9. The Future of Email Archival
“By 2019, 75% of organizations will treat archived data
as an active and “nearline” data source, and not simply
as a separate repository to be viewed or searched

Editor's Notes
The first two sentences are self explanatory. Most organisations are taking email backups by either storing their PST files, or copying the mail from their servers, or using some end point backup tool to secure their email. However, most organisations we spoke to (and these are in 100s), believe that if they are backing up mail, their data management needs are fulfilled.
However this is far from the truth. Backups have a purpose, mainly for disaster recovery or full restore, and need to be done. Backups are a snapshot of the system state at a point in time. They are by nature, discontinuous point in time state captures. But Archival is all different story, as we shall see in the rest of the webinar. Archival is about a continuous live copy of every change in the system state, such that the use of data which is archived can extend beyond Backup.
Backups, since they are periodic, only reflect the state of the system at that point in time, and not the changes or events leading upto that state
Backups, are stored with the intention of a full restore, and are not designed to be used for any other purpose, such as selective restore, or data analysis
Backups are typically taken to secondary mediums like tapes and are not always online or available instantly.
Archival on other hand is a continuous copy of the data streams as the data flows, to ensure that the data is captured before it settles.
Archivals are typically always online and accessible on demand.
So before we move ahead; Backups are necessary as a basic IT requirement, but Archival is what you need to help your business. Lets see how.
What is your vision when it comes to data management and data mining?
Our conversations with 100’s of decision makers in enterprises across industries and sizes, shows these 3 as the fundamental common outcomes required by all organisations.
One the need to be ensured that, without lifting a finger, a copy of all your data is automatically ingested into a safe, secure and reliable platform
Second the need to decentralise access to historical data so that end users are more productive with self service, when it comes to finding earlier data pieces and restoring them
Third, having access to fast discovery tools, which can help you make meaning out of all this accumulated data.
What are the bottlenecks and roadblocks in realising your ideal state for data management?
Reliability of locally deployed infrastructure. You have to work hard and spend a lot to create a storage management infrastructure, which is dependable by design and delivers 99.99% and above uptime. In addition you have to work on planning for a disaster recovery.
Elasticity of your in premise infrastructure. You have to provision extra capacity in advance to be ready for the growth. It wont grow on its own
Security of your in premise infrastructure. Your efforts will start by ensuring security of your physical infrastructure, right upto the app access layers.
Manageability of your infrastructure. This whole infrastructure would need regular upkeep, hygiene and 24/7 monitoring, In addition the backup will need to be backed up.
Capex intensive since you have to provision compute and Storage well in advance
Vaultastic vision was built around your vision or ideal state, where we see enterprises and businesses, rest assured that their data has been automatically ingested into an alternate immutable cloud storage, with very high durability and deep tamper resistant controls, which assures them nothing less than a 100% guarantee that their data is now safe.
What next?
Is only a safe backup of all the data, going to help the business improve its bottomline, topline or operations?
Here is where the other part of the vision kicks in, where each and every data piece is always online and search ready to return results instantly, which in turn helps the business leverage all that accumulated wealth of information, carrying a large percentage of the organisation’s critical data. Also traditionally archival has been in the domain of compliance or IT services, which limits its use and puts pressure on the backend to respond to seek requests for historical data. By expanding the scope of usage, safely and securely to all the end users, the accumulated archived data suddenly unlocks trapped value for the business. Each user can leverage the knowledge discovery tools, to leverage trapped knowledge, intelligence and communication, to help deliver better outcomes for the business.
Last but not the least, what goes in should come out as easily. We specifically focussed on tools to enable easy data out of information of any size (even if it means using physical means)
Explosive growth in storage of email and there seems to be no end in sight.
Email is the de-facto tool for corporate communication. Its also a carrier for critical business information. Having a central access to all the email data also lets you find all data for contractual obligations, mandatory compliances and legal matters during internal audits.
E-documents are scattered across locations including email servers, PST files on local desktops, laptops, mobile devices, backup devices and other removable media. An email archiving solution, ensures that all these email are collected and stored centrally, much before they are delivered to the user. A central access to all the information reduces internal inefficiencies of finding information across all these locations and dealing with deleted or lost emails. Besides recovering lost information, having all this email data at a single spot, allows you to do a host of high leverage analytics on the data to gain business insights, identify patterns, and learn how to optimize the business.

By keeping only recent mails on the live storage and moving older mails to a secondary storage, the mail service performance improves and email
data management is simplified.
Enterprises need to back up email data which is older and still necessary for future reference, as well as required for regulation compliance. Such email archives are indexed and have easy search to make discovery and retrieval easy. Protect your organization against all kinds of situations which cause data loss such as accidental or malicious deletion of mail, data corruption on desktops, laptops or loss of end point devices.
If its a data driven economy, then the most crucial piece for business continuity is to ensure safety and security of the information. We spoke about how older methods are complex and have run their course. We are looking at simplifying the storage piece with all the heavy lifting done by the cloud player. AWS cloud offers storage in the sky with near 100% durability, which means that you never ever lose data once you write it to the cloud store. Krishnan will speak about how AWS achieves this in the latter part of the webinar.
Traditionally ensuring safety of email/data required a lot of heavy lifting in terms of having a back strategy, backup tools, backup storage, processes and redundancy planning in case the backup itself is lost. Typically all this information was stored in a hierarchical form, in chronological order. Searching and finding information in these devices is next to impossible.
Enter a new way of storing information on elastic, infinite storage mediums on the cloud, which are well leveraged by tools like Vaultastic, to simplify the entire strategy of having a copy of the data in a separate operational infrastructure with guaranteed durability.
Once all your data, from the beginning of time is available to you, indexed and accessible in seconds, without needing to restore or locate tapes, you have ALL your information on a tap and have achieved 100x gains in productivity.

One of the most heavily worked team at Mithi is the Migration team, who, during on-boarding is always at work figuring out ways to transport legacy data from the earlier mail platform to our platform. Typically when you use an email system for a few years, a lot of email data accumulates on the email platform. To move platforms, you would need to pull out all that data from the earlier system and import it into the new system. Considering that most systems have controls in place to slow down large scale data outs, this process can take anywhere from 1 day to a few months. In a subtle way it leads to vendor lockins and customers resist migrations for this reason.
We propose that you keep a copy of every mail in an alternate operational infrastructure on the cloud. This means that during migrations or even during planned downtimes, your users can access their mail from the cloud. And you need not migrate any mail from the earlier system. Simply start afresh and refer to older mail on the cloud.
Don’t worry, Vaultastic has no vendor lockin mechanism. We’ll speak about how its easy data in and easy data out with Vaultastic.
After interacting with 100s of customers and learning from our experience of developing and delivering a core email platform to enterprises, we were to able to distill our learning into a set of best practices for simplying, securing and better managing email data.
The essence of email archiving is to ensure that a COPY of every mail sent and received by all users is stored on the archival store in the cloud. This copy should happen BEFORE the mail is delivered to the end user (in line archiving). Based on the policies applicable, different users can be given role based access to the Archive consoles
A separate operational infra gives you an additional layer of safety since you now have a copy in another lcoation. In addition, knowing that a copy of your data is available elsewhere, you can freely trim your data on the primary mail platform to gain efficiencies.
The cloud platform takes away all the heavy lifting of building a reliable and high performance infrastructure to support the archival application. The most important piece of technology here is the elastic storage, which gives immense flexibility to scale automatically on demand. There is a deliberate movement of IT workloads to the cloud and for good reason. The days of in premise are over.
The cloud storage infrastructure is the most safest storage platform available today. With guaranteed uptime of the infrastructure and this extremely high durability, you are assured that once you put data on the cloud, you can forget about it. Forget means, no need to maintain or backup etc.
Another big advantage that cloud has to offer is the tremendous on-demand compute necessary to process large data volumes

Also available as a dedicated private deployment for organisations sensitive to data residency rules, and/or wanting complete control over their data.
we have a run rate currently with Vaultastic where we are adding almost 3GB of storage per second, that is the run rate we have currently, so over here when they are saying why it is a true cloud application because Vaultastic’s rate of growth is accommodated without any prior provisioning of compute or storage, all these are growing and scaling as data is ingested and users are on boarded. It is almost magical, as data increases, go on provisioning. Cloud has allowed us to scale with ease, deliver reliability upwards of 99.9% and we are ready to accommodate your growth on demand. Vaultastic is a true cloud application.
Security, needless to say it is a top priority in data management solution, so of any public infrastructure, Vaultastic stretches every layer in the stack, right from the infrastructure layer of AWS to the peripheral layer of the application to ensure that the best practices are applied, to ensure all data access is locked down. I mean security is one of the top priorities for us. The security spans multiple layers and follows the shared security model of Amazon where they secure the infrastructure and we secure the application, so it is a combined effort.
Vaultastic works with any email solution, so be it O365, Exchange, Lotus Notes, Zimbra, any. In fact recently we have also added Salesforce as one of the platforms on which Vaultastic is integrated.
a lot of thought has gone into ensuring that we don’t block you at any point in time, after all you are trusting us with your data. By design we have ensured that there is an easy way to get data in and an equally easy way to get data out. We have provided controls on the self service portal to allow users to extract information themselves. Like I talked about DIY system and if you need bulk data and inter capacity falls short, we can also use AWS snowball to copy data and ship it to other locations. So we can physically also shift large amounts of data.
In a sense, it is what we call as, Father of Search. Every mail in the archive store is indexed on the various attributes of an email from the headers and messages body. Certain users in the system are given access to this tool which allows them to run almost any combination of queries across the mailboxes of users to gain insights and learn more about the organisation. So what we are saying is, let’s say there is an administrator who has been given the rights, he can actually search across mailboxes for information.
In any given organisations, you have people with different profiles and different requirement. So you can mix and match those plans. So you pay only for what you are using. So we are not saying that you have a single plan across all users.
In essence it is the father of Search. Every mail in the archive store is indexed on the various attributes of an email from the headers and message body. Certain users in the system are given access to this tool, which allows them to run almost any combination of queries across the mailboxes of users to gain insights, and learn more about the operations.
Virtually any combination of fields can be used to fire up a query. Ediscovery is a powerful search which supports boolean, grouping, partial matches, exact matches, date ranges, and many more. Behind this is a powerful highly scalable index which keeps track of every mail in the storage and can show the results in a few seconds, no matter how old the mail is.
A cloud email solution offers an inline archive, where it stores primary and archived mailboxes in the same single environment. Thus making it more difficult to switch to another email environment or use tools offered by others – essentially leading to a vendor lock-in.
Getting data IN is quite easy and builds up over time, but when you need to change your mail platform, you need to extract all the information in a short span of time, which makes it very challenging.
Therefore storing archived email data in a separate platform and location, supports not just compliance and regulatory requirements, but also frees you from getting locked-in to a particular mail platform.
