 Fix up Date, Time, Venue / Online Platform
 Fix up the Guests
(Installation Officer, Chief Guest, Induction Officer, Guests of
Honor)
 Ascertain number and order Tea / High Tea / Lunch / Dinner
 Assign responsibilities (programme chairperson, MoC, flag invocation,
introductions etc)

 Send Invitations (to club members and guests)
 Personally Invite Chief Guest & others
 Invite the Press / Send Press Note
 Design / Order Programme Banner
 Get updated bio-data of guests for introduction
 Arrange Photographer

 Display Club Banner, Programme Banner, Gong & Gavel
 Attendance Register
 Receive and Seat Guests appropriately
 Assign Seats (name tags) on the Dais
 Maintain Decency and Decorum
After the Programme
 Send Thank You Messages
 Send Report to DG, RC, ZC, Lions Update and the Press
 Settle all Bills
 Submit Accounts in the next meeting

 Start and end the meeting on time.
 Suggested maximum total time 90 minutes.
 Extra 30 minutes for induction.
 Another 30 minutes for entertainment, if any.
