4. INTRODUCTION
Duty roster is an important requirement to implement quality
nursing care successfully, because proper planning and executing
of the duty roaster will directly affect the functioning efficiency
and job satisfaction.
Scheduling the duty roster is defined as assigning the specific
work in slotted units.
5. Definition
Duty roster is a list or plan showing turns of duty or leave for
individuals or groups in an organization.
OR
A roster is a list or a plan that shows when employees in the
organization will be on duty. Rosters are typically used to
schedule time off and to schedule tasks.
6. Points to take care during formulation of DutyRoster
The success of a roster depends on the planning that goes into it and
commitment by everyone to make it work. It needs to be fair for everyone
and to be stuck to except in exceptional circumstances.
It is important to consider how many hours each person in the
organization has to put to work.
A sustainable roster takes into consideration timing that best suits the
individuals, including breaks between shifts and start and finish times
7. CONTD….
The hours a person works on average each week has a significant impact on
their work-life balance. A common reason for poor retention of employees is
expecting employees to work beyond reasonable additional hours.
Take into consideration the circumstances of individuals when planning the
roster and ask them about their preferences for time off. Some people will have
recreational or family commitments that require time off. Some people may
want more frequent, shorter breaks whilst others prefer longer periods of work
followed by longer breaks.
It is better to organize a roster too much in advance than too little. It is always
possible to make changes to the roster once the initial plan is in place.
8. Characteristics OF A ROSTER
A good roster:
Is simple and easy to follow
Has some flexibility
Shows the work that is going to happen and can incorporate
unplanned tasks that arise
10. Contd…
No confusion among employees
No absenteeism
Enhanced work commitment
Any Audit by the Labour Officer requires complete details of attendance
with duty roster.
11. STEPS IN PLANNING THE DUTY ROSTER
1. A skeleton plan is made in pencil to allow alterations.
2. List the names in order of seniority.
3. Put special requests in ink to avoid eraser.
4. Insert days off, noting busier days. It is important not to have
too many nurses off duty at the same time.
12. Contd…
5. When placing days off in the schedule, refer to previous roster so that day
offs are reasonably spaced and weekend offs are shared.
6. Add the shifts, balancing senior and junior nurses for each shift, ensuring
that there is a senior nurse on duty to take charge and that the trained nurses
are evenly distributed.
7. Total the number of staff on duty for each shift.
8.The roster may be planned weekly, or monthly or it may be a fixed one.
All the above steps can be modified based on the policies of each organization
to suit its working conditions.
13. HOLIDAY
1. The nurse in charge should be aware of the holidays
allotted to each of the staff nurses, who should also be
fully aware of the holidays allotted to him or her.
2. Nurses should be encouraged to plan their holidays
ahead of time.
3. only a certain number of staff should be allowed to
take their holidays simultaneously. This number is
usually decided between the charge nurse and the nurse
administrator.
14. METHODS OF SCHEDULING
1. Modified Work Week:
This approach includes 10 hour and 12 hour shifts.
10 hour day scheduling: The staff work for 10 hours duty shifts per week
with 6 hours of overlapping. These overlapping hours are utilized by
planning staff welfare programme and patient centred conference, which
benefit the staff.
12 hour shift: The nurse works for 12 hour for seven shifts in 2 weeks,
has 3 days' work and 4 days' off in the first week, and 4 days' work and 3
days' off in the second week. Nurses are paid extra for 84 h of total work.
This type of scheduling helps the nurses to give better nursing care. It also
has the added benefit for them as they can save money and manage their
personal lives.
15. Contd….
2. Premium vacation night: This type of scheduling includes providing additional 5 working
days off for the staff who is ready to work continuously in night duty for specific period of time,
e.g. for 6 months.
3. The weekend alternative: In this method, weekends are alternated. So the staff can either use
it to attend their continued nursing education programme or they can utilize it for their personal
reasons. Usually, nurses work from Monday to Friday and have their weekends off. They work
two 12 hour shifts and are paid for 40 hours along with additional benefits.
4. Premium day weekend: In this kind of scheduling, one extra day off is given to the staff who
offers to work voluntarily for one more extra day apart from the formal scheduled plan.
