If you choose reputable suppliers, their security systems and backup procedures will likely be much more robust than your own. • Make sure that your firm’s staff are well trained and motivated to use the various apps in your own practice, so that they can evangelise their use amongst your clients. • Pick a few key apps that sync with your main cloud bookkeeping package that will provide added value in particular industries that your clients work in (eg stock control apps or apps that specialise in hospitality solutions, etc.) • Master a few key apps so that you can become expert at each of them, rather than tinkering around the edges of lots of apps that you only half-understand. If your team is big enough, get different staff members to be the experts on particular apps, so that you can spread the knowledge around your firm. • The great advantage of the cloud is that the accountant and the client both have real-time access to the live accounting data. This means that you can tailor the distribution of the workload between the client and your staff to suit what your client needs and what they are capable of handling. This may mean that some of your clients only raise their sales invoices in QBO, leaving your firm to do all of the other bookkeeping work (which can dramatically improve the efficiencies of the bookkeeping, whilst protecting your client from doing tasks outside their comfort zone), whilst other clients do most of the bookkeeping themselves. Unlike desktop software, the cloud allows the flexibility to dynamically adjust the workflow between the accountant and the client whenever required
- 7. 7 Apps I usein my practice QuickBooks Online TaxFiler Receipt Bank Paysuite AutoEntry GoCardless PayPal ZedAxis Expensify Ash Beetson – App advice • Identify clients that might benefit from using apps - take up a lot of time through basic data input etc. • Familiarise with apps that you think will help your client, before discussing options with clients (educate yourself first) • If you’d like a client to use an app, make sure you make it’s really easy for them to use. Maybe set it up for them (If not, they will plague with questions and it will be YOUR fault if it doesn’t work) • Make sure the app is cost effective. i.e. £50 a user/company licence fees, might not stack up! • Make sure the app benefits the client and the accountant – i.e. everyone is happy!
- 8. 8 Ros Hodgson –App advice • Think about you’re your pricing structure as early as possible – decide which apps as intrinsic to your client service and price and which are add-ons/value adds and price these services accordingly. • Document your implementation journey and training for each app you use or try. This will save time when training the team, clients and assist you when you are not a frequent user of an app. Make good use also of the one to one online help. • Use a training / trial file to test apps against real data. By not doing anything and not migrating in to the cloud, you will very quickly be at a competitive disadvantage as more nimble accountancy practices satisfy client needs for the new software. • For your practice, look at your processes from end to end and see what cloud solutions are out there to satisfy these requirements. Do not be afraid to go against the conventional wisdom. Hemingway Bailey have never used IRIS for example. I came from industry and so had never used IRIS whereas other accountants who had started their own practice from another, just copied what they had always done. • Whatever you bring into your practice must make you more efficient. Both from the angle of reducing time you spend on a job to making you more efficient at getting high quality information to your clients. Should always follow the Lean Process principle, eliminate waste and aim to maximise value adding processes in your practice. • Be innovative and see possibilities in cloud software packages to help yourself and clients for which they might not have been intended originally. So for example we use Practice Ignition, we are going to be installing it for a client who runs a gym with annual membership and the software will be able to cope with contracts and renewals. Plus integrates into QBO. • Trust your team to implement new software. I will find a lot of the software we use but individual members of the team will be responsible for implementing it and becoming the "experts " . My skill is spotting the uses of the software and which clients would benefit from it.
- 10. 10 David Leary’s –12 Laws of Small Business SaaS Apps Apps keep small business owners and their employees out of the accounting software, which is returning to its natural home, the domain of the accountant/bookkeepers. It's Software as a Service (SaaS). Service is all that matters. Commodity apps will get cheaper in price, niche apps will increase in price. It's not a conversion from desktop, it's an upgrade to a better cloud ecosystem of solutions. Accountants: You can not possibly learn all the apps. Pick a niche and learn the apps needed for that niche. Developers: If you think your app works for every Small Business niche you are wrong. Small Business Owners: If your accountant says you need to be on QuickBooks Desktop, they haven't explored the numerous apps that when added to QuickBooks Online are a way better solution. There is not a list of top apps. There are only smaller lists of possible apps that could be a good fit for a specific small business. There is no app that does everything. The right app today, may not be the right app tomorrow. Using the right app can save time, time is money, justifying the cost of the app. The source of truth will be spread across many apps.
