- NOTE TO PRESENTER/HOST: See script in the accompanying .doc file It will be necessary to upload this presentation in a shared pod, to arrange your layout to match the presentation and to prepare the necessary pods referred to throughout (such as polls). At the beginning of the meeting it is necessary to give participants access to the Audio/ Voice pod in order to turn on their microphones. Do this by clicking on the pod options of the Attendee List pod and first “Select All” then “Change Enhanced Participant Rights . . .”. Check “Camera and Voice” pod. If any participants sign in later, you will need to repeat this process. You can place the questions and directions for the Chat pod on a Notes pod then copy and paste into the Chat pod quickly rather than typing. If you cannot resolve sound issues for a participant it will be necessary to use the Chat Pod throughout. See slide 5. Familiarize yourself with the pre-designed pods used throughout this presentation. Several slides have been written in pairs with one hidden. You will want to review these pairs to determine which format you are most comfortable presenting in. It would be useful to ensure that all participants have speakers and/or headsets. A microphone is very useful but not essential. To set the microphone to “single” (i.e., only one person can talk at any time), click the Camera and Voice pod options (lower right of pod) and choose “voice on one speaker” . Caution: If anyone is on “hands free” nobody else can talk. Suggest: ask your participants not to use hands free as per slide 7. When ready < Click to next slide > to begin the introductory workshop.

- VOICE: Here is the agenda. We will be focusing on 4 different pods; Chat including Q & A’s, Audio & Voice, Attendee List and Polls. <Click> As well there will be an opportunity to see some other useful features such as sharing screens and documents and <click > using a Whiteboard** . - < Click > VOICE : Locate the chat pod in the lower left corner of your screen. You can communicate with other attendees while a meeting is in progress, using a Chat pod to send or receive a chat message. If you have a question and do not want to disturb the meeting flow, or if you cannot speak in a meeting because sound is not enabled on your computer, you can send a chat message to the presenters or to other meeting participants. For example, you can send a chat message to the meeting organizer to ask a question about the schedule of events. In the Chat pod, messages appear as they are submitted, and they are listed sequentially in the pod. Presenter: Send the following message to “everyone” in the Chat pod: “If you are reading this message, you found the Chat pod.” Voice & Chat: “Click on the drop-down menu at the bottom of Chat pod. This shows who you can write to.” < Click > Presenter: 1) Send the following message to “everyone” in the chat pod: “Send a message to “everyone” stating the name of your school.” 2) Send the following message to “everyone” in the chat pod: “ Now send a “private” message to the person below your response .” 3) Send the following message to “everyone” in the chat pod: “ If you cannot hear me through your computer speakers or headset, send a message to the presenters.” < Click to next slide >
- NOTES to presenter: If participants do not have speakers, the presenter must continue to use the Chat pod to communicate and for instructions. This is very awkward, and preferably everyone will have a speaker. If participants have microphones, you need to give “enhanced rights” for the participants to turn on their microphone (as per slide one). Ensure the voice pod is on “multiple speakers” for this part. VOICE message: “IF YOU HAVE A MICROPHONE,< Click > Click the icon at the bottom of the Camera and Voice pod to turn it on.” < Click > VOICE message: “To talk, CLICK and HOLD the mouse on the Talk icon. < Click > Please do not use “Hands-Free”. Chat Pod message: “If you do not have a microphone, you will use the Chat Pod to communicate.” VOICE message: “If you have a microphone we would like to hear your voice. Please hold the microphone icon and state your name.” < Click to next slide >
- < Click > VOICE : “The Attendees are all listed in the Attendee Pod on the Left of your screen.” VOICE : “Click on the drop down menu in the upper right corner of this pod which indicates your status.” < Click > VOICE : “If you do not have a microphone, indicate your status with a ‘Thumbs down’.” VOICE : “If you do have a working microphone, indicate your status with a ‘Thumbs up’.” VOICE : “Throughout the meeting, if you would like to ask a question or make a comment, indicate this by changing your status to “I have a question”. - NOTE to presenter: If you just want to talk about the pods, you will use this slide. You will have to make up your own script to describe this. Use the next slide if you want to have your attendees try the poll pods (interactive). NOTE to Presenter: You will need to prepare the two polls discussed on this slide (see polls on slide 9). Presenter: DRAG each of the polls onto the presentation screen (ppt) as required. < DRAG ‘How long have I been teaching?’ > VOICE/chat : “I have just opened a Poll Pod on the presentation screen. Poll Pods can be used to gather information from participants in a multiple choice format.” VOICE/chat : “Click next to the most appropriate answer.” PRESENTER: Close the poll and broadcast the results. VOICE/chat (after participants respond): “The poll is closed and I am broadcasting the results for you all to see” PRESENTER: DRAG the poll ‘What grades have I taught?’ Voice/Chat: “This second poll allows each of you multiple responses.” “ Click next to all appropriate answers.” PRESENTER: Close the poll and broadcast the results. Voice/Chat: “The poll is closed and I am broadcasting the results for you all to see” < Click to next slide >
- NOTE to Presenter: Simply show this slide since you cannot actually reveal this pod unless you give them ”enhanced rights” to this pod. It is not necessary, nor advisable, to actually share screens or documents at this time. VOICE/chat: There are three types of sharing that can be done during a meeting.
