3. Housing Selection System Overview
In the Housing Selection System there are four tabs in the black bar above.
● ORL Staff tab brings you back into Campus Assist
● The Manager Panel tab opens a Master List of current students that allows the Staff to see who needs to be
assigned a room as well as who is graduating.
● The Floor Plan tab opens up the current Floor Plan of the UpperClassmen Halls, which indicates the rooms that are
vacant or occupied as well as the gender of the suite after the first resident is assigned.
● The Manage Assignment tab opens up a blank Housing Selection Form and is utilized for those who are
Graduating but are returning for Graduate School to the Residence Halls or if a room assignment needs to be
changed after a resident has been assigned.
4. Screen Set Up
The Housing Selection System is found in Campus Assist under the Office Systems Header. Selection will be set up as follows:
➢ A Mirrored Screen will be set up for the Residents to view the Building Floor Plan and the opposite screen will be behind
the desk for Residence Life Staff to view and utilize.
➢ The Main Screen will be used to fill out the Housing Selection Form for each Resident.
➢ The Mirrored Screen must have the Floor Plan open on Full Screen and Zoomed to 75% at all times.

5. How to Use The Housing Selection System
1 Check Classification:
Once a Resident Comes in for Selection Click on the Manager
Panel tab to pull up the Master List. Here is where Staff will
check the Classification of the Resident before proceeding with
Housing Selection.
*Students who come in NOT on their classification day may
NOT choose their housing. Students who passed their
classification day can come in the next day to sign up for
Housing Selection*
The Master List is set up Alphabetically by Last Name for Easy
Navigation. Once the Resident’s Classification matches the day,
selection can proceed.
Classifications:
1 and 2: April 23 and April 24
1,2,3: April 25
All Classifications: April 26th-May 10th

Make Sure Resident Has All of their Paperwork:
All students are required to have three forms of paperwork with
them to be able to participate in the Housing Selection Process.
Residence Life Staff cannot allow the student to bring in the
paperwork at a later time, they must have it all. All of the paperwork
needed is listed below:
1. Paper Housing Application for the next academic year
2. Students must pay $350 non refundable housing deposit
and bring in or email the receipt at time of selection
3. Student must be registered as a FULL TIME STUDENT and
bring in their class schedule that proves that enrollment

Begin the Selection Process:
Click on the Manager Panel and locate the
name of the resident.
Click on Waiting for Assignment. This will open
a separate google form. If the student is not
graduating then the system will automatically
fill in under Action that the student is a
Returning Student.
Then the Staff Member who is assisting the
student will then select their name under
Assisting Staff and hit Next.

4 Continue on with Resident Information:
The System is smart and auto inserts the
information of the Resident who the Staff
member has selected.
On this page the Resident’s First name,
Last name, Student ID #, nyit email, gender
and career have already been automatically
extracted from the master list and
populated for quick and efficient
assignment.
Hit Next.

5 Selection Details and Building Selection
On this page is the information the Staff fills in for
the resident.
All of the documentation that has been collected
from the Resident is used for this portion of the
selection.
1. input that all THREE documents have
been received.
2. Input the meal plan the resident has
chosen
3. Choose their involvement with the school.
If the student has no involvement select
N/A.
Hit Next and Choose the Building the
Resident would like to live in and move
on to the next page.

DISCLAIMER:
Please Note that each suite is essentially empty and does NOT have a gender assignment. Staff assigns a
gender to each suite on a first come first serve basis. If a suite contains a Staff member then the gender of
that Staff member is now the assigned gender for the suite and please assign accordingly.
(F) Stands for Female
(M) Stands for Male
Each gender has a color corresponding to it. Pink for Female and Blue for Male.
PLEASE BE VIGILANT. THE SYSTEM DOES NOT ACCOUNT FOR ACCIDENTAL MALE AND FEMALE GENDER
ASSIGNMENT IN THE SAME SUITE, SO IT WILL NOT TAKE INTO ACCOUNT A MISTAKE LIKE THAT. STAFF
WILL HAVE TO UNASSIGN A PERSON IF THIS MISTAKE OCCURS.

6 Room Selection:
The Room Selection works on a
Syskey, which means the rooms have
specific abbreviations.
OW stands for Old Westbury
ROOS, KENN, BOLI stand for the
Building Name
The Numbers are the Specific
Available Rooms in that Building.
A Single Room has no number at the
end of it while a Double Room has a
(1) or a (2) next to it.
Once the Room is selected hit Submit.
12. How to Reassign a Resident After They Have
Chosen a Room
Occasionally a Resident will change their
mind and want to change their room after
they have gone through the selection
process. Within the system it is possible
to change the room after it has been
chosen. To do so follow the steps below:
1. Click on Manage Assignment,
this will open up a blank Housing
Selection Form
2. Click on Remove
Assignment/Block under Actions
3. Select the name of the Staff
Member changing the Room
Assignment and proceed to the
next page
4. The page will then prompt a
reason for removal: enter the
reason and select the room or
rooms that are being removed
and hit submit.
13. How to Assign a Resident who is Graduating
but Staying for Graduate School
Some Residents are finishing their Bachelor
Program and are staying for their Graduate
Years but the system recognizes them as
Graduating. When this happens we use the
Manage Assignment tab instead. This tab
opens up a blank Housing Selection Form
rather than one populated by the Master
List. The process is exactly the same as
with every other resident, but the only
change is that the Staff member has to fill
out the Resident Information page.
