ROUTINE OR PERIODIC
• Generally pre-printed computerized forms.
Require less introduction.
• Special Reports-Specific, one time studies or
investigations. Emphasize introduction,
authorization and recommendation
INTERNAL AND EXTERNAL
• Internal reports are used within organizations.
• Less formal and generally short and may be
sent as memos.
• External reports are usually in manuscript
form with a covering letter
AUTHORIZED OR VOLUNTARY
• Authorized reports focus on reader’s interest, eg-
information, statistics, historical perspective. This
should be emphasized in the introduction.
• Details of authorization given- check whether
recommendations or actions are asked for.
• In voluntary reports, purpose should be carefully
explained.
• Background of the subject carefully prepared.
SHORT OR LONG
• Short report is generally 1-9 pages
• Conclusions and recommendations may be more important
• body of the report may be used only as a support
• Long reports more than 10 pages may require extensive
research such as excursions, field reports etc.
• Discusses the definition of the problem, scope and limitation
of research
• Summary reports are special reports which review other
reports and highlight important details and don’t give
background material, results etc
INFORMATIONAL OR ANLAYTICAL
• Informational reports give facts to inform, educate, instruct
and may not have conclusions but may have
recommendations and actions
• Informational reports may cover monitor/control of
operations, plans* and activities
• Analytical reports are generally extensive, defines problems
and terms, analysis of action taken, pros and cons of further
actions
• Information is used to support analysis
*guidelines for future action, road-maps for progress etc

• Bulk of MIS- cells, productions, shipments,
inventories, costs etc
• Personal activity report consists a description
of personal activities in conference,
convention, cells visits etc. May also contain
expense reports.
