JOB PROFILE (Present Assignment)
 Provide Secretarial Assistance to the Works Manager and Engineers in Works
Department by ensuring a proactive administrative support
 Responsible for handling various plant expansion project activities
 Responsible for independently composing the day-to-day correspondence
like Internal Memos, Facsimile messages, Letters and other technical related
matters by coordinating with various sections in Works Department
 Performs a variety of administrative or executive support tasks that are
highly confidential and sensitive
 Reads and screens incoming correspondence and reports; makes preliminary
assessment of the importance of material and organizes documents; handles
some matters personally and forwards appropriate material to concerned

 Receives and screens incoming calls and visitors, determine the priority
issues and subsequently alter the Works Manager, suitably
 Acts as liaison between the Works Manager and other senior officials, by
transmitting directives, instructions and assignments and following up on the
status of assignments
 Produces a variety of documents, charts, and graphs in final form
 Takes and transcribes dictation on technical and confidential matters
 Maintain effective documentation, regularly review, update and ensure all
documents are readily retrieved
 Coordinates and facilitates the Works Manager's calendar to arrange
appointments, meetings, travel and hotel arrangements (International)
 Commit time in making appointments; maintain daily calendar; maintain
itinerary; make travel and hotel arrangements as required
 Regular updates of contact details and create a comprehensive filing system
 Coordinate with PROs for applying Visit Visa of various countries for Senior
management as and when required
 Pre-approve travel requests, liaise with senior management, as appropriate in
absence of floor coordinators.
 Prepare reconciliation and submission of travel expenses in a timely manner.
 Reconciliation and segregation of telephone bills for approval of the
concerned department head for the bill payment.
 Greet visitors and determine priority for meeting the Works Manager or to be
given access to specific individuals related to the subject
