- My name is Chris Bloomer, Senior Government Sales Specialist, and I have with me today, Peter Miles, who will give us quick tips for a smooth transition into the Microsoft Office 365 cloud. - There is a major push for organizations both large and small to move their applications and data to the cloud. Moving to the cloud provides a reduced cost of IT infrastructure and maximizes uptime that most organizations require.
- Microsoft’s platform for cloud applications is called Office 365. Today I will cover some of the key points for government agencies to keep in mind when choosing to migrate to Office 365.
- Peter, many people are familiar with previous Office versions, 2007, 2010, etc. These were programs you installed on your computer and used like a regular application. How is Office 365 different?
- Office 365 combines the advantages of cloud technology with the traditional base of on-premise software offerings, that is, desktop versions of Office Suite programs. It makes Office Suite applications available from multiple devices and also provides storage space on Microsoft’s OneDrive, a cloud-based storage repository. Office 365 also includes hosted versions of Exchange Server, Lync, and Sharepoint for organization licenses. Chris Interjection Office 365 sounds very convenient. What kind of licensing options are there?
- Like most of Microsoft’s products, there are a variety of licensing options for Office 365. Choosing the correct license is important because you can always upgrade your service in the middle of a billing cycle, but you cannot downgrade. The varying license options range from small organization offerings of just hosted email to full enterprise options with email, retention policies, latest versions of Office applications, and SharePoint sites for users to collaborate on documents. There are additional add-ons to the licenses as well, including email encryption and document retention for regulatory purposes. Chris Interjection Are there any licensing options that are better suited or popular for different types of organizations?
- Well there are a few choices to make based on business size and desired features. The most popular option for small organizations is the Business Essentials license. It includes a 50GB mailbox for each user, 1TB of storage for file sharing and collaboration, high def video conferencing, and the other online Office Apps. Larger organizations may opt for the Business Premium plan which adds a desktop version of Office Applications installable on PCs, Macs, tablets and even smart phones.
- For those organizations that meet the requirements, the Office 365 Education plans (E1 and E3) make it possible to enjoy the benefits of Office 365 even on the often limited budgets of accredited institutions.
- For federal, state, and local government agencies, Microsoft offers government discounted pricing for the Office 365 Enterprise E1 and Enterprise E3 plans as well as Exchange Online plans. Chris Interjection Once an organization decides which licensing plan meets their needs, what kind of system requirements are there to ensure Office 365 runs properly?
- The main requirement is a recent operating system, such as Windows 7 or later. Also, if your Office 365 plan does not include the desktop Office applications and you plan to integrate with your existing editions of desktop Microsoft Office, you will need the more recent version; Office 2010 at a minimum. Upgrading to desktop Office 2013 will provide smoother integration with the online applications and more features to boot.
- Office 2013 will allow you to save to your OneDrive account or to SharePoint sites directly from your desktop applications. The Outlook Web App enables users to easily share documents stored on OneDrive and collaborate with coworkers. It automatically gives edit rights of documents to recipients of emails for collaboration. The newer version of desktop Office also lets users sign into Office 365 which automatically ties to their OneDrive account and allows access to files originally created elsewhere. Chris Interjection These are really helpful features that Microsoft added to their online application offering. Are there any pitfalls to consider before enrolling in a plan?
- Some preparation goes a long way in making the deployment successful. First, preparing a list of users from your organization that will migrate to Office 365 and a template for default temporary passwords will speed up the roll-out. Next, you will need your domain registrar information to set up Office 365. It’s possible to switch user emails without interruption in service. Lastly, once this information is gathered there are multiple ways that the migration can be performed. On initial setup, Office 365 account administration provides a generic “onmicrosoft” domain and there are additional steps to get your organization’s domain working with it. Chris Interjection Peter, do you have a recent example of such a migration to Office 365 to share?
- Sure, Chris. We recently worked with Saint Mary of the Assumption High School in Elizabeth, NJ. This was a migration project from an on-premise deployment to Microsoft Office 365. Aventis Systems’ Advanced IT Services made it happen quickly and trouble-free.
- The goal was to implement email for faculty and students at the high school as well as upgrade to the latest version of desktop Office Apps. This institution chose the Office 365 Education (E3) plan for all faculty and student accounts. Aventis Systems provided admin-oriented and user-oriented training documentation to ease the transition.
- Since implementing Office 365, the school has enjoyed the anywhere-access and collaboration tools of Microsoft’s cloud service which has proven vastly superior to their previous setup.
