MANAGEMENT
Communications management is the systematic planning,
implementing, monitoring, and revision of all the channels of
communication within an organization, and between
organizations
It also includes the organization and dissemination of new
communication directives connected with an organization,
network, or communications technology.
Aspects of communications management include:
1. developing corporate communication strategies
2. designing internal and external communications directives;
and
3. managing the flow of information, including online
communication.

What information is essential for the project?
Who requires information and what type of information is needed?
What is the duration of time required for the information?
What type or format of the information is required?
Who are the person/s who will be responsible for transmitting the collated information?
THE
COMMUNICATION
PROCESS
The main objective of communication
management is to ensure a smooth
flow of information either between two
people or a group.

Sender: The
person who
intends to
convey the
message with
the intention of
passing
information and
ideas to others
is known as the
sender or
communicator.
Ideas/Context:
This is the
subject matter
of the
communication.
This may be an
opinion,
attitude,
feelings, views,
orders, or
suggestions.
Encoding:
Since the
subject matter
of
communication
is theoretical
and intangible,
its further
passing
requires the
use of certain
symbols such
as words,
actions or
pictures, etc.
Conversion of
subject matter
into these
symbols is the
process of
encoding.
Communication
Channel: The
person who is
interested in
communicating
has to choose
the channel for
sending the
required
information,
ideas, etc. This
information is
transmitted to
the receiver
through certain
channels which
may be either
formal or
informal.
Receiver: The
receiver is the
person who
receives the
message or for
whom the
message is
meant. It is the
receiver who
tries to
understand the
message in the
best possible
manner in
achieving the
desired
objectives.
Decoding: The
person who
receives the
message or
symbol from the
communicator
tries to convert
the same in
such a way so
that he may
extract its
meaning to his
complete
understanding.
Feedback:
Feedback is the
process of
ensuring that
the receiver has
received the
message and
understood it in
the same sense
as the sender
meant it.

THE IMPORTANCE OF COMMUNICATION
IN AN ORGANIZATION
 Communication promotes motivation by informing and clarifying the employees about the task to
be done, the manner they are performing the task, and how to improve their performance if it is
not up to the mark.
 Communication is a source of information to the organizational members for the decision-making
process as it helps identify and assess the alternative courses of action.
 Communication also plays a crucial role in altering an individual’s attitudes, i.e., a well-informed
individual will have a better attitude than a less-informed individual. Organizational magazines,
journals, meetings, and various other forms of oral and written communication help in molding
employees’ attitudes.
 Communication also helps in socializing. In today's life, the only presence of another individual
foster's communication. It is also said that one cannot survive without communication.
 Communication also assists in controlling the process. It helps control organizational members’
behavior in various ways. Communication helps in controlling the function of management.





only ever giving negative or redirecting feedback
sandwiching negative feedback in between two positive feedback messages –
the person will only hear the good
storing up 12 months of feedback and dumping this on employees in one
meeting
being insincere when giving positive feedback
not being direct enough or honest enough - fluffing around the issues

being balanced and giving positive and negative feedback when its due
be direct and honest and give the feedback truthfully
be timely in your feedback and communication as it happens – don’t put it off
practice and prepare what you are going to say – be specific, use examples

be prepared you are the manager, and you need to display a calm approach – do
not match behavior
allowing the employee to steer the conversation
always communicate face to face – so much is lost in translation when you shoot
off emails, also as general rule praise in public criticize in private
focus on facts, have all the right information and evidence if possible and use
examples
have a script and plan what you are going to say.

Ideas/Context: This is the subject matter of the communication. This may be an opinion, attitude, feelings, views, orders, or suggestions. Encoding: Since the subject matter of communication is theoretical and intangible, its further passing requires the use of certain symbols such as words, actions or pictures, etc. Conversion of subject matter into these symbols is the process of encoding. Communication Channel: The person who is interested in communicating has to choose the channel for sending the required information, ideas, etc. This information is transmitted to the receiver through certain channels which may be either formal or informal. Receiver: The receiver is the person who receives the message or for whom the message is meant. It is the receiver who tries to understand the message in the best possible manner in achieving the desired objectives. Decoding: The person who receives the message or symbol from the communicator tries to convert the same in such a way so that he may extract its meaning to his complete understanding. THE IMPORTANCE OF COMMUNICATION IN AN ORGANIZATION  Communication promotes motivation by informing and clarifying the employees about the task to be done, the manner they are performing the task, and how to improve their performance if it is not up to the mark.  Communication is a source of information to the organizational members for the decision-making process as it helps identify and assess the alternative courses of action.  Communication also plays a crucial role in altering an individual’s attitudes, i.e., a well-informed individual will have a better attitude than a less-informed individual. Organizational magazines, journals, meetings, and various other forms of oral and written communication help in molding employees’ attitudes.  Communication also helps in socializing. In today's life, the only presence of another individual foster's communication. It is also said that one cannot survive without communication.  Communication also assists in controlling the process. It helps control organizational members’ behavior in various ways. Communication helps in controlling the function of management.
