Welcome and thank you for attending ‘Keep Your Data Safe & Backup Like a Pro’ brought to you by Aventis Systems. My name is Jennifer Pruitt, our eCommerce Specialist here. It’s my pleasure to be moderating our live webinar today. We’re discussing important data backup best practices to strengthen your strategy!
To tell you a little more about myself, I’ve worked in information technology for the past couple of years and have more than 8 years of experience in solution sales.
Speaking with me today is Kevin Campbell who is a Senior Account Executive here at Aventis Systems. Kevin has a rich background in information technology having served in various roles for companies such as McAfee and Symantec for more than 15 years prior to joining Aventis Systems. This experience makes him a true backup expert!
Thanks Jennifer. Good afternoon and welcome everyone.
Today we’re covering a topic dreaded by most IT pros, Data Backup.
Before we dive into our suggested best practices and tips, let’s first state the case for having a solid backup strategy, complying with it, and testing those backups.
Cost of downtime - We define this as the amount of impact in a dollarized amount for the time that your business systems are down. This could be lost sales, etc. There is also a “soft” cost related to your organization’s reputation. (A logo tarnishing event)
RTO - recovery time objective which refers to the amount of time in which you wish to have your systems back up and running
RPO - recovery point objective which refers to the amount of data that potentially could be lost during a disaster, or the age of files that must be recovered from backup storage for normal operations to resume after a disaster. For example, if the RPO is one hour, backups must be made at least once per hour.
We hope that at the end of this webinar, you walk away with some actionable best practices, and allow us to help you with your backup strategy if needed.
Ah, yes [comment regarding results]. That’s a great segue into the meat of our topic today.
Let’s start simple. As a general rule, you should first ensure you follow the 3-2-1 backup plan:
Have 3 total copies of your data,
2 of which are local but on different mediums,
And at least 1 copy offsite!
Now you may be asking yourself, 3-2-1 is great and all, but should I be making backups or replicating, and what about virtualization?
Simply put, the ideal scenario for many organizations is to have both backup and replication. Backups to be able to restore to any desired point in time; and Replication to minimize downtime and achieve higher services availability.
JP Kevin, will you be walking our audience through how to organize a sound backup plan?
Absolutely, Jennifer
It’s important to start by thinking through backup software options
We sell a variety of backup software. Acronis for physical devices and Veeam and Symantec Backup Exec for virtual environments.
Many backup software products, including Veeam, allow you to use multiple backup servers to help process your backups faster. The decision to implement this type of solution is usually based upon the amount of data to be backed up along with the length of time available in your backup window.
Next, determine backup server configuration options:
The amount of resources required or recommended will depend on the amount of backups being created.
The more backup jobs, the more resources will be required.
Depending on the backup software you choose, the developer will provide the minimum hardware specs required.
Additionally, backups can tend to be CPU and RAM intensive when encryption or compression are involved. Under Provisioned hardware could lengthen backup and recovery times.
You should also think about the scalability of your backup solution
DAS
If you need to expand your storage repository DAS (Direct Attached Storage) can be added to the server which holds your backup repository to increase the available backup space.
iSCSI storage can be added to your environment if you have multiple backup repositories which require expansion.
It’s important to remember that backups of servers running certain roles or applications, such as Active Directory or SQL, require that the backups are application-aware.
Application-aware programs know how the application stores and accesses data and can take advantage of built-in capabilities as well as knowing when it’s safe to backup the data to eliminate risk of data corruption during the backup process.
If backups aren’t application-aware, you can run into issues with backing up and recovering data.
JP Since we’re having a discussion about backup strategy, would you also briefly touch on redundancy?
Glad you brought that up, Jennifer.
Redundancy is NOT BACKUP
We most frequently work with redundancy in terms of RAID. RAID by definition is “Redundant Array of Independent Disks” and uses a number of methods to distribute data across drives for both performance and protection issues. We won’t be covering RAID in this webinar, but know that it isn’t backup. It can allow data to be rebuilt in case of a drive failure.
Now, let’s talk about replication and snapshots.
Replication is making copies of data to multiple locations so as to ensure consistency between redundant resources, such as software or hardware components, to improve reliability, fault-tolerance, or accessibility.
Replication can be manual but are most frequently automated using the Operating System, Application (think Databases) or replication software (ie Veeam).
Snapshots refer to the state of a system at a particular point in time and are taken to preserve a specific time and state of data stored on a device.
Some SANs have the snapshot capability built-in.
Some backup software, such as Veeam, can take advantage of these built-in capabilities to create backups from snapshots which can be more efficient that the hypervisor’s own snapshot capabilities.
When it comes to virtualization snapshots and agentless backup software is the way to go!
For Virtual environments, we recommend a program like Veeam because (1) it is agentless and (2) built around the virtual environment.
Agentless means that when you spin up a new virtual machine, you can immediately begin backing it up without having to install and configure, or purchase another agent. You also don’t have to install software on each VM.
Recovery of virtual machines (VMware vSphere, Hyper-V, etc.), would seem to be an easy task. Just take a snapshot of the Virtual Machine (VM) and backup the file that contains the entire system.
That sounds great in theory, but in practice this can cause a lot of unforeseen problems with speed and storage. When you backup a snapshot of a VM, you are creating a copy of the entire disk (empty space and all). These disk images are large binary files that can only be used to recover the entire system and not individual file restores.
Veeam has a nice feature that can leverage many of the “snapshot-aware” storage systems to speed the backup process.
JP Now that you’ve covered many important best practices, do you have any tips for cutting costs?
I’m glad you asked, Jennifer.
First, if your budget is too limited for a new system for your backup strategy, you can repurpose an older gen production server, like a 2950, add some new drives, and set up as your backup target.
Next, WAN acceleration is important to consider.
This is an appliance to compress data site to site or to the cloud.
Veeam has built-in WAN acceleration in all versions.
Also, make sure to implement deduplication so that you’re not backing up redundant data.
Deduplication is the process of identifying duplicate copies of data so that only one copy is stored. Data is analyzed to ID duplicate byte patterns to confirm the single instance is in fact the single file.
This way the software only has to backup common files once and saves space and time.
Deduplication is designed to decrease network traffic and storage required.
Some solutions offer deduplication as an added cost feature.
Last but not least, we want to address tape.
No, it’s not quite dead yet.
JP “Even though some of us may want it to be!”
Tape may be slow, but can be faster than cloud backup depending on internet connections.
The reality is, tape is still a viable option for IT pros with really tight budgets.
If you’re using tape, it’s important to make sure you have the newest tape technology that you can afford.
Back in 1999 (I know, ancient history) there were reports that 1 in 10 tapes failed to restore. More recent data claims that there is one bad bit in every 12.5 petabytes. Obviously your mileage may vary and it's important to perform tests of your backup tapes and to clean tape drives as per manufacturer guidelines.
Thanks for those questions. We actually have a great example of how a proper backup strategy saves the day in a crisis, which will help some of our best practices sink in a bit more.
Let’s say the worst has happened. An electrical fire has occurred. This fire originated in or near your server closet and caused severe damage to your systems. We all say this would never happen to us. However, it has happened to at least one past client of mine. Ultimately their backup system was the hero in this story. Regularly scheduled backups made restoration of data possible where it could not have been otherwise, and thankfully all systems were restored! And they also relied on Aventis Systems to rush build them a new set of servers to restore that data. Backup systems are your best friends in an emergency like this...just like insurance.
