OH&S Induction
Induction for new employees
The Induction Process
 Welcome the employee and introduce yourself.
 Provide the employee with the paperwork required to be filled in including a
feedback form and an induction checklist.
 Introduce the employee to their co-workers and give them a tour of the workplace to
explain when everything is; including the emergency exits.
 Explain the company’s policies and procedures to the employee.
 Ensure the employee knows that performance evaluations will in 1 and 3 months.
 Make sure to assign a mentor to the employee.
 Ask if the employee has any questions.
Safety Procedures
 All staff members must follow the emergency plan to the closest safe exit and leave
the building.
 All staff members must gather at the nominated safe point.
 The Health and Safety Officer will make certain that everyone has gathered at the safe
point and that no one is absent.
 The proper emergency authorities will be called.
 All staff members must remain at the safe gathering point until told that it is safe to
return to the building.
Safety Check Process
 Once a year, checks of safety equipment will be completed by the proper Health and
Safety employees.
 A checklist will be used to determine the level of safety for each item listed on it.
 The results will be evaluated at the conclusion of the session.
 If it’s required, hazard report forms will be completed.
 The Health and Safety officer’s name is Jarrod Archer.
Potential Workplace Hazards
 Incorrect workstation setup.
 Power cords uncovered on the floor.
 Staff members being unaware of the emergency procedures.
 Food that is past its use-by date left in the fridge.
 The power boards are overloaded.
 Staff members don’t take regular breaks from the computers.
 Reflective glare on the monitors due to placement of lights and/or windows.
 Computer monitors are too far away or too high.
 Heavy objects and/or boxes on high shelves.
 Carpet on the floor makes it hard to move roller chairs.
Controlling the Risks & Hazards
 Ensure that desks and chairs are at the correct height for every employee.
 Cords need to be out of the way and taped down so that no one trips over them.
 Give a copy of the emergency procedures to all employees.
 Check fridge and cupboards regularly and remove food that’s past its use-by date.
 Power boards should never have more plugs than it can handle.
 Make sure that workstations aren’t placed in such a way that glare from the ceiling lights or
windows reaches the monitors.
 Monitors should not be higher than eye level, and not so far away that you have to squint or lean
forward.
 Move heavy objects from high shelves to lower shelves.
 Place mats on the floor beneath the workstations to provide easier movement for chairs.
OH&S Meetings & Procedures
 A Health and Safety Officer to be allocated in accordance to the Occupational Health
& Safety Guidelines.
 Meetings will be scheduled and held four times a year (quarterly) to converse and
review the company’s OH&S over the preceding quarter.
 Records must be kept of all of the quarterly meetings and shown to the appropriate
parties.
 Hazards that are recorded in the hazard report book as well as risk analysis forms
from the preceding quarter are to be submitted to the committee and discussed.
 A plan of action will be implemented for issues that have yet to be dealt with and the
timeframes for the action will depend on the urgency of the issue.
Emergency and Fire Plans
 In the event of an emergency and/or fire;
 Keep all staff members calm.
 The emergency evacuation plan is situated next to the fire extinguishers and first aid kits. It
clearly shows where the emergency exits are and where the designated safe assembly point
is.
 Emergency staff are selected and their contact details are located with the emergency
evacuation plan.
 Make sure that all staff members are trained to use the fire extinguishers and understand
which types of fires they can be used on.
 All staff members should evacuate the building safely when the fire alarm sounds, and should
not make an attempt to grab personal belongings. They should also assist any and all disabled
staff members out of the building.
 Emergency services should be called at this point by the emergency staff members.
 Staff members must remain at the designated safe assembly point while everyone is
accounted for and until told by emergency services that it is safe to return.
 Fire drills are to be held on a regular but somewhat random basis so as to not be predictable
by the staff members.
 Counselling to help with trauma or stress as a result of the emergency should be offered to
staff members if required.
Other Emergency Plans
 In the event of an accident and/or injury;
 Keep the staff member calm, seek medical assistance and call emergency services if required.
 If using the first aid kit, remember to note what you have used and why you used it in the first
aid book provided.
 At this point, accident report and worker’s compensation claim forms should be filled in.
 Once received, provide the employer with copies of the doctor’s certificates.
 In the event of an assault;
 Keep the affected staff member calm, seek medical assistance, report the incident to the
police and call emergency services if required.
 The incident should also be reported to the employer and a complaint form filled in.
 In the event of a power outage;
 If an emergency evacuation is required due to a power outage, an alarm will sound and
should be treated like any other emergency.
 The first aid kits have torches in them which can be used in case of a power outage.
 Make sure to keep all staff members calm.
Employer & Employee Responsibilities
 Employers;
 are to make sure that the work environment is safe and to act on any and all complaints
and/or problems as soon as they appear.
 are responsible for making sure that all employees are fully trained to safely use any and all
office and emergency equipment.
 must provide employees with clean facilities, such as; clean toilets & eating areas.
 must ensure that all employees able to access all the paperwork needed to be able to make a
report about complaints, injuries and any other issues.
 Employees;
 are to also make sure that the work environment is safe. They do this by making sure that
they aren’t working or behaving in a dangerous or unsafe way in which themselves or their
co-workers could be harmed.
 if injured in the workplace, need to make sure they notify the employer within one month (30
days) of the incident. If the employee needs to take time off work because of the injury, they
need to fill in the relevant forms.

  • 2. The Induction Process  Welcome the employee and introduce yourself.  Provide the employee with the paperwork required to be filled in including a feedback form and an induction checklist.  Introduce the employee to their co-workers and give them a tour of the workplace to explain when everything is; including the emergency exits.  Explain the company’s policies and procedures to the employee.  Ensure the employee knows that performance evaluations will in 1 and 3 months.  Make sure to assign a mentor to the employee.  Ask if the employee has any questions.
  • 3. Safety Procedures  All staff members must follow the emergency plan to the closest safe exit and leave the building.  All staff members must gather at the nominated safe point.  The Health and Safety Officer will make certain that everyone has gathered at the safe point and that no one is absent.  The proper emergency authorities will be called.  All staff members must remain at the safe gathering point until told that it is safe to return to the building.
  • 4. Safety Check Process  Once a year, checks of safety equipment will be completed by the proper Health and Safety employees.  A checklist will be used to determine the level of safety for each item listed on it.  The results will be evaluated at the conclusion of the session.  If it’s required, hazard report forms will be completed.  The Health and Safety officer’s name is Jarrod Archer.
  • 5. Potential Workplace Hazards  Incorrect workstation setup.  Power cords uncovered on the floor.  Staff members being unaware of the emergency procedures.  Food that is past its use-by date left in the fridge.  The power boards are overloaded.  Staff members don’t take regular breaks from the computers.  Reflective glare on the monitors due to placement of lights and/or windows.  Computer monitors are too far away or too high.  Heavy objects and/or boxes on high shelves.  Carpet on the floor makes it hard to move roller chairs.
  • 6. Controlling the Risks & Hazards  Ensure that desks and chairs are at the correct height for every employee.  Cords need to be out of the way and taped down so that no one trips over them.  Give a copy of the emergency procedures to all employees.  Check fridge and cupboards regularly and remove food that’s past its use-by date.  Power boards should never have more plugs than it can handle.  Make sure that workstations aren’t placed in such a way that glare from the ceiling lights or windows reaches the monitors.  Monitors should not be higher than eye level, and not so far away that you have to squint or lean forward.  Move heavy objects from high shelves to lower shelves.  Place mats on the floor beneath the workstations to provide easier movement for chairs.
  • 7. OH&S Meetings & Procedures  A Health and Safety Officer to be allocated in accordance to the Occupational Health & Safety Guidelines.  Meetings will be scheduled and held four times a year (quarterly) to converse and review the company’s OH&S over the preceding quarter.  Records must be kept of all of the quarterly meetings and shown to the appropriate parties.  Hazards that are recorded in the hazard report book as well as risk analysis forms from the preceding quarter are to be submitted to the committee and discussed.  A plan of action will be implemented for issues that have yet to be dealt with and the timeframes for the action will depend on the urgency of the issue.
  • 8. Emergency and Fire Plans  In the event of an emergency and/or fire;  Keep all staff members calm.  The emergency evacuation plan is situated next to the fire extinguishers and first aid kits. It clearly shows where the emergency exits are and where the designated safe assembly point is.  Emergency staff are selected and their contact details are located with the emergency evacuation plan.  Make sure that all staff members are trained to use the fire extinguishers and understand which types of fires they can be used on.  All staff members should evacuate the building safely when the fire alarm sounds, and should not make an attempt to grab personal belongings. They should also assist any and all disabled staff members out of the building.  Emergency services should be called at this point by the emergency staff members.  Staff members must remain at the designated safe assembly point while everyone is accounted for and until told by emergency services that it is safe to return.  Fire drills are to be held on a regular but somewhat random basis so as to not be predictable by the staff members.  Counselling to help with trauma or stress as a result of the emergency should be offered to staff members if required.
  • 9. Other Emergency Plans  In the event of an accident and/or injury;  Keep the staff member calm, seek medical assistance and call emergency services if required.  If using the first aid kit, remember to note what you have used and why you used it in the first aid book provided.  At this point, accident report and worker’s compensation claim forms should be filled in.  Once received, provide the employer with copies of the doctor’s certificates.  In the event of an assault;  Keep the affected staff member calm, seek medical assistance, report the incident to the police and call emergency services if required.  The incident should also be reported to the employer and a complaint form filled in.  In the event of a power outage;  If an emergency evacuation is required due to a power outage, an alarm will sound and should be treated like any other emergency.  The first aid kits have torches in them which can be used in case of a power outage.  Make sure to keep all staff members calm.
  • 10. Employer & Employee Responsibilities  Employers;  are to make sure that the work environment is safe and to act on any and all complaints and/or problems as soon as they appear.  are responsible for making sure that all employees are fully trained to safely use any and all office and emergency equipment.  must provide employees with clean facilities, such as; clean toilets & eating areas.  must ensure that all employees able to access all the paperwork needed to be able to make a report about complaints, injuries and any other issues.  Employees;  are to also make sure that the work environment is safe. They do this by making sure that they aren’t working or behaving in a dangerous or unsafe way in which themselves or their co-workers could be harmed.  if injured in the workplace, need to make sure they notify the employer within one month (30 days) of the incident. If the employee needs to take time off work because of the injury, they need to fill in the relevant forms.
