PREFACE
1. The rationale
With the development of the economy, multimodal transport service (logistics) has
become a service industry integrating many high value-added activities, which has
brought huge economic benefits. Vietnam has a good business environment and high
development opportunities and is expected to vigorously develop the service market in
the future. Vietnam became a member of the World Trade Organization (WTO) in
2007. Vietnam has joined many international organizations, such as APEC, ASEAN,
and the like. It has created favorable conditions for the strong development of import
and export activities with other countries in recent years. Since the promotion of import
and export activities, transport and freight processes have also been greatly developed,
and their importance to the national economy has been increasingly affirmed
At present, commodity import services are very diversified and abundant and are
still growing and developing, which is a potential industry in the future. Worldwide,
logistics services have been working with many multinational companies for a long
time, such as Maersk Line (MAERSK), Mitsu O.S.K Lines (MOL), American
President Lines (API), Orient Overseas Container Line (OOCL) and so on. The
development of logistics services aims to ensure the production and operation of other
services in terms of the time and quality of products and services.
Under the background of the world economy, when the demand for foreign trade
and international freight forwarding tends to increase, Vietnam is gradually entering a
comprehensive economy, which leads to fierce competition. Therefore, during my
internship at Melody Logics Co., Ltd. The topic: “ANALYSIS OF MARINE
IMPORT FULL CONTAINER LOGISTICS (FCL) OF MELODY LOGISTICS
CO., LTD” was chosen by myself, with the hope to introduce the core issues of the
import freight forwarding process, its importance in business operations and the current

situation of the company's import freight forwarding process, thus obtain the
advantages and limitations of the company in the delivery process of imported goods,
thereby put forward some solutions to solve these limitations and provide a better basis
for completion.
2. Research objectives
Research on document set of maritime freight forwarding business.
Analysis on the Factors influencing Import Freight Forwarding of Melody
Logistics Co., Ltd. Since then, solutions have been put forward to improve the import
freight forwarding activities of the Company in the next few years.
3. Research subject and scope
Research object: Analysis of the implementation process of maritime import
customs clearance in Melody Logistics Co., Ltd.
Research scope: The theme was implemented from November 2021 to January
2022.
4. Research methods
Literature research methods: Analysis and synthesis of periodicals, scientific
reports, books, archives, statistics, mass media, internet and other documents.

CHAPTER 1: INTRODUCTION OF MELODY LOGISTICS CO., LTD
1.1 Brief history of Melody logistics Co., Ltd
Melody Logistics Co., Ltd. is one of the reputable units, has affirmed the Melody
logistics brand in freight forwarding and customs clearance domestically and
internationally. The Company was established on November 27, 2009, under the
business license number 0309499306 issued by the Department of Planning and
Investment of Ho Chi Minh City on November 27, 2009. The Company's head office is
Melody Building - No.01 Nguyen Van Dau Street, Phu Nhuan District, Ho Chi Minh
City, Vietnam.
The initial scale of the Company was just a tiny office, with only 3 employees,
along with certain conditions of facilities to serve the business needs of the Company.
With the working slogan: "Your Cargo My Commission" the Company has step by
step brought customers the best services, built a perfect working environment. Over 12
years of construction and development, Melody logistics Company has been on
continuous improvement and improvement to obtain many significant achievements in
the Company's business activities. Here are some details:

In the growing economy, along with the positive changes of the Logistics industry
in Vietnam, Melody Logistics Co., Ltd also constantly expands its business activities to
receive new opportunities from the outside:
From 2013 to 2016: The company has 80 employees, impressive revenue with
an average revenue growth rate of 200%/year.
From 2016 to 2017: Establishing more subsidiaries: Best care Shipping,
Praying Hands, ZooZoo. Melody Logistics Co., Ltd expanded and developed more
branches across 3 regions. In 2016, there was a change when some employees went
their separate ways to leave Melody Logistics. Financial imbalance, capital demand is
higher than the capital capacity of the company, causing considerable pressure. Facing
the difficult situation, the company was reshaped and restructured to maintain
operations and continue to develop.
In 2019, Melody Logistics officially moved to Melody building with a staff of
more than 500 employees throughout the system. On the development momentum,
established subsidiaries: Feder Shipping, LGL, Melody Land.
After more than 10 years of operation, the company has many branches in key
economic areas of our country such as Hanoi, Hai Phong, Da Nang, Binh Duong, Dong
Nai, Can Tho.

1.2.1 Chief missions
Melody Logistics Co., Ltd always strives to become a professional, dynamic,
reliable, and customer-friendly enterprise. Provide transportation solutions, forwarding
logistics for customers and partners with the highest responsibility. Thereby
contributing to bringing more value than the expectations of customers and partners,
bringing the Melody logistics brand to integrate and go up.
For the leadership team and staff of Melody Logistics Co., Ltd, each customer
is a particular person who needs to be served and meet different requirements,
regardless.
Along with the above mission, Melody Logistics also sets out the vision "With the
desire to create value for customers, improve productivity and perfect logistics industry
functions, Melody logistics aspires to become a reliable logistics center in Vietnam and
a strategic partner of both domestic and international customers,” the company will
constantly strive to create future developments and bring maximum benefits to
customers.

1.3 Organisational structures and hierarchy
1.3.1. Organisational diagram
The first task of the company is to plan and organize the implementation of
business strategies that have been set out following current regulations, to ensure the
preservation and replenishment of capital based on self-generating capital, ensuring
provide financial coverage, effectively use capital sources. Besides, advanced,
efficient, and safe means and methods to deliver and transport goods through
coordination with domestic and foreign companies (Dinh, Ngoc Vien; 2002).
The company continually sets the task of strictly implementing take care of life,
training, and fostering to improve the qualifications of employees to the top. Besides,
fulfilling tax obligations to the State: corporate income tax, import tax, export tax, etc.
Currently, the company is operating with five divisions including (1) Board of
Directors; (2) Documents Department; (3) Customer care department; (4) Customs
Department; (5) Forwarding Department; (6) Accounting Department; (7) Sales
department.

1.3.2 Functions and duties of the Departments
The company's administrative structure is set up according to an online model,
in which the Board of Directors is the person who holds the primary responsibility of
the whole company, makes decisions, and directly supervises the remaining
departments.
Export-Import Department in charge of performing jobs related to export and
import documents in the company, monitoring, managing, storing documents, deciding
to sign import-export contracts.
Customer Care Department is responsible for receiving shipment information,
checking, and making bookings with shipping lines or forwarders. Customer Care
Department is also the department that receives and handles issues related to before,
during, and after the import/export process. Customer Care Department will regularly
contact customers, update and monitor the goods making process, and notify the goods
situation to the Board of Directors and related departments to produce goods.
Customs Department: Customs declaration is assigned by the Board of
Directors and takes care of tasks related to customs documents such as (1) Making
export contracts; (2) Opening the customs declaration; (3) Certificate of origin,
fumigation, registration of plant quarantine; (4) Providing inland transportation
services to customers; (5) The customs officer closely cooperates with the forwarder to

promptly carry out the procedures at the port/warehouse so that the goods can be
circulated in a correct and timely manner.
Forwarding Department is assigned by the Board of Directors and is directly
responsible for participating in forwarding activities including (1) Completing the
customs registration/declaration procedures at ports, warehouses, and airports; (2) Get
documents: B/L, D/O, and deposit from the customer, shipping line or forwarder; (3)
Receive documents from the Customs department and submit documents for
certification such as certificate of origin, phytosanitary certificate, fumigation; (4)
Coordinating with transport operators, completing procedures for freight/container
delivery at the port; (5) Making receipts, advance payment slips and final settlement
upon completion of the shipment; (6) Coordinate with the customs department to
handle arising problems.
The Sales department is accountable for finding customers as well as
supporting customers with necessary issues about importing and exporting goods.
Accounting Department is assigned by the Board of Directors and to take
charge has the primary of the company's finances, including (1) Accounting for arising
accounting operations; (2) Advance payment for delivery staff to complete the work;
(3) Monitor and report periodical data to the Director.
In addition, this department is also responsible for a part of human resources
responsibility for keeping records, monitoring insurance and tax policies of all
employees in the company.
Under the strict and unified management of the Company's organizational
structure, the timely guidance and handling of the Company's directors, departments,
individuals and activities has been and will continue to be carried out. The company's
stable, synchronized and developed operations have established its reputation in the
current turbulent market.

Procedure to carry out the freight forwarder procedure in marine import full
container logistics (FCL) at Melody Logistics Co., Ltd. includes 7 steps: Dealing the
Services with Customers, Receiving documents and checking them Tracking the route
and handling the reception procedures, Making the Customs clearance, Arriving at the
port of shipment, Delivering to the customer and Making payment and record-keeping,

2.2 Analysis of the steps in the freight forwarder procedure in marine import full
container logistics (FCL) at Melody Logistics Co., Ltd.
As an example of this procedure, the research document used is a set of documents
from AVIET (Vietnam) Import and Export Service Trading Co., Ltd. AVIET
(Vietnam) purchased a shipment of "NATMIN-9000 M195 (Natural Zeolite) from
GORDES ZEOLIT MADENCILIK TICARET VE SANAYI A.S.(Turkey)
2.2.1 Dealing the Services with Customers
Upon the arrival of the goods and receipt of the shipping documents from the
partners, AVET Import and Export Trade Services Co., Ltd. contacted Melody
Logistics Co., Ltd. on both parties about price, delivery time... After reaching a
successful agreement and completing provisions, both parties shall jointly sign the
contract. The service contract drafted by the company includes basic clauses
expressing the rights and obligations of both parties. In addition to Melody Logistic
Co., Ltd. In addition to the service fee, AVET Import and Export Trade Service Co.,
Ltd. is also responsible for paying the fees and cargo handling fees incurred in the
implementation of professional processes (such as auxiliary tools). Both parties will
agree to sign an import contract. Melody Logistics Co., Ltd. will sign a booking
confirmation with each exporter of all kinds according to the agreement of both parties.
2.2.2 Receiving documents and checking them
The set of documents faxed by the consignee to the exporter includes Commercial
Invoice No. GIB20200000192 dated 17/06/2020, Packing list dated 17/06/2020, Bill of
Lading ONEYIZMA01774400, and Arrival notice dated 28/06/2020.
Check all documents received from the Consignee. If this set of documents is
valid and there are no errors in the documents, it is suitable for receiving goods.
2.2.3 Tracking the route and handling the reception procedures
The freight forwarder receives D/O according to the arrival notice and contacts
the agent of the transportation company (Address 3rd floor, M-Plaza Saigon, 39 Le

Duan Street, Ben Nghe Ward, Ho Chi Minh City), and submit documents to the
loading place and pay relevant fees.
In order to obtain D/O, the freight forwarder prepares all the documents. The
document set includes Letter of Recommendation from Consignee (01) original,
Arrival Notice (01) original, and ''Paid" Receipt (01) original
(www.webxuatnhapkhau.com).
Then, the freight forwarder submits the documents to the staff of the shipping
company to execute the procedures of issuing delivery orders and paying container
bets. The shipping line staff will deliver the D/O to the freight forwarder with the
signature stamp of ONE shipping company.
At this time, the freight forwarder needs to check the delivery order again before
leaving the shipping line such as delivery number, ship name, trip number, voyage,
departure date, arrival date, container number, seal number, package number, block
number, quantity, cargo description, a stamp of shipping company, and a mark of
"Direct delivery". These details are very important. If there are any errors, correct them
immediately by the shipping company to avoid inappropriate documents
2.2.4 Making the Customs clearance
This step is considered to be the most important step in the delivery of the goods
because if the declaration is not appropriate, the subsequent steps in the delivery
process will not be carried out. Documentation department staff use the electronic
customs declaration software ECUSS-VNACCS/VCIS to make electronic customs
declarations for contract shipments. Complete set of documents includes Notification
of Arrival, Bill of Lading, Commercial Invoice, and Packing List.
The customs declaration form must be complete and accurate because it is
imported goods. The customs declaration form is green and includes two copies, one is
a copy kept by the customs and one is a copy kept by the customs declarant. In
addition, if the declared number of items is on four items, Melody must include a

declaration appendix, and if the item has a lot of details, Melody must include a
detailed list. There are no samples in the appendix, detailed list or any declaration
documents, the enterprise can establish reasonable samples and be responsible for its
declaration.

After the check is completed, the delivery man delivers the customs fee receipt,
the customs have stamped a temporary customs clearance stamp on the back of the
customs, awaiting the results of the national quality inspection (Dinh, Ngoc Vien;
2002).
In this case of import, the result of the channeling is a green stream. Therefore,
the customs officer of Cat Lat port will transfer the file to the leader of the sub-
department for approval and stamp the customs clearance "Certificate of customs " on
the import declaration, then enter the monitoring book and return the customs
declaration form to the customs declarant.
2.2.5 Arriving at the port of shipment
After completing customs clearance procedures at the port, Melody Logistics’s
freight forwarder contacted the company and requested that the vehicle be dispatched
to the port to receive the container loaded on the vehicle and receive the closed
container delivery order, stamp to clear the gate where the driver takes the container
out of the port (Dinh, Ngoc Vien; 2002).
Note that if the invoice is about to expire, the shipper should inform the driver
to pick up the goods before the time indicated on the invoice. If it is late, the port does
not deliver the container, and the shipper must update it again, which wastes time and
delays delivery to the customer's warehouse.
2.2.6 Delivering to customers
Deliver the goods to the container truck driver responsible for towing the
containers to the private warehouse of AVET Import and Export Trade Service Co.,
Ltd., which is located in 192/9, Nguyen Thong Street, An Thoi Ward, Binh Thuy
District, Can Tho City, Vietnam. After the goods are delivered to the customer and
taken out of the container, the driver must transport the container back to the
designated yard. The freight forwarder will receive the payment confirmation of the

empty container and take it to the shipping company to retrieve the bet. In this case of
the shipment, the shipping company does not charge container betting fees.
2.2.7 Making payment and record-keeping
Once completing the procedures and operations of receiving and delivering
goods, the document staff will check and organize the documents into a complete set of
documents, which will be returned to the customer AVET Import and Export Trade
Services Co., Ltd., include original statement, list of qualified containers through two
monitoring areas, units, and compilation of expenses incurred in the information
disclosure process.
At the same time, the voucher clerk issues the expense declaration form to the
accounting department to produce debit notes, i.e. forms prepared for customers, the
company's repository, including the expenses paid by the company to customers, the
payment of red invoices, the service fees for transporting goods to the warehouse, and
other issuing fees for the directors to sign and seal the debt notice. After the inspection
is completed, the voucher staff copies the document to save it in Melody Logics Co.,
Ltd. In the file, the first is to check encrypted goods, tax rates, and declarations of
similar items. The original documents are then returned to AVET Import and Export
Trade Services Ltd. and the debt statement is handed over to the client company for
payment by cash or bank transfer.
2.3 The discussion on the strengths and weaknesses of freight forwarder

Ltd.
Through the analysis of freight forwarder procedure in marine import full container
logistics (FCL) at Melody Logistics Co., Ltd., some strengths, and weaknesses can be
presented as follows:
2.3.1 Strengths

The delivery process is simple and easy to carry out, and the process is
completed in close coordination between departments.
The company always complies with customs laws and makes few mistakes in its
work, so it can usually handle goods quickly and effectively, as well as improve
service quality and company reputation.
The company has an experienced, highly qualified, and enthusiastic workforce.
The efficiency of the delivery process is always high, the export time of shipment is
greatly shortened, and the risk of falling, losing, or damaging is reduced.
The company has established a reasonable working order, that is, every
employee undertakes the work in the order. Everyone will have time to grasp an area,
so as to speed up the work progress. For example, in preparation for delivery, there are
two main stages, namely, receipt and inspection of documents, customs declaration and
clearance of goods. The above procedures will be performed by two staff members.
They are people who specialize in paperwork. They will examine the documents and
submit a statement. The rest of the staff will go to the port to go through customs
formalities and receive goods. These efforts will form an alternating closed chain.
Every employee who works in the chain has a close connection with other employees
in the chain.
2.3.2 Weaknesses
Besides the strengths, there are always weaknesses that the company needs to
take measures to improve.
Firstly, the company's means of transport are still limited; that forced the
company to hire a container truck from a port or an external warehouse with a higher
cost to transport to the customer's warehouse, making the service price higher, causing
competition with other competitors.
Secondly, the company's warehouse system does not have, the company is
forced to rent a warehouse, leading to high costs.

Thirdly, although the company has been operating for many years, up to now,
the company has not focused much on marketing, so customers and some large
enterprises still do not know the company's reputation much.
Fourth, the company still doesn't have many agents in major markets, which
leads to difficulties in some routes such as Japan, France and so on.
Fifth, there are few delivery personnel, but the workload is heavy. Too much
work has a more or less negative impact on productivity, which leads to many contracts
being signed at the same time, thus preventing freight forwarders from rotating.
2.4 Recommendations on outstanding issues in the freight forwarder procedure in
marine import full container logistics (FCL) at Melody Logistics Co., Ltd.
2.4.1 Solution for customs declaration
From the needs of diverse import market research to reduce costs, to evaluate
and compare different markets to find new opportunities, the strategy of expanding
production and business in order to find opportunities to export products to foreign
countries needs to be improved in terms of customs declaration, it is suggested that the
company help expand human resources and development scale, promote production
activities, contribute to the increase of revenue of the company, and minimize the cost
of outsourcing transportation services. The Human Resources Department should
establish a reasonable recruitment and compensation strategy for employees, and the
company should plan how many additional employees will be recruited, and train such
employees for the work of electronic customs declaration and transportation personnel.
The company also needs to update and disseminate legal documents related to import
and export activities, changes in national policies, and customs rules to ensure customs
declaration and find HS codes, the right product saves modifying costs (Vietnam
Ministry of Industry and Trade, 2020).

In addition, the company should also formulate reasonable salary policies to
attract potential employees to cooperate with the company such as salary policies and
social insurance benefits.
2.4.2 Solutions to overcome limitations of human resources
There are few delivery-man, but the workload is very high, the Company
should create conditions for employees who attend short-term and long-term courses to
improve their foreign trade skills and language skills. Train solid, energetic, and
creative young employees to quickly supplement experienced employees who are
about to retire. From the beginning of the recruitment stage, the company should
carefully and objectively select truly talented and enthusiastic employees. As to ensure
which employees master professional skills for future training. The company has
developed reasonable incentive policies and organized trips to improve the morale so
that employees are committed to their work and to the company.
The company needs to conduct regular guidance and training to employees to
improve their delivery skills. The company should also understand the process of the
delivery phase to facilitate implementation, ensure the lowest cost incurred and deliver
to customers on time. The company needs to organize communication between
departments to understand each other's processes and business, as well as create
conditions for new employees so that they have the opportunity to contact and
experience more practices.
It is necessary for the company to clearly organize personnel recruitment, select
suitable personnel and jobs, and limit the cost of training non-professional employees.
In addition, the company collect customer debt, bet on business capital, limit debt and
increase interest expenses. Freight forwarders have investment strategies to reduce
outsourcing costs, ensure faster transportation, avoid document inspection errors, and
minimize company costs (Wirtz, 2016).

CHAPTER 3: CONCLUSION
3.1 Personal learning lessons from the internship period
During my internship, due to the lack of practical experience in importing
complete containers, I encountered many difficulties, especially with invoices,
documents and unilateral customs declarations. I spent a lot of time studying the
problems related to this industry. First, understand the customs declaration application
process to complete the receiving procedures, then understand how to deal with
common customs declaration errors, and understand the process of handling imported
full container goods by sea.
Communication skills are one of the most important skills that I must have when
working at Melody Logistics Co., Ltd. At first, I was still very shy to talk to my
colleagues because the company and people here were still quite unfamiliar to me. But
gradually, I found that everyone in the company is very happy and sociable.
Colleagues have helped me to be more open in communication with all colleagues,
thereby I become comfortable when communicating with customers. Consequently, I
have learned to open up more to my colleagues, to talk to them more often. I am also
aware that it is easier for me to work in a friendly environment. Whenever I have a
problem, I can talk to them, everyone here will listen, and then they will take the time
to solve the problem with me.
The company often organizes small parties during breaks. During my first week on
the, I was extremely shy when talking to people. Then, my instructor encouraged me to
get rid of my shyness and fear, so that I could get along well with everyone. After the
small parties, I gradually became more enthusiastic, helping everyone from preparing
food, from tidying things up. I was very happy because I could both communicate
openly and learn from my seniors' experiences through conversations at parties.
Besides, to improve my communication skills and to work with senior colleagues, I
also need to prepare more knowledge about the import and export industry and read

more newspapers, magazines on websites, equipped with some vocabulary and soft
skills for customs and import and export industries.
After my internship at Melody Logistics Co., Ltd., I realized that things, in reality,
would be very different from what I learned in College because is it the real world and
my responsibility is to complete the assigned tasks well. My colleagues in the company
all know that I am an intern, inexperienced and wanted to help me, but they also had a
lot of work to do and could not spend time explaining everything to me. I have to be
fully active.
During my internship at Melody Logistics Co., Ltd., I received the enthusiastic
support and guidance of the employees in the company. During this internship I
learned:
I have mastered the operation mode of the company and the operation process of
the management graphic department. On this basis, the forecasting theory is compared
with the existing theory. I find out the similarities and differences, and then get the
essence of logistics enterprises. Before working as an intern in the company, I sat in the
school and was exposed to translated materials and vocabulary. I didn't have the
opportunity to translate or learn. Now internship is the time for me to learn and learn
more vocabulary about the types and processes of importing and exporting full
container cargo by sea, which is the new service and almost unpopular in Vietnam and
has approached many people. My experience and partners have helped me a lot.
My achievements during the internship helped me understand myself better. By
interacting with the company and customers, I have developed communication skills,
which is my weakness. It is because of the improvement of my communication skills
that I have more confidence in myself. Therefore, I am more confident to face the
future career path.
The most important gain of my internship here is to make me realize my strengths
and weaknesses. Starting from there and trying to further enhance my strengths and to

overcome my weaknesses. I have determined the direction I want to pursue in the
future and thus realized what knowledge I have and am still in shortage so that I can
continue to improve and supplement those who lack knowledge.
3.2 Suggestions to improve the quality of the internship programme
Through the internship process, I gained practical experience and learned more
useful knowledge for future work. Besides the advantages that I learned, I also
recognize the difficulties that I and all other students often encounter during the
internship. To improve the effectiveness of the student's internship program, I would
like to offer some ideas as follows:
3.2.1 For the School
The School should receive feedback from institutions and businesses to better
understand the needs of the labour market, and then offer courses that provide students
with appropriate knowledge.
Students should consider practice models for students to help them practice their
subjects in school, and the school needs to develop training programs to improve the
quality of students and link them to professional practice and provide specific
information about the internship.
If this can be done, then surely the human resources will have quality, meet the
requirements of society and above all bring interest to students for their profession.
3.2.2 For Businesses
Enterprises should actively coordinate and support the school to receive and
allow internships for students, create the best conditions for them, assign mentors to
guide students to practice seriously, and support students to practice in the appropriate
environment, appropriate work and appropriate major.
