The purpose of this memo is to update you on the recent project
that the company was awarded after a rigorous tender
application to the U.S.A ministry of defense. As the project
manager, our mission will be to ensure the company meets the
customers’ demands through proper design, development,
production and delivery of the new product. The company was
awarded a contract to provide a new product namely, backpack
with built in refrigerated pouch and radio module, which will
help the users to have an easy time during practice and in
combat or service delivery. The program was awarded a budget
of $ 1,500,000 because 200 units of the new product are needed
and therefore the company will have to utilize most of its
skillful employees among the 100 from every department to
ensure the success of the project.
The customer for the new product is U.S Army, ground forces
and special operations who awarded the company the contract in
1st September 2015 and expects the project to be completed by
1st March 2017. 100 units will be assigned to Ground forces
while the other 100 units will be assigned to Special Operations.
The customers expect the company to give 100 units after the
receipt of order within 12 months that is 50 units every 3
months after delivery. The DOD are very strict and categorical
in their budgets, contract allocation and working with private
firms and expects the best when it comes to products of
innovation and technology for their army personnel (Callahan et
al., 2018).
The program will need a stylish and functional design. The
backpacks will be designed with hard leather to handle the
harsh conditions. The portable radio will be fitted in a manner
no one will know it there except the use. The refrigeration
system will be simplified and utilize less dense material to
allow easy locomotion. The project will require 40 team players
from the research and development, design, production and
testing experts (Hu, 2017). The senior management is expected
to fully support the project through provision the required items
in time.
The project will be faced with certain risks. These risks include
selection of the best employees for the task, varying product
prices for the product, continued design and product change to
meet the customer’s needs, adapting to the set technological and
innovative rules and regulations, and training the team to get
right skills for the project. The project will employ agile project
management where the management and the team will work
hand in hand with the customer to allow minimal change in
customers’ needs in the developmental phases (Hu, 2017). The
management is also asked to work with the stipulated budget
and purchase items before any unanticipated inflation.
The management is expected to work closely with the project
manager to make the project a success. This is through ensuring
on-time delivery, completing the project in stated budget, all
the milestones are attained in the due dates and allow the
customer give future contracts to the company.

Unexpected events are occurrence of an event during the course
of a project that would causes harm to a participate or increase
the likelihood of a participate of a event be at risk of being
harm (Söderholm 2008). It can be directly or indirectly.
Directly when one would have physical injuries indirectly when
payment is delayed or asked to work extra hours more than the
agreed time.
On October 15, 2015, the customer notified the project manager
that the first milestone payment would delay by three months.
These brought a set back for the project and its way of
operating. The project was going to stop for some time. There
would be more work load after the three months if the deadline
was not pushed. To avoid all of this, the project manager would
take a loan from a credit facility to avoid the pressure after the
three months. Then after the customers have done their
payment, the project manager should pay the loan. The interest
should be catered for by the customer.
On March 15, 2016, a notice came that the material pattern for
the backpack will not be available to meet the initial production
start date. This was going to make the first delivery of the
backpacks to have a delay. This would mean a smaller number
of the backpacks to be delivered in the first phase. On May 15,
2016, there was a notice that the customers would like to
increase the initial delivery from 100 to 150 backpacks. This
would cause a pressure to the company to produce more
backpacks more than they had plan to. This would change the
budget of the project to go high than they had agreed on. This
would mean that the project manager would be forced to get the
extra capital to be in position to manage to manufacture 50
more backpacks than the agreed (Floricel and Miller 2001). The
delivery time would change because in March they were unable
to have all the materials that were needed to manufacture 100
backpacks. This was a sign that there would be a delay in
manufacturing 150 backpacks.
On March 1, 2016, the project engineering team discovered that
the refrigerated module is too large for the designed refrigerated
backpacks pouch. This will cause a delay in delivering. The
manufacturing team will be forced to change the size of the
pouch of the refrigerators. These would cause an extra cost that
has not been budget for. This would bring a delay in the
production of the backpacks because of correcting the size of
the pouch.
On May 27, 2016, the subcontractors assigned to build the
radio module for the backpacks have shut down. This was going
to cost the company time and money for getting another person
to employ. This would take time to first train the person on
what is needed to be done. The time for delivery would be
delayed, but if there would be no extra time given, this would
cause intense pressure to the person to instore the radio modules
and the whole company at large. This will cause a change in the
budget because there would have an extra amount to be paid
that had not been budgeted for.
In conclusion, the main hold backs for the company and the
project to work smoothly are; the change of the budget that had
been agreed upon, use of personal capital like the company
taking loan for the project to continue and the change of the
schedule like in time of delivery.

module to help in communication. The product will have one
and half year of development. There will be three phases of
batch released. The first phase will include the designing and
development of the products. The first batch will have 100
backpacks and the rest will next 100 backpacks will be released
in two phases at an interval of three months each.
The radio module will include an inbuilt transceiver which is
for sending and receiving signals even in remote areas Lee, Lee,
Song, Lee, (2009, October). The inbuilt refrigerator will be in a
specialized unit in the backpack that will enable it to be
removable. This will be useful while packing the food and also
can be sealed for carrying it. It will have a capacity of five
liters of liquid foods and drinks. The project will not involve
the training of the users and their funding.
Deliveries that will be made.
The project will have three major deliveries to make. The will
lapse between the start date of September 1, 2015 and March 1,
2017. They should be delivered as: the first phase will have 100
backpacks and will be released after one year of starting the
project and the second and third phase will have 50 backpacks
each and will be released at an interval of three months each.
The deliveries will be made on time.
Milestones
These is the progress of the project. The first milestone payment
from the customer was made on October 30, 2015. This was to
enable the project manager to purchase materials and pay for
other necessary services for the development of the backpacks.
It was done in the first phase of the project. The second was
done after the first delivery on January 30, 2017 and the third
was done after project was completed on May 30, 2017. Both
were done on the third phase of the project.
Technical requirements
The project will require both human and nonhuman resources
(Mir and Pinnington 2014)The project’s budget is
approximately $2,000,000. The 35%will be use to compensate
the human power used in the project and others that were
involved indirectly in the development. 45% will be used in
procurement and raw materials to be used in the project. Also,
in purchase of other materials that will be used in the project.
The rest was used to cater for miscellaneous outcomes like
product deliveries and the uncertainty that might occur. The
company has 100 employees who have different fields of
expertise.
Limitations and exclusions
The project will only include military delivery to the military
groups not any other group. The idea cannot be used outside the
intended mission.
Customers Reviews.
The military personnel are the only group that is meant review
the project. They happen to be the only group involved in the
whole project.

Identification of business requirements, collection of project
resources and development of work plan are the designs that are
involved in a project. These activities play a very big role when
it comes to reducing the unexpected risks and also in ensuring
that the delivery dates are met. The project will be done by a
small company with 100 employees. The company will be
developing 200 backpacks with inbuilt radio and refrigerators
modules. The military will be the main customers of the project.
Business need.
The military has suffered for years in terms their meals and
drinks getting spoilt because of the conditions of their bags
which is very poor. They have had a hard time even when it
comes to storing their meals for a long period of time when they
go to remote areas. The officers have lost their roots while in
the remote places due to lack of proper communication channels
(spinella et al., 2012). This has caused them to be carrying very
large bags so accommodate the large tools that are used for
communication. Other have been injured while in the field being
because of lack of proper communication where they can be
warned on sites that are dangerous. This project has come to
give a solution to the problems being faced by the military
officers. The bags will have a refrigerators pouch that will have
a capacity and an inbuilt radio module to be used in
communication. This will reduce the risk and increase the
certainty of that the military while in the field.
Description of the product scope
This project will be involved in the designing the backpacks,
manufacturing them and also distributing them to the main
customers who are the military officers in the United States.
The products will be of high quality and will have specialized
systems to facilitate improved services to the customer. It will
have an inbuilt refrigerator to enhance them be in position to
consume fresh meals while in the field. It will also have a radio
module which will be used in communication mostly when in
the remote places. For the product to be in the market, it will
take one and a half years to finish and make the first delivery of
100 backpacks. The second delivery will be done after three
months, which will have 50 backpacks. The third and the last
delivery will be done three months after the second delivery, it
will contain 50 backpacks.
The refrigerator will have a special poach that will be
removable when being packed. This unit will be will be then
mounted back after the meals are packed and sealed before
carrying the bag. The refrigerator will have a capacity of five
liters of both meals and drinks. The radio will have the ability
to send and receive signals. The radios will have the ability to
connect with the main server even when they are used in the
remote areas or in bad weather.
Strategic plan
Project schedule: the project will begin on 1st September 2015
and will lapse on 1st March 2017. This will contain the
deliveries that will be made from the first phase to the third.
The first delivery will be done after the first twelve months
which will consist of 100 backpacks. The rest 100 bags will be
delivered at intervals three months with each having 50 bags.
Our main aim will be to deliver our product at the scheduled
dates at any cost.
Project budget: the project will use both man power and
machines in the manufacturing of the backpacks (Mir &
Pinnington, 2014). The budget will approximately be
$2,000,000 for the project to be completed. 35% will be used to
compensate the human power used in the project. 45% will be
used the purchasing of the raw materials to be used in the
manufacture of the backpacks. The rest will be used to cater for
miscellaneous outcomes like the delivering of the products to
the customers and testing the radio module and the refrigeration

This is a project that is involved in manufacturing of military
backpacks. They are more advanced than what they previously
used. The backpack will have an inbuilt refrigerating module
that will have a capacity of five liters of liquid foods and
drinks. Solders are forced to take meals that are not fresh or
lack cold drinks while in hot areas. It will also have an inbuilt
radio module. This will help in communication when the
military will be deployed to remote areas. So many solders have
been wounded or lost in the remote areas due to poor
communication. After the project had begun, there were some
unexpected events that came up (Söderholm 2008).
On March 1, 2016, the project engineering team discovered that
the refrigerated module is too large for the designed refrigerated
backpacks pouch (Floricel and Miller 2001). This was a major
set back to the project. The project designer had to instruct the
manufacturing team to increase the size of the refrigerators’
pouch because the previous size happens to be small. This
meant that all the pouches that had been manufactured had to be
readjusted to fit the module. The personnel employed by the
company had to be paid for the extra work load.
The budget that was set for the manufacturing and for
purchasing the materials had to be readjusted. The project had
to cater for the excess money. This meant that the company will
not make as much profit as it was supposed to make. The
pouches that had already been manufactured had to be taken
back to be manufactured afresh. This was an indication that the
scheduled date to deliver the will have to change. The company
will be caused to cater for the late deliveries. The project
manger will have to consult with the military to be added more
time for the delivery. If the military will not accept to push the
delivery time, then this will cause intense pressure to the
company to work extra time. This will mean extra pay to the
persons who work in this company.
On May 27, 2016, the subcontractors assigned to build the radio
module for the backpacks has shut down (Floricel and Miller
2001). This was going to cost the company time. The company
had to call for an interview to hire a new subcontractor. This
will cost the company a lot of time because the new
subcontractor had to take time to learn from the whole project
and what is required. The time will be wasted in the period.
There will be delay in delivery of the backpacks.
The new subcontractor will need to be paid afresh; hence there
will be a change in the budget. The company will go at a loss
because they have to pay for the previous subcontractor and
also the new subcontractor. The man power will also need new
training because there can be new rule from the new servicer
provider. The will mean extra days from the estimated time
hence new budget. If the military will not accept to push the
delivery time, then this will cause intense pressure to the
company to work extra time. This will mean extra pay to the
persons who work in this company.
In conclusion, the main hold back in the company to accomplish
the what they had agreed with the military about the project are,
the project engineering team discovered that the refrigerated
module is too large for the designed refrigerated backpacks
pouch and the subcontractors assigned to build the radio module
for the backpacks has shut down. These unexpected events
caused a delay in the delivering of the backpacks. There was
also a change in the budget. The persons employed to work in
the company will have to be compensated on the labor they
provide to the company. The company will be under intense
pressure if the military will still need the backpacks on the
same day the deliveries were to be made.

  • 6. Enter dateRe: Project update The purpose of this memo is to update you on the recent project that the company was awarded after a rigorous tender application to the U.S.A ministry of defense. As the project manager, our mission will be to ensure the company meets the customers’ demands through proper design, development, production and delivery of the new product. The company was awarded a contract to provide a new product namely, backpack with built in refrigerated pouch and radio module, which will help the users to have an easy time during practice and in combat or service delivery. The program was awarded a budget of $ 1,500,000 because 200 units of the new product are needed and therefore the company will have to utilize most of its skillful employees among the 100 from every department to ensure the success of the project. The customer for the new product is U.S Army, ground forces and special operations who awarded the company the contract in 1st September 2015 and expects the project to be completed by 1st March 2017. 100 units will be assigned to Ground forces while the other 100 units will be assigned to Special Operations. The customers expect the company to give 100 units after the receipt of order within 12 months that is 50 units every 3 months after delivery. The DOD are very strict and categorical in their budgets, contract allocation and working with private firms and expects the best when it comes to products of innovation and technology for their army personnel (Callahan et al., 2018). The program will need a stylish and functional design. The
  • 7. backpacks will be designed with hard leather to handle the harsh conditions. The portable radio will be fitted in a manner no one will know it there except the use. The refrigeration system will be simplified and utilize less dense material to allow easy locomotion. The project will require 40 team players from the research and development, design, production and testing experts (Hu, 2017). The senior management is expected to fully support the project through provision the required items in time. The project will be faced with certain risks. These risks include selection of the best employees for the task, varying product prices for the product, continued design and product change to meet the customer’s needs, adapting to the set technological and innovative rules and regulations, and training the team to get right skills for the project. The project will employ agile project management where the management and the team will work hand in hand with the customer to allow minimal change in customers’ needs in the developmental phases (Hu, 2017). On October 15, 2015, the customer notified the project manager that the first milestone payment would delay by three months. These brought a set back for the project and its way of operating. Then after the customers have done their payment, the project manager should pay the loan. The interest should be catered for by the customer. On March 15, 2016, a notice came that the material pattern for the backpack will not be available to meet the initial production start date. This was going to make the first delivery of the backpacks to have a delay. This would mean a smaller number of the backpacks to be delivered in the first phase. On May 15, 2016, there was a notice that the customers would like to increase the initial delivery from 100 to 150 backpacks. This would cause a pressure to the company to produce more backpacks more than they had plan to. This would change the budget of the project to go high than they had agreed on. This would mean that the project manager would be forced to get the extra capital to be in position to manage to manufacture 50 more backpacks than the agreed (Floricel and Miller 2001). The delivery time would change because in March they were unable to have all the materials that were needed to manufacture 100 backpacks. This was a sign that there would be a delay in manufacturing 150 backpacks. On March 1, 2016, the project engineering team discovered that the refrigerated module is too large for the designed refrigerated backpacks pouch. This will cause a delay in delivering. The manufacturing team will be forced to change the size of the pouch of the refrigerators. These would cause an extra cost that has not been budget for. This would bring a delay in the production of the backpacks because of correcting the size of the pouch. On May 27, 2016, the subcontractors assigned to build the radio module for the backpacks have shut down. This was going to cost the company time and money for getting another person
  • 10. to employ. This would take time to first train the person on what is needed to be done. The time for delivery would be delayed, but if there would be no extra time given, this would cause intense pressure to the person to instore the radio modules and the whole company at large. This will cause a change in the budget because there would have an extra amount to be paid that had not been budgeted for. In conclusion, the main hold backs for the company and the project to work smoothly are; the change of the budget that had been agreed upon, use of personal capital like the company taking loan for the project to continue and the change of the schedule like in time of delivery. The first phase will include the designing and development of the products. The first batch will have 100 backpacks and the rest will next 100 backpacks will be released in two phases at an interval of three months each. The inbuilt refrigerator will be in a specialized unit in the backpack that will enable it to be removable. This will be useful while packing the food and also can be sealed for carrying it. It will have a capacity of five liters of liquid foods and drinks. The project will not involve the training of the users and their funding. Deliveries that will be made. The project will have three major deliveries to make. The will lapse between the start date of September 1, 2015 and March 1, 2017. They should be delivered as: the first phase will have 100 backpacks and will be released after one year of starting the project and the second and third phase will have 50 backpacks each and will be released at an interval of three months each. The deliveries will be made on time. Milestones These is the progress of the project. The first milestone payment from the customer was made on October 30, 2015. This was to enable the project manager to purchase materials and pay for other necessary services for the development of the backpacks. It was done in the first phase of the project. Also, in purchase of other materials that will be used in the project. The rest was used to cater for miscellaneous outcomes like product deliveries and the uncertainty that might occur.   • 13. 2 PROJECT SCOPE STATEMENT Written by: Date: Position held: Objective of the project. The project will involve the design, manufacture and distribution of backpacks. This is the product that is to be delivered to the military groups of the United States. The backpacks are of high quality for the targeted group. They have an inbuilt refrigerate on enable them have fresh food even when they are in very remote places. Also have an inbuilt radio module to help in communication. The product will have one and half year of development. There will be three phases of batch released. The first phase will include the designing and development of the products. The first batch will have 100 backpacks and the rest will next 100 backpacks will be released in two phases at an interval of three months each. The radio module will include an inbuilt transceiver which is for sending and receiving signals even in remote areas Lee, Lee, Song, Lee, (2009, October). The inbuilt refrigerator will be in a specialized unit in the backpack that will enable it to be removable. This will be useful while packing the food and also can be sealed for carrying it. They should be delivered as: the first phase will have 100 backpacks and will be released after one year of starting the project and the second and third phase will have 50 backpacks each and will be released at an interval of three months each. The deliveries will be made on time. Milestones These is the progress of the project. The first milestone payment from the customer was made on October 30, 2015. This was to enable the project manager to purchase materials and pay for other necessary services for the development of the backpacks. It was done in the first phase of the project. The second was done after the first delivery on January 30, 2017 and the third was done after project was completed on May 30, 2017. Both were done on the third phase of the project. Directly when one would have physical injuries indirectly when payment is delayed or asked to work extra hours more than the agreed time. On October 15, 2015, the customer notified the project manager that the first milestone payment would delay by three months. These brought a set back for the project and its way of operating. The project was going to stop for some time. There would be more work load after the three months if the deadline was not pushed. To avoid all of this, the project manager would take a loan from a credit facility to avoid the pressure after the three months. Then after the customers have done their payment, the project manager should pay the loan. The interest should be catered for by the customer. On March 15, 2016, a notice came that the material pattern for the backpack will not be available to meet the initial production start date. This was going to make the first delivery of the backpacks to have a delay. This would mean a smaller number of the backpacks to be delivered in the first phase. On May 15, 2016, there was a notice that the customers would like to increase the initial delivery from 100 to 150 backpacks. This would cause a pressure to the company to produce more backpacks more than they had plan to. This would change the budget of the project to go high than they had agreed on. This would mean that the project manager would be forced to get the extra capital to be in position to manage to manufacture 50 more backpacks than the agreed (Floricel and Miller 2001). The delivery time would change because in March they were unable to have all the materials that were needed to manufacture 100 backpacks. This was a sign that there would be a delay in manufacturing 150 backpacks.
  • 17. On March 1, 2016, the project engineering team discovered that the refrigerated module is too large for the designed refrigerated backpacks pouch. This will cause a delay in delivering. The manufacturing team will be forced to change the size of the pouch of the refrigerators. These would cause an extra cost that has not been budget for. This would bring a delay in the production of the backpacks because of correcting the size of the pouch. On May 27, 2016, the subcontractors assigned to build the radio module for the backpacks have shut down. This was going to cost the company time and money for getting another person to employ. This would take time to first train the person on what is needed to be done. The time for delivery would be delayed, but if there would be no extra time given, this would cause intense pressure to the person to instore the radio modules and the whole company at large. This will cause a change in the budget because there would have an extra amount to be paid that had not been budgeted for. In conclusion, the main hold backs for the company and the project to work smoothly are; the change of the budget that had been agreed upon, use of personal capital like the company taking loan for the project to continue and the change of the schedule like in time of delivery. Description of the product scope This project will be involved in the designing the backpacks, manufacturing them and also distributing them to the main customers who are the military officers in the United States. The products will be of high quality and will have specialized systems to facilitate improved services to the customer. It will have an inbuilt refrigerator to enhance them be in position to consume fresh meals while in the field. It will also have a radio module which will be used in communication mostly when in the remote places. For the product to be in the market, it will take one and a half years to finish and make the first delivery of 100 backpacks. The second delivery will be done after three months, which will have 50 backpacks. The third and the last delivery will be done three months after the second delivery, it will contain 50 backpacks. The refrigerator will have a special poach that will be removable when being packed. This unit will be will be then mounted back after the meals are packed and sealed before carrying the bag. The refrigerator will have a capacity of five liters of both meals and drinks. The radio will have the ability to send and receive signals. The man power will also need new training because there can be new rule from the new servicer provider. The will mean extra days from the estimated time hence new budget.
