Participating at preparing Brand Guidelines Ministry of Public Health Doha- Qatar.
Provide the production control of all the components in multi-media projects including
brochures, magazines and other publications within the establishment approved Brand
Guidelines.
Working closely with project managers, the preparation and maintenance of specific control
documentation such as assets lists, maintaining quality of all assets produced and reporting
on production progress as required.
Ensuring the printing materials to match the best known quality standards.
Project set-up.
Responsible for all aspects of production and implementation for all types of major
publications, including brochures, magazines and other publications.
Assist project manager with the planning and preparation of projects – produce project
documentation as required (e.g. flow charts); attend project meetings; liaise with clients and
writers; obtain and record information.
Manage all aspects of production with stakeholders on timeframes for delivery and maintain
the current status of all projects identified at all times.
Controlling production components.
Compile in agreed layout; provide and include file naming conventions.
Obtain and record specifications for all assets – sizes and format of graphics, sound files,
videos, illustrations.
Liaise with subcontractors – obtain quotes and timescales; book studios; prepare
documentation and brief, answer queries, progress chase.
Arrange in-house work– prepare documentation and brief graphic designers.
Programmers, answer queries, progress chase.
Check quality of all assets received from both internal and external sources – graphics,
audio, photos, illustrations and video. Arrange necessary corrections/ reproduction, liaise
with project manager/ writer/ client where necessary.
Prepare material received – size photos and combine into graphics, edit and name audio
files.
Create graphics as required – take account of context and tools (question player etc.) and
use appropriate software.
Store and retrieve assets – ensure files are correctly named; place files in correct location;
update and move files as necessary, direct users (project team) to appropriate material or
files.
Assist with the directing of audio recordings, video and photo shoots as necessary attend.
Sessions, provide scripts, advice on style and quality.
Provide updated information about Publications as requested.
Others
Manage and actively participate in all aspects of advertising, Printing, signage production,
outdoor marketing, events, conferences and exhibitions production and installation.
Planning and organizing production schedules
Assessing project and resources requirements
Estimating, negotiating and agreeing budgets and timescales with clients and managers
Determining quality control standards
Organizing, controlling and monitoring the production flow process to produce a high quality
products according to company quality standards.
Conducts study and analyses production flow process to maximize production with minimum
lead time
Selecting, ordering and purchasing materials
Organizing the repair and routine maintenance of production equipment
Ensuring that the production is cost effective.
Working out the human and material resources needed.
Liaising among different departments, e.g. suppliers, managers.
Working with managers to implement the company's policies and goals.
Ensuring that health and safety guidelines are followed.
Facilitates on site visit of equipment supplier's engineers and technicians
Study and identifies new trends of the market and checks possibility of adapting the same /
new technique and refer to higher level for approval.
Provides recommendation for any new information acquired from outside that can be useful in
improving the production.
Acquires formal studies and training related and beneficial to work
Handle all production jobs of the organization
Prepare Quotations.
Issue Invoices and LPO’s
Coordinate with suppliers to initiate and complete all production jobs.
Handle one or more major clients on day to day basis.
Prepare & execute advertising plans.
Present creative work to clients.
Coordinate Client's work within the Agency and with 3rd parties.
Work under pressure within a Team with no time limit.
Help manager in all work required for existing and new clients.
Report regularly to Managing Director.
Propose and manage production budgets; negotiate bids for outsourced services and resolve
budgets on a regular basis
Negotiate, procure, and manage materials and supplies; maintain relationships and accounts
with key vendors, suppliers and clients
Interface with designers, suppliers and vendors for production of all needed collaterals, stands,
signage, etc.
Plan, circulate, and implement detailed production schedules for event, communicating with
key personnel and coordinating meetings as needed; work with internal teams to produce
event plans, layouts, and technical documentation
Liaise with clients and vendors to secure permits and permissions for installation of collaterals
Provide Supporting & Cooperation to the following sections:
Protocols & events, Media, Internal Communications, Contracts and Procurements, Finance
and HR
In addition to the secretarial work as the following:
Excellent dealing with the different Archiving programs.
Making and updating a full DATABASE for the establishment.
Preparing Daily reports following the work progress all over Company.
Preparing the weekly, monthly, annual progress reports.
Preparing Minutes of meeting of all meetings that take place in Company.
Regulates the movement of incoming and outgoing transactions (Regular or Secret). Preparation of
letters, reports and memos (Regular or Secret). Management of oral and written communication.
Opening of files and keeping retrieve (Regular or Secret) documents when needed.
Welcoming visitors and directing them.
Arranging interviews and meetings for guests with the Manager.
Following-up the Manger Orders and instructions, and Submitting it in the case of non-
implementation.
Preparation of courtesy cards and letters of condolence and congratulations on different occasions, and
opening file to companies, institutions and V.I.P persons.
To gather all data and statistics about office activity in order to manage it, whether locally or
internationally.
Following -up incoming letters and faxes. Preparation of tenders and Call of agreements.
Doing different typing & printing as the following:
Outgoing letters issued other Departments or outside the Company and filling it in its own fills.
Instructions, orders, administrative decisions and circulars issued by the senior Management or by the
managers of Managements.
Weekly progress reports in accordance with the instructions of engineers.
Director’s different internal memos, instruction, and orders.
The monthly progress reports in accordance with the collected data.
