We are pleased to offer the Project management services for your upcoming Project on the
following terms and conditions.
This agreement shall be for provision of project management consultancy services for
completion of Complete Services works like Electrical, Public Health and Landscaping
besides coordination with the Architect & other consultants for MEP, during various stages of
the project.
3. The detailed scope and terms are as mentioned below:
SCOPE OF WORK
The PMC shall be responsible for all aspects of the management of the Project to
achieve completion within agreed time frame, budget cost and other parameters,
including but not limited to the following:
General:
As part of the Project Management, responsible for coordinating, supervising, and
follow-ups on all aspects of the project.
Responsible for all civil related works.
Responsible for MEP, landscaping works etc.
Responsible for Execution of Electrical & Lighting works
Responsible for PHE works.
Responsible for Completion of HVAC works.
Responsible for interior and finishing works.
Assist the client in Planning of the project along with the architect and consultants.
Assist the client in finalization of consultants, vendors and contractors for various
disciplines.
Preparation of tenders along with the concerned consultants for various disciplines,
analysis and techno commercial evaluation of bids received, recommendations,
preparation of work order along-with all terms and conditions and assists the owner
in placing work orders.
Conduct Kick off and project Review meetings and protocols to be followed during
construction works.
Technical:
Propose contractors for various works, pre-qualify based on credentials and call for
quotations, assist client in negotiations and award the work.
Provide management and related technical services as required to co-ordinate the
work of the contractors Progress, with each and the consultant.
Manage the Contractors to achieve satisfactory performance. Recommend course of
action when the contractual requirements are not being met with.
Review requests for changes, assist in negotiation of changes, assist in negotiating
with contractors proposals. Submit recommendations to client and prepare change
orders.
Responsible for scrutinizing of drawings, and review all shop drawings, samples and
data. Check and modify tender/contract documents and quantify the works, and point
out deviations by contractors, and obtain the prime consultants approval when
required.
Provide the project specific quality criteria for the work and ensure compliance with
the quality standards.
Check and certify the bills of the Contractors as per contract conditions.
Record & Submit monthly progress reports to client.
4. COST MANAGEMENT
• Cost Planning: Responsible for developing cost models, along with the Architect
based on the concept design and develop a conceptual estimate which will be used
to establish the master project Budget.
• Project Budget Control: Ultimately responsible for monitoring the project budget
and advising the developer of any variances to the project Budget. Responsible for
maintaining the budget and advising of the impact on funding requirements.
Responsible for carrying out tender analysis and negotiations with vendors and
advising developer accordingly.
• Project Cash Flow: Responsible for establishing the project cash flow and
monitoring system. Responsible for certifying bills.
SCHEDULE MANAGEMENT
• Master Schedule: responsible for preparing an integrated master schedule for the
project addressing the main phase of the project major milestones, key
interrelationships. Responsible for continuously monitoring and reviewing during the
project duration.
• Execution Strategy: Responsible for developing an overall execution strategy for
the site, phasing and sequencing, security, quality control and handover.
PROCUREMENT / CONTRACT MANAGEMENT
• Procurement strategy: Responsible for the procurement of all project services,
taking into consideration specific conditions of the project in terms of the need for
local and or international consultants and contractors, design, resources, time, long
lead deliveries, local requirements, and market conditions.
• Procurement Terms and conditions: Responsible for determining the contract
elements and the tender lists, and be involved in the appointment of designers, other
consultants and contractors and suppliers.
• Procurement: Responsible for pre-qualifying, scrutiny of tenders, evaluate and
recommend award of contracts. Responsible for advising on the procurement of long
lead items and assist in the contracting. Responsible for inspecting material and
equipment being delivered to the site.
5. CONSTRUCTION MANAGEMENT
• Management of Construction: Responsible for managing and monitoring the work
of the construction contractors and suppliers to be executed in accordance with the
contract agreements. Monitor materials, labor and equipment resources, and ensure
that the work complies with the specifications agreed with the Developer.
• Logistics Support : responsible for reviewing and approving the site logistics plan
developed by the contractor , including site operations such as access , materials
handling , storage , site accommodation , welfare , utilities , fire services and medical
facilities.
• Quality Assurance / Control : Responsible for establishing & implementing a
system of quality assurance / control to ensure that construction works are carried
out in accordance with the specification and quality assurance / control procedures .
Responsible for advising on the need for independent testing services.
• Contract Administration : Responsible for monitoring the progress of the
contractors and suppliers work , administer monthly payments , handle change
orders , provide advice on site organizational and execution problems , advice on
claims and provide regular reports to the Developer.
• Progress Management : Responsible for establishing guidelines for regular project
progress reporting by all parties with respect to the status of cost , schedule ,
information and decisions.
• Cost Management: Administering and monitoring the Cost Plan throughout the
duration of the Project. Responsible for reviewing and recommending the payments
to be made to Consultants and Contractors.
• Change Order Management: Responsible for evaluating proposed changes to the
project scope and configuration in terms of impact upon design, scheduling,
operations and the budget.
• Operational Manuals and As- Built Drawings: Responsible for monitoring the
preparations of all necessary operations manuals, as Built drawing and warranties
for the property management group. Assist the developer in obtaining all the
requisite licensing from the statutory authorities or other concerned authorities,
including the certificate of virtual completion and final completion.
Manpower Deployment:
Sufficient nos. of full time qualified and experienced site Engineers who have Township
Experience shall be deputed at site, who shall be responsible for day today activities for
Development works. They shall be deployed as per the requirement of the site and as per
the matrix and progress of construction activities.
We shall visit the site regularly to provide guidance, general inspection and to clarify any
decision or interpretation of the drawings and specifications that may be necessary and also
to attend conferences and meetings, so that the project proceeds generally in accordance
with drawings and specifications.

7. Facilities to be provided by the client:
• Well-equipped A/c office at site with furniture, Stationery, phone internet connection.
• Pantry with peon and Toilet facility at site.
• Any other facilities that may be required at site to facilitate the pace and quality of the
project.
All the stages of work shall be completed by us according to the time schedule mutually
agreed upon. The works throughout the stipulated period of contract will be carried out
with diligence, time being the essence of the contract. We shall need about 20 days time
from the date of confirmed order to mobilize at site.
