6. EXPORT PROCEDURES
 Exporter contacted to buyer (Buyer may also contact to Exporter first)
and obtain request from the potential buyer asking to provide quote
for particular product/items or services
 Performa Invoice shared by Exporter to buyer
 After carefully examined in respect of product ,specifications, payment
condition ,Inco terms & delivery schedule and then the order
confirmed by buyer
 Purchase order shared by buyer to Exporter
 Sales contract shared with production & planning ,Purchase and
Logistics for their part of transaction

7. ORDER EXECUTION
 Production planning person will workout the raw material and packing
material requirement and purchase requisition for RM & PM after
considering stock in hand
 Logistics check the CIB registration certificate (For Pesticide Export)
availability and inform to registration team for arrangement if not available
 UN certificate availability (For Haz goods) checked by logistics and inform to
purchase-Packing for arrangement in case of unavailability
 Material Safety Data Sheet (MSDS ) availability
 Covering Risk through ECGC (Export credit Guarantee Corporation Ltd)
by purchasing policy from ECGC to protect against risk of non-payment
 E-Seal procurement (In case of self sealing permission available )

8. ORDER EXECUTION
 Production/planning will intimate to Logistics team 4-5 days advance about
goods readiness
 Production/Planning team will share production details like Batch no,
manufacturing and expiry date ,product description , net and gross weight to
logistics (or concern dept.) for commercial Invoice/Packing list preparation
 RFQ floating to various Freight forwarders to obtain Sea freight and origin
charges ,cost comparative statement ,negotiation and finally confirmation
based on L1quote
 Booking placement with Shipping line through FF along with IIP
certificate(UN certificate),MSDS ,Commercial Invoice and packing list for
Haz approval

 RFQ floated for transportation ,comparative statement ,negotiation and
confirmation based on L1 after thatVehicle placement at factory
 Commercial Invoice ,packing list along with tax invoice, LUT (Letter of
Undertaking) shared with Custom House Agent (CHA) for check list
 Authorized dealer code registration (AD Code) at port
 Check list reviewed as per CI ,PL & purchase order carefully ,approval and
Shipping bill number generation
 Inform to inspection agency in advance to presence at the time of stuffing (If
required)

12. Essential Functions
 Booking release by Shipping line and share with transporter for empty container
pick-up for stuffing
 Appraisement of Shipping bill with all export documents
