3. What is Microsoft Excel
A spreadsheet program that ranges to basic to
advance functions depending on the user creating
it.
Part of the Microsoft Office Suite
(Word/Excel/PowerPoint/Outlook)
Budgets,TimeCards,Database exports, etc.
6. Adding a Row or Column
• Right click in between the two rows/columns
• Select “Insert” to add a row or column
• This will insert a row below, or a column to the right
9. Functions
Functions allow the computer to do all the work!
They can calculate complicated equations
They are dynamic
When the input changes, so does the output
Every function begins with an “=” sign
Then the function name
In (parentheses) goes the rest of the function
Example: “=sum(A1+3)”
10. Functions-
Choosing a Destination Cell
This is where the answer to the equation will
appear
You can place this anywhere within the document
11. Functions
When “=sum(1+5)” is typed into the cell
“6” will show
To edit the formula, click on the function bar at the
top of the screen
12. Sum
=sum(1+5)
=sum(B1+4)
=sum(B1+C5)
A “+” sign may be used
=sum(B1,B2,B4,B5)
If no “+” sign is used, MS Excel will automatically
add the cells together
=sum(B1:B5)
The colon references all of the cells in between the
first one and the second one
This =sum(B1+B2+B3+B4+B5)
13. AutoSum
AutoSum is a smart
way of adding cells
quickly
Excel assumes
which cells are you
be added together
Click on the
symbol to
autosum
14. Other Functions - Sum
You can also use Sum to Subtract, Multiply and Divide
=sum(B1-C5)
=sum(B3*12)
The “*” symbol is used to represent multiplication in
Excel
=sum(7B/12)
You can also use them in conjunction
=sum(12/4*B3+1+C5)
15. Count
The count function will count the number of cells
=count(A1:C5)
This will include A1:A5, B1:B5, C1:C5
This can be used to count the number of contacts
or the number of expenses
17. Advanced Excel - DataValidation
Field Check – characters are
the proper type (numeric for
zip code)
Sign Check – positive or
negative
Limit Check – values cannot
exceed certain amount
Range Check – values should
be within a given set of
numbers
Size Check
Completeness Check –if cells
are filled with expected
values.
Validity Check
Reasonableness Test
Put yourself in the shoes of the user, or, even better, find someone else to try using it. Is it clear, or is it confusing?
Can users accidentally change formulas, or put in ridiculous figures?
