Customer background
Employing over 800 people throughout the
UK and Poland, Ennstone supplies a diverse
and dynamic range of products and services
to the construction and building sectors,
including aggregates, asphalt, concrete
and contracting services. Under the holding
company Breedon Holdings Ltd the group
strategy is to deliver optimum profit growth
by lowering production costs and efficient
marketing of quality materials and products.
The three operating companies are
Ennstone Johnston, Ennstone Thistle
and Ennstone Poland.
Customer needs
Several years ago, after expansion of both
Scottish and English operations, as well as
creation of a venture in Poland, Ennstone
realised that the range of activities within
the enlarged organisation – such as
quarrying, asphalt, ready mixed concrete
production and contracting – were so varied
that a system was needed to pull together
health and safety and environmental policies
and procedures across the business.
The manual system was incurring significant
people and resource costs whenever any
updates were needed and it was believed
that a centralised, IT-based solution would
address this issue. After a competitive
bidding and demonstration process, Entropy
Software was chosen. A key feature in the
purchasing decision was the integrated
management system approach supported
by Entropy Software compared with ‘point’
solutions such as a document management
system. The business case was based on a
phased implementation plan, starting with
health and safety, followed by environment.
Benefits
The previous substantial costs of distributing
paper manuals have been saved, and it now
takes no longer than a couple of hours to
change and re-distribute major documents
across the business. Importantly, risk and
compliance management has improved,
and the value of HSE information has
increasedAwareness and understanding of
information by Ennstone personnel is better
thanks to the intranet-based Entropy system.
Another major benefit has been that
Entropy Software alerts Ennstone users to
licence renewals and audit requirements.
As actions are flagged up, deadlines are not
missed and time and money is not lost. For
example, in the highly-regulated quarrying
industry if explosive licences are not
renewed on time then sites can be out
of action for several weeks whilst the
oversight is rectified. Entropy Software
significantly reduces the possibility of such
oversights occurring.
Although every Ennstone employee is able
to view HSE information through Entropy
Software, the core set of users are health
and safety and environmental officers,
their supervisors and their administration
staff. Managers are given high-level access
rights so they can use information from all
sites, allowing them to share knowledge
and improve the communications across
all operations. Entropy Software enables
them to gather relevant information quickly
and easily for their health and safety and
environmental reports.
At new sites, managers who were initially
trained in Entropy Software themselves in
turn train other users at their individual
locations. The managers begin with a set of
site policies and guidance procedures, along
with initial employee data that has been
entered centrally by other departments.
From this, a template is used to help
managers and supervisors populate Entropy
Software with additional data and build
a comprehensive picture of site-specific
operations over time. The template solution
means that Ennstone new sites have an
initial starting point from which to quickly
start using the system effectively yet still
maintain the flexibility needed to expand to
suit their own needs.
