, streamlined and cashflow-positive enterprise, a business that would afford you the freedom to lead life on your terms, and do things your way. But, for most small business operators, the reality is something quite different. That’s why, as the topic of this cheat sheet, brought to you by Lumo Energy, we decided to tackle FIVE obvious ways to save time and boost cash flow and TWO you’ve probably haven’t ever contemplated.   • 4. JamesTuckermanandRaynaSims 4 1. Audit your time (You can’t buy more of it) Most smallbusiness owners get caught up in the minutiae of a business. Theybecome trapped like a hamster in awheel, spinning, spinning, spinning, never taking the time to stop and look up, only to discover they are getting nowhere! Tomes of literature are already dedicated to this topic. But they don’t seem to stop the vast majority of small business owners from managing their time in idiotic ways. One simple way to dramatically improve your personal time management, as a business owner, is to audit your time and segment your activities into ‘core’ tasks and ‘mechanical’ tasks. Core tasks are responsibilities only you can do – or they require the skills of someone likeyou.Theymight depend upon your personal skill-set or your role as a business manager. One example is quality control. Sometimes others can’t progress on their work without your sign off. And, if you’re not available to give approval, you become the bottleneck. Another example is sales. Often, when a business is new, the best sales person will be the owner. If you are the most profitable member of your team, how much is your time worth? Should you truly be mucking around with invoices (and such) when you could be selling? A third example might be financial management. Few people will be able to identify cost savings or have the authority to switch to cheaper or more efficient practices and solutions. (That’s one of the reasons we created this cheat sheet… to help you do just that!) On the other hand, mechanical tasks are day-to-day activities that could be easily outsourced or automated with online tools. These are ‘low-value’ tasks that you need to avoid at all costs. For example, you might have a big presentation coming up. The usual modus operandi of most small business owners is to spend four hours struggling with PowerPoint. However, there are plenty of experts on freelancer sites that only specialise in assembling PowerPoint presentations. This is a task that could be outsourced for $25 while you spend valuable time rehearsing.
  • 5. JamesTuckermanandRaynaSims 5 Other responsibilities can be automated. For example, far too many small business owners spend far too much time wrestling with social media. Yet, a plethora of tools exist to auto post or dispatch a summary of activities as an email, direct to your inbox, once a day. What tasks could be outsourced or automated? When should you delegate? 1. Invoicing and bill paying 2. Social media posting 3. Sorting emails and sending automated responses 4. Scheduling appointments and meetings 5. Data collection and cleaning up data 6. PowerPoint presentations and graphics 7. Blog posting and preparing content Seven common mechanical tasks that can be automated: Make a list of your core tasks versus mechanical tasks. Identify which responsibilities truly require your personal time and attention, and which ones could be outsourced or automated. Try auditing your time, using this two column approach, over a one to five-day period. Action

In most businesses, invoicing and payment collection are not core responsibilities. You can use automation tools to manage this process, or even outsource the follow-up and collection. Audit your base (And offer them more) Instead of spending your precious time chasing after new customers and clients, focus on your existing customers, those who are the most profitable and engage with your business repeatedly. Keep your existing customers happy, and figure out ways in which you could grow your relationship with them. In other words, love the ones you’re with! Selling more things to existing customers and clients is one of the most reliable ways to boost cashflow. In most instances, you don’t even need to create new products or services. Simply find complementary non-competitive organisations to partner with. Create a list of your most profitable and consistent customers. What else could you offer them to ensure they keep coming back? What might they need AFTER they work with or buy from you? Action

Audit your supplies (Little wins lead to big cost savings) When seeking ways to cut costs, the temptation is to chase big wins by closing down projects or reducing on staff overheads (the painful way). Rather, focus on little cost saving endeavours, Let the small wins add up. Focus on the obvious, the most easily identifiable expenses and shop around.While it is important to identify your biggest expenses, don’t underestimate the amount of savings you could achieve by seeking better terms from obvious suppliers, the usual suspects, like banks and energy suppliers. You’ve read the statistics. You know it pays to shop around. Set aside a small amount of time each quarter, perhaps around the time you’re putting together your BAS, to revisit your supplier list and shop around. Look for ways to cut costs, no matter how small, and seek out suppliers who can offer you the biggest bang for your buck. Leverage, leverage, leverage Make everydollar count.Think outside the box and go the extra step to get as much out of your time and resources as you possibly can, starting with your efforts in this list! For example, once you begin to observe how you are spending your time, you will find ways to outsource, automate and delegate and this will free up more time! Take advantage of that freedom to isolate the most profitable uses of your newly acquired freedom and attention. If you have begun to clean up sloppy invoicing practices AND begun to identify new products and services that you could strategically offer to existing clients, why not combine the two? Add new offers to your invoices. This is something that all the big brands do. And, finally, when shopping around for suppliers, seek out offers that include bonuses and incentives, such as travel and frequent flier points. These can be used for personal purposes or to reward staff. The main lesson here is to always… leverage, leverage, leverage. Revisit the previous four strategies and identify ways in which you could get more out of each audit. When auditing your time, how else could you exploit your specialised skill- set? Could these talents become the basis of a strategic alliance partnership? When auditing your invoicing, could you incorporate additional offers? When auditing suppliers, don’t just look at price. But it doesn’t have to be that way, if you choose to involve staff members in the parts of your business that are normally kept secret. For example, if you are having trouble collecting invoices and managing cashflow, make it known. Your staff want you to succeed, they want to help, because their fate is also tied in the success of your business. If you need help sourcing suppliers, this is something that could be conducted as part of a team exercise, like a working-b. Let it be known which staff activities cost you the most money. For example, a recent study found that while 62% of small business owners worry about the cost of their next energy bill, around 50% indicated a lack of concern from employees when it comes to energy use at work. Also, you now know how important it is to audit your own time. Why not introduce this frame of thinking to your employees? How often are they wasting their valuable time – and your money – on tasks that could be automated or outsourced? These tasks could be delegated to virtual assistants or specialists who could provide the same services faster and at cheaper rates. Initially, many staff members fear that you could be outsourcing their roles. But research has consistently shown that organisations which automate, outsource or delegate, from the top down, become more cost efficient and, therefore, achieve more, providing a safer and more sustainable work environment for everyone. This can become another topic for a working-b. You might control the purse strings, but you don’t have a monopoly on good ideas. Ask yourself, ‘Where am I holding back? Set your thermostat at temperatures appropriate for the season: 24-27°C in warmer months and 18-20°C in cooler months. 3. Avoid superfluous printing. Minimising the amount of printing will save you costs on paper and will reduce your printer’s energy usage. 4. Ensure all lights are turned off at the end of the day. Consider setting up your lights on timers and motion sensors in less frequented areas of the office and at night for security purposes. 5. Take advantage of natural lighting whenever possible. Use energy efficient light bulbs, such as CFLs and LEDs. These bulbs use less wattage and have much longer lifespans than incandescent and halogen bulbs. There’s a saying, “You’ll be the same person in five years that you are today, except for the people you meet and the books you read.” Naturally, this applies in business. Far too many business owners continue to make the same common mistakes as other people in their industry because they haven’t taken the time to seek out mentors and advisors. Most mentors are happy to help and would be flattered if you sought them out for advice. Ask your mentor to share with you any strategies he or she has found to be successful and key past experiences from whichyou can learn. Sometimes the role of a mentor is to simply listen. Employ your mentor as a sounding board to bounce new ideasoffofandasaresourcewhenyou’retroubleshooting a situation. Ask the question, ‘What would you do in my shoes?’ Name an industry leader you would love as your boss. This could be anyone from Richard Branson to the Dalai Lama. Then, think about someone you know in your network that has similar qualities, and invite that person to become a mentor of yours.
