4.3 Project Description
The Scope Document (SD) gives an overview of the objectives of the project. CLIENT
aims to implement our OAKROOT that pertains to their business / system areas.

4.4 Project Objectives
The project objective is to implement Oakroot School management system,
Customised and tailored to client environment.

4.5 Infrastructure Planning
CLIENT is responsible for the acquisition and installation of all the necessary
hardware, networking and operating system software components (including
security configuration) required for the complete infrastructure set up where applicable.
Section 4 of this document lists a comprehensive overview of what the
deliverables are, for which QUICKBUY retains responsibility.

4.6 Business Process Documentation
A “Package Enabled Process Definition” approach to be adopted that defines processes
from the view point of international standards implemented in our solutions as the preferred
and starting point.

4.7 Training
The training needs of the different users would be identified and discussed between
CLIENT and QUICKBUY.
We recommend that certain of CLIENT members will require formal technical
training in order to understand the concepts behind our solutions. This training can
either be conducted at CLIENT training school or offshore depending on final
arrangements.
Correct training of members is critical to the success of the project and subsequent
deployment of our software, and as such it is QUICKBUY’s recommendation that a
comprehensive training strategy be deployed. The training needs analysis, for
CLIENT is based on:
• Training for the Project Team
of the project team require foundational understanding of our solution, which will
allow for better effectiveness during the project. These may also continue to be
Super Users, Users or form the IT Operational member. This training would be
conducted before the specification phase, as a better understanding of the System
will contribute to understood ‘to be’ processes and quality functional
specifications
• Training for member: (Managers, Super Users and Users)
Those that will interact with the solution as part of their everyday activities, in
the course of conducting CLIENT’s business. For the purpose of this document,
these will be classed as ‘Business Operational Member’.
• Training of IT Operational Member: (Administrators and Support)
IT member that will interact with our solution as part of their everyday activities,
in the course of administering and supporting CLIENT’s IT systems. For the
purpose of this document, these will be classed as ‘IT Operational Member’.
The Super Users may be responsible for the training of the End Users, and should
become the product experts for CLIENT. Upon request QUICKBUY can also
provide End User training. This is QUICKBUY’s preferred approach, as the
availability of effective trainers is usually scarce within CLIENT’s resource base
and inadequate end user training can have a catastrophic impact on the success of
the project.

4.8 Compile End User Training Material
This involves documentation of the End User procedures for CLIENT by
QUICKBUY.
This documentation will be used for the Super User training and is then available to
CLIENT for initial training of End Users, and can be used for continued reference by
the End Users as well as member not included in the initial training process.
Maintenance of the Training Material becomes the responsibility of CLIENT after
completion of the UAT Functional Training.

4.9 Implementation / Roll Out
The project will include all aspects of implementing Oakroot package into CLIENT
hosting environment at which time it can be handed over to CLIENT’s IT
Operational Member for on-going support.
CLIENT will need to define a ‘roll out’ strategy for the deployment of the system
throughout CLIENT organization and for deployment in subsequent branches.

4.10 Post Live Support
QUICKBUY will support CLIENT for a period after going live, to assist with
resolving training deficiencies and remaining system defects. This is considered part
of the system delivery.
After the agreed period of time, the system will be handed over to support and the
implementation project will be signed off. During the Post Live Support period,
QUICKBUY Support representatives will be involved to ensure full knowledge
transfer to Support. This will also give CLIENT the opportunity to get to know the
support representative.

4.11 Handover Support
Once the system has been implemented and QUICKBUY receives a final sign off of
the system, the QUICKBUY Project Manager will hand over the system to CLIENT
IT Operational Member and the QUICKBUY Support team, where all post-
implementation issues will be addressed.
A document explaining how problems are to be reported to the help desk, how the
problems will be logged and processed by support services, contact telephone
numbers, etc., will be handed over to CLIENT during the handover period. The
Support team will require a copy of the system and dial-up access to the system to
provide effective support.

4.12 PROJECT SCOPE
The scope of the Project is to implement the Oakroot School solution in line with the Scope Document defined
by QUICKBUY, in accordance with the scope document (SD) created by CLIENT.
6.0 Delivery Time Frames
The project is projected to span 21 days with 3 months post installation support. The project involves system
development, installation, change management, training and UAT. Details on project time lines and milestones
will be provided before commencement.
7.0 Hosting & Software Requirements
Client can provide hosting or may use Quickbuy VPS service fully ready for Oakroot installation.
Other software requirement include; MySQL for database management.

8.0 Pricing Information
There are two modes of payment for OAKROOT School Solution. The first option applies to school that may
want to spread payment to be included in students fees over an agreed period. A down payment of
(N200,000.00) Two Hundred Thousand Naira upon receiving the award letter. Balance payment will be spread
over a period of not more than three years

The second option is discounted option for full payment for the solution after go live before the commencement
of support phase. 75% down payment of the total cost of the software and implementation upon
receiving the award letter. Balance payment of 25% to be made not later than two weeks after App go live.
9.0 Support Structure After Implementation
QuickBuy has support and technical personnel permanently located in Nigeria, and India . We realize our
success is directly tied to the successes of our clients in adding value to their organizations.
QuickBuy’s dedicated Customer Support teams are committed to providing clients with the kind of assistance
that will contribute significantly to the continued success of their businesses.
The hour of operation for QuickBuy’s Customer Support Center (excluding statutory holidays) is between
8.00am to 5.00pm. QuickBuy’s support personnel are trained to identify the urgency and severity of each
reported incident, and take swift and effective action.
When responding to a call from a client, the Customer Support Center immediately assigns an experienced
consultant based on the following criteria:
