• Secretarial coverage, maintaining calendar and responding to inquiries on Vice
Chairperson’s behalf. Schedule and confirm meetings and appointments. Maintain
confidential records. Heavy phone interaction. Screen direct calls to staff as needed.
Check voice-mails and e-mail promptly.
• Payroll – Prepare time cards and sessional call sheets including necessary support
documentation to be forwarded to appropriate areas for signature and payroll
Department in a timely manner. Track reimbursements for CME leaves and DEA
renewals.
• Arrange weekly Grand Rounds Meetings: Speakers, Breakfasts. Attend yearly CME
Meeting with Einstein CME office for updates on forms and policies. Take Minutes for
Monthly Business Meeting.
Facilitate the accurate and timely transmittal of information between staff and other
Hospital Departments.
Prepare forms for FMLA leaves, modifications or termination of employees for the
Administrative offices at PAGNY.
Arrange and coordinate all departmental events such as retirement luncheons,
congratulatory or award recognition parties including shopping for gifts, collecting
monies from staff, coordinating food and supplies. Order and keep inventory of all office
supplies. Open and distribute mail.
