Effective Communication Skills
Introduction
Communication involves the exchange of information among different parties. These parties must understand each other in the process and agree to take the required action regarding the information, or the recipient should be able to use it effectively. Therefore, a person relaying the information must portray practical communication skills to ensure that communication passes effectively to the recipient. One should learn to use these communication skills effectively to communicate his/her ideas effectively. This paper discusses these communication skills that one needs to learn and use to deliver information effectively.
Communication Methods
People communicate through two main methods; verbal and written. Regardless of the way used, the information should clear. Also, the choice of the process to use depends on the information that one wants to pass to the recipient. One should understand the circumstances in which to use each of the communication methods.
Important verbal Skills for Effective Communication
Skillful communication guarantees the effective relay of information from one party to another. The following are some of the essential communications skills required to communicate effectively using either of the mentioned methods.
Active Listening
One should be an effective listener for the communication effectively. They should listen to other speakers, decode their information, and reply accordingly regarding the discussion context. The skill also allows one to understand other speakers' needs (Gluyas, 2015), summarize them, and attend effectively. One should learn this skill and practice them effectively to make them part of their daily conversation or communication.
Non-verbal communication cues
Pure words do not guarantee effective relaying of information from the speaker to the recipient; non-verbal communication cues enhance the message that the speaker is trying to relay. These cues comprise body language, which impacts how others interpret what is said and their attitude. A speaker should pay attention to the gestures they make, facial expressions, and body language to ensure that they are aligned to their relaying message (Thompson, 2018).
Understand the audience perspective
Speaker and the audience link together in different ways. Before deciding to give the speaker their time, the audience must know the information they want from the speaker. There the speaker should understand the audience's perspective and try to understand how they see the information. He should understand areas in the information that might be challenging to the audience and simplify them for easy understanding (Gluyas, 2015).

Vocal tone variation
3. This skill is another very essential skill to the speaker
communicating to a large group audience. A speaker should
keep their audience engaged throughout the presentation.
Audiences get bored when the speaker is not able to engage the
audience in their presentation. Also, the audience may try to
interrupt the speaker by making unnecessary movements or
talking to each other(Buluş, Atan, & Sarıkaya, 2017). To avoid
such embarrassing moments speaker should employ tonal
variation to engage the audience. He should use voice
inflection to emphasize the critical points and also utilize pitch
variation to express emotions. This skill is learnt through
studying the audience demographics and using the variations
that will get them engaged.
Confidence
Speaking with confidence enables one to build trust and
command the respect of the audience. One way to build
confidence is to have substantial knowledge and ideas on the
topic one is communicating. Also, confidence enables the
speaker to engage the audience throughout the presentation.
Factors that impact one’s ability to speak confidently include
command of the subject matter, word choices, voice's tone,
body language, and ability to make direct eye contact with the
audience. One should build these skills through constant
practice through their communications or presentation.
Thoughts organization Prior to Speaking
Before making a presentation, the speaker should arrange his
thoughts effectively. The process involves preparation for the
presentation through thinking and making notes that will guide
during the presentation. After completing making notes, the
speakers should also try to organize the mind's thoughts before
speaking.
Written Communication
Written communication is another crucial method for relaying
information from the communicator to the recipient; for
effective communication, one should employ the best skills that
will engage the audience and make them grasp the information
4. quickly. The following are essential skills that a communicator
should have to communicate effectively through writing.
Clarity
The clarity enables the reader to understand what one is trying
to communicate through. One should learn how to write in
simple language and sticking to concrete and specific
information. The reader or the audience should not spend their
time trying to understand the information conveyed in writing.
One should learn to create clarity in their message by ensuring
no ambiguity in their writing.
Conciseness
The writing one is trying to convey should be as concise as
possible. It should not contain massive unnecessary tests that
can make intended information hard to get in the process. The
aim of ensuring conciseness is to ensure that the reader can get
the intended message quickly and effectively. Therefore, the
writer should only include the required information in their
writing.
Use the right tone to write effective communication
One should understand the context of the information they are
relaying and try to use the proper technique to communicate
their thoughts. The style is used to engage the readers as they
go through the entire text to get the information they want to
pass. To effectively learn a skill, one should understand the
different contexts and the purpose of writing.
Learning the Skills to Communicate effectively Through
Writing
Learning writing communication ensures that you improve the
communication process and clarity of the information you are
trying to convey. One should understand some of the skills
regarding writing and effective communication. First, the writer
should realize the goal of their paper. The skills help the writer
to keep focus and clarity in the entire writing process
(Thompson, 2018). Second, the writer should limit the writing
details to only the required information, ensuring that only
useful information is included. Third, the writer should use the
5. outline to guide in organizing the points to convey in their
writing. The system also ensures that every moment in writing
is presented logically.
Conclusion
Communication is the most critical and essential process that
ensures that information is conveyed from one point to another.
Verbal and written communication are the two most commonly
known forms of communication. One is required to have the
right skills to use these forms effectively. They should take
their time to learn every skill associated with each method to
understand how to present their ideas and communicate them
effectively with clarity.
