Explosive growth in storage of email and there seems to be no end in sight.
Email is the de-facto tool for corporate communication. Its also a carrier for critical business information. Having a central access to all the email data also lets you find all data for contractual obligations, mandatory compliances and legal matters during internal audits.
E-documents are scattered across locations including email servers, PST files on local desktops, laptops, mobile devices, backup devices and other removable media. An email archiving solution, ensures that all these email are collected and stored centrally, much before they are delivered to the user. A central access to all the information reduces internal inefficiencies of finding information across all these locations and dealing with deleted or lost emails. Besides recovering lost information, having all this email data at a single spot, allows you to do a host of high leverage analytics on the data to gain business insights, identify patterns, and learn how to optimize the business.

Enterprises need to back up email data which is older and still necessary for future reference, as well as required for regulation compliance. Such email archives are indexed and have easy search to make discovery and retrieval easy. Protect your organization against all kinds of situations which cause data loss such as accidental or malicious deletion of mail, data corruption on desktops, laptops or loss of end point devices.
Traditionally ensuring safety of email/data required a lot of heavy lifting in terms of having a back strategy, backup tools, backup storage, processes and redundancy planning in case the backup itself is lost. Typically all this information was stored in a hierarchical form, in chronological order. Searching and finding information in these devices is next to impossible.
Enter a new way of storing information on elastic, infinite storage mediums on the cloud, which are well leveraged by tools like Vaultastic, to simplify the entire strategy of having a copy of the data in a separate operational infrastructure with guaranteed durability.
Once all your data, from the beginning of time is available to you, indexed and accessible in seconds, without needing to restore or locate tapes, you have ALL your information on a tap and have achieved 100x gains in productivity.
If its a data driven economy, then the most crucial piece for business continuity is to ensure safety and security of the information. We spoke about how older methods are complex and have run their course. We are looking at simplifying the storage piece with all the heavy lifting done by the cloud player. AWS cloud offers storage in the sky with near 100% durability, which means that you never ever lose data once you write it to the cloud store. Krishnan will speak about how AWS achieves this in the latter part of the webinar.
One of the most heavily worked team at Mithi is the Migration team, who, during on-boarding is always at work figuring out ways to transport legacy data from the earlier mail platform to our platform. Typically when you use an email system for a few years, a lot of email data accumulates on the email platform. To move platforms, you would need to pull out all that data from the earlier system and import it into the new system. Considering that most systems have controls in place to slow down large scale data outs, this process can take anywhere from 1 day to a few months. In a subtle way it leads to vendor lockins and customers resist migrations for this reason.
We propose that you keep a copy of every mail in an alternate operational infrastructure on the cloud. This means that during migrations or even during planned downtimes, your users can access their mail from the cloud. And you need not migrate any mail from the earlier system. Simply start afresh and refer to older mail on the cloud.
Don’t worry, Vaultastic has no vendor lockin mechanism. We’ll speak about how its easy data in and easy data out with Vaultastic.

The essence of email archiving is to ensure that a COPY of every mail sent and received by all users is stored on the archival store in the cloud. This copy should happen BEFORE the mail is delivered to the end user (in line archiving). Based on the policies applicable, different users can be given role based access to the Archive consoles
In essence it is the father of Search. Every mail in the archive store is indexed on the various attributes of an email from the headers and message body. Certain users in the system are given access to this tool, which allows them to run almost any combination of queries across the mailboxes of users to gain insights, and learn more about the operations.
Virtually any combination of fields can be used to fire up a query. Ediscovery is a powerful search which supports boolean, grouping, partial matches, exact matches, date ranges, and many more. Behind this is a powerful highly scalable index which keeps track of every mail in the storage and can show the results in a few seconds, no matter how old the mail is.
A cloud email solution offers an inline archive, where it stores primary and archived mailboxes in the same single environment. Thus making it more difficult to switch to another email environment or use tools offered by others – essentially leading to a vendor lock-in.
Getting data IN is quite easy and builds up over time, but when you need to change your mail platform, you need to extract all the information in a short span of time, which makes it very challenging.
Therefore storing archived email data in a separate platform and location, supports not just compliance and regulatory requirements, but also frees you from getting locked-in to a particular mail platform.

The cloud platform takes away all the heavy lifting of building a reliable and high performance infrastructure to support the archival application. The most important piece of technology here is the elastic storage, which gives immense flexibility to scale automatically on demand. There is a deliberate movement of IT workloads to the cloud and for good reason. The days of in premise are over.
The cloud storage infrastructure is the most safest storage platform available today. With guaranteed uptime of the infrastructure and this extremely high durability, you are assured that once you put data on the cloud, you can forget about it. Forget means, no need to maintain or backup etc.
Even if you run an in premise mailing server workload, you can still archive to the cloud. There is no infrastructure needed at your end. The cloud platform assures you of high uptime and durability.

To give you an introduction of the hybrid mailing infra setup in Eureka, we have a mailing setup based on a co-existence of MS exchange and Mithi Connect Xf, which connects over SMTP and LDAP to provide seamless mail flow, and ease in operations. Our mail flow starts with the incoming brightmail server to exchange and Mithi accordingly.As regarding Mithi we have two servers which work on active/ passive mode for redundancy. Most of our Eurochamps are on the field and use Mithi solution on their cell phones for mailing. While there have been ease of accessing mails thru portable devices there are threats of leakage of information which can cause a huge damage to any organisation.
At the endpoint level the users downloads mail in the local PST and post that take backups of their pst’s on the local USB drives. The challenges after storing backups is when an email needs to be searched, it’s a time consuming job as there are multiple mailboxes within needs to be searched and if the USB device experiences a corruption or is lost there are different set of challenges.
We are in the service industry and have to cater to customers through email which is eventually used as an evidence to go forward in some cases. As we have a team of support staff who cater to customers via email we need to retain all email correspondence with the customers so that a team admin can go thru them and improvise quality of end-user communication. Some challenges we all could face is retention of these emails in a secured environment, huge quantity of emails and backups of these emails and an easy and fast way to search across the mailboxes of multiple users
By having Vaultastic in our environment has simplified the challenges which I highlighted some time ago. Now our users simply auto delete mail from their application or web clients to stay within allocated quota limits and are assured that each mail will be available on the Vaultastic cloud. Users have been given access on the cloud in case if they have to refer to old emails and restore them when necessary. No more backing of PST which saves lot of efforts and cost on procuring separate storage devices as well. By having this introduced saves lot time in terms of backing up, referring to old emails in a snap is one of the major boost in productivity. With this solution mails are safe on the cloud and therefore this application is always a value add to the end user, administrator and more important to any organisation.
We have outsourced the quality function to a agency who previously was using webmail to sign into each customer supports account to analyse their quality of communication. With Vaultastic they now use ediscovery to search across all the communications instantly. A good value add and a big boost to productivity as different mail boxes are on one console, can do complex test searches to get patterns including accessing of attachments.
Vaultatic has improvised the productivity of customer support to a great extent and decreased management cost considerably. It has ensured availability of historical mails with easy serach option and eliminated storing of local PST backups. I would recommend Vaultastic to any organisation wanting to secure their mail with extremely high durability and leverage all that information with ediscovery to gain business insights.

Data is only as useful as what you can get out of it. You may want to do multiple things with your stored data, including analysing data, looking at data in warehouses, archive data for compliance purposes, run lines of business applications that use this data and so on.
With email archiving you are primarily concerned with backing up and restoring data and recovering from disaster or local failures. If you choose to use local storage solutions such as hard disks, network storage services, SAN, USB etc, you are always dealing with the possibility of failure of one or more of these devices from time to time and have to continuously plan and administer these services, to deal with the possibilities of failure.
AWS began its journey more than a decade ago, starting with S3 or simple storage service as we call it. We have over ten years experience in providing enterprise ready storage services that bring you well tested and well architected means of migrating infrastructure and a storage ecosystem. Mithi is a part of this storage ecosystem as Vaultastic is integrated with Amazon S3.
Amazon provides numerous offerings. In case of Vaultastic, we are mainly concerned with Amazon S3 or Amazon Glacier which we refer to as object storage services. Other services, such as block storage Amazon EC2, shared file system help you work with data in a batch mode, transfer large volumes of data to or from the cloud and other locations, or stream data.
Despite the fact that we have been operating for more than a decade, we continue to innovate and introduce new features and services. For example, in late 2016 we introduced AWS Snowball Edge, which is a device that you can order, with a storage capacity of up to 18 terabytes of data, and on board computing facilities. So you can not only copy data to be transferred into S3, but as you do so and as this device is being shipped, you can perform computations on the data, if you need to process or compute further analytics.
Similarly, earlier this year we introduced the file storage gateway, which lets you run a Virtual Machine wherein you can use NFS to connect to a file system mount which in turn is actually backed by storage in S3.
So coming back to S3, the Amazon S3 service gives 11 9’s of durability. This number is such an exceedingly high number, that once you put an object in S3 you need not worry about losing this object. To achieve this extremely high durability, S3 is deliberately engineered as a service. Amazon operates what are known as regions which are physical infrastructure locations across the world. Currently there are 16 regions globally. Each region consists of multiple availability zones. Availability zone is a term for one or more independent data centres. Each of these centres has redundant power, networking, connectivity, conditioning and so on. This deliberate design with Availability zones and regions helps us and customers design for and achieve very high levels of availability. So when you first write any objects to S3, S3 will store multiple copies of this object within multiple devices in different facilities across 3 availability zones, making sure that there is no data loss.
Because S3 is a service, internally what happens is that S3 has both a monitoring and self healing capability. This means that the service is inspecting all these multiple copies of the data to detect any corruption. If any corruption is found, we use the redundant copies of data to ensure that any corrupt objects are restored to their original state and it is also in this way built to be automatically self healing, resulting in high durability.
As mentioned earlier, the S3 service has been in use for over 10 years, serving 100’s of customers storing billions of objects and Exabyte’s of data (An Exabyte is a billion gigabytes of data). S3 provides high performance at a massive scale, in other words, when you want to store data into S3 you need not provision the amount of data you wish to store beforehand. The service automatically gives you space for any amount of data that you wish to store.
When you wish to retrieve data, being a service, we are able to serve large number of requests as it is API based and there are customers who routinely perform hundreds, or thousands or even millions of API operations retrieving and putting data into S3.
Besides the API level of operations that you can use to retrieve and put data, there are multiple other mechanisms for both bringing data into S3 and transferring data out of S3. These include devices such as snowball and snowmobile, as well as mechanisms such as transfer acceleration, which lets you upload large objects by taking advantage of what is called cloud front or basically edge servers that are present in multiple networks across the world.
S3 today globally is also the storage service with the most comprehensive fleet of security and compliance capabilities. When you put any data in S3 it is secure by default. The data as it travels to and from S3 is protected by encryption and when the data is stored in S3 you have multiple choices to protect the data at rest. You can opt for what is called server side encryption. This means that when you take out the data, S3 takes care of encryptingthe data using a service called KMS or key management service. In addition to the server side encryption you can also choose to use client side encryption giving you two layers of protection.
Amazon ensures that the operation of the S3 service is compliant with multiple data security standards and there are independent auditors who validate that the operation of the service, our infrastructure, our teams that make these services highly available are following independent standards for accreditation such as BCI Compliance, Hippa, fedramp etc.
We have introduced services where you no longer need to perform the heavy lifting of ETL (Extract Transform and Load) when you want to take data from S3 and bring it into a solution such as a big data cluster in order to perform any analytics on it. We have services that allow you to query data in S3 leading customers to create data lakes in S3.
One of these new services is Amazon Quicksight, which gives you visualisation capabilities when data is stored in S3 and you can use tools such as Tableau, EMR, Hadoop, SPAR etc to perform data analytics.
Similarly, with Amazon Athena, if you have data in S3, you can perform ad hoc queries on this data without having to load it into a big data processing cluster or a data warehouse.
Amazon Glacier is a companion service to S3. There is a temperature associated with data. When Data is first produced or retrieved it is considered hot, and over time as the data is accessed less and less it becomes warm or cold data, however you may still require to retain for compliance purposes. So you can store data in S3 and use life cycle policies so that after a particular point in time, data is automatically moved to glacier. This data can be retrieved at a later date, just as you would do to retrieve data from an archive.
Other services from Amazon are available for migration, bursting and tiering.
Migration is where you are considering moving workloads on to the cloud. Bursting is when you temporarily require a much larger capacity than you have and you do not wish to permanently increase your capacity to that extent and tiering is where you choose to operate some part of your IT infrastructure, on premise or in a data centre and you supplement it with storage, compute and other services in the cloud.
AWS Storage Gateway is one more service that comes in use if you want to use S3 as a block device, or a file system. One of the modes of AWS Storage Gateway is the file storage gateway. Using the file storage gateway you can have a bucket in S3 and a NFS or an SMB based file mount to access the data in the bucket.
By providing a reliable storage primitive, AWS takes away all of the heavy lifting and the headache around making sure that once you archive email using Vaultastic, you will never lose it as it is using a highly available and durable service such as S3.
Unlimited storage policies help organizations send and receive large number of mails each day without the fear of running out of storage space and bringing a stress free working environment.
Vaultastic makes restoring mailboxes very simple. End users can easily recover any specific mail which they may have lost from their primary account, or restore their entire mailbox
