Good afternoon everyone. Thanks for introducing me and inviting me to speak about our experience with using the Vaultastic email archiving solution and how the solution helped Mahanagar Coop Bank reduce the risk of data loss and control email storage bloat.
To give you a little backdrop about how the bank was started. The Bank was established by the people from the Ahmednagar Dist. in the name of “The Ahmednagar Sahakari Bank Ltd.” on 6th October 1973, with a humble but very inspiring beginning. In order to start, a minimum amount of Rs.10/- per share was required from prospective members and as such practically, from all over Mumbai, the founders collected the initial share capital of Rs.1.36 Lakhs. With this small amount they started this co-operative activity in Greater Mumbai.
The bank was initially set up to help out Mill workers, Dock Workers, a few small shops and self employed persons. However, later it was decided that the bank would cater to the needs of the common people from all the sectors of society and changed its name to The Mahanagar Co-operative Bank Ltd. Thanks to the sustained and assiduous efforts over 43 years after its inception, the bank has gained a strong foundation in terms of its membership, resources, assets and profits. Today, the Bank has a total of 67 Branches and nonstop 12 hours service in 5 Branches and 52 ATM machines.
Being a bank, by law, and regulations such as SEBI, we are required to store all our emails for a certain period of time. As such, before moving to Vaultastic, we used to backup all our emails on premise on local devices or USB’s.
As we are a growing co-operative bank, the number of emails exchanged kept on increasing to a point that we were backing up mail onto one USB every week! In addition to the manual unproductive effort of procuring, attaching, mounting and copying email data from the server to a USB drive, we found it difficult to index and store so many USB drives at our local facility. This sort of storage system was not only cost ineffective, but was also putting the bank at a greater risk of data loss. With the volume of email growing and the number of backup devices growing week on week, we were finding it very difficult to access and restore old email Moreover we observed that the email bloat on the primary mail server was slowing down our user access to their primary mailboxes for day to day work.
Our mail conversations and the content of the mails are often sensitive, and may need to be restored in the future in case of compliance or if an old customer case or situation needs to be brought up again. With our on premise backup solution, we also found it very difficult to restore these mails and look through any specific conversations.
To help us manage our ever growing email data, we were on the look out for a solution that would provide easily scalable storage. Adding USB’s every week was becoming very ineffective and not economically feasible.
We were also looking for a solution which was on cloud, as that it would be out of our premise, providing storage in a separate operational infrastructure, acting as a safe backup in case there was any downtime on our in premise servers.
As the mails were being stored on USB’s, restoration of all the mails was almost impossible. We were therefore on a lookout for a solution that would help restore all our mails as well as give easy access to individual mails, which we could restore on a need basis.
When we came across Vaultastic, we were happy to see the capabilities the solution had to offer, which was in line with all our requirements. We have been using Vaultastic for one year now and have been very satisfied with its functionality. The solution comes with unlimited storage, so we no longer need to worry about running out of space or dealing with storage management issues.
Another very unique offering that Vaultastic has provided, is the ability for individual users to access their own archive accounts using the self service portal. With this individual access, our users can export selective or all mail from their own archive account that further helps them to perform a full mailbox or selective email recovery.
Using ediscovery, our users are able to input various permutation and combinations to quickly find a particular or desired mail, helping us increase our efficiency and productivity, in terms of responding to our clients or compliance requests.
There is no longer a fear of loss of information or the inability to retrieve the mail if there is a downtime on premise, as all the data is stored in a separate operational infrastructure on the cloud. I would highly recommend Vaultastic if you want to safely and conveniently store and retrieve mail. It is a true SaaS solution that requires no infrastructure, no manpower and no maintenance from the users end.
