Today we are going to discuss how to complete your TO DO list everyday and we’ll also find out just how good you are at multi-tasking.
Everyone has the same amount of time in a day. What sets people apart is how they spend that time.
Flipchart: What do you think you spend the most time on in a day? Do you really know?
Exercise: Track your activity everyday for 2 weeks, no judgement-be honest. (write down every time you switch activity)
Clump into like categories. Add up time and %. You might be surprised??? Check back

Multi-Tasking…we all do it. But is it efficient? Let’s see…This sentence has 27 letters. Let’s try a multitasking exercise
First: write out the sentence and then write the numbers 1-27. I will time you 30 seconds. (share how far each got in the exercise)
Now, combine the 2 activities: write the first letter and then the first number and do that for each letter and number until 30 seconds is up m,1,u,2,l,3,t,4….

Only 24 hours in a day. Can’t get more hours, can only do more with it.
Successful people have figured out to how to efficiently focus and manage their time and energy-including NOT multi-tasking
Remember we agreed when we started that no one finishes everything. Successful people don’t either…but they finish the important things.

Once you have said no, then you need to take some time to plan how you will prioritize and complete the most important things.
Variety of planning processes available
Focus on abcde
Determine priorities based on urgent vs important
Explain abcde meanings and then get examples from the audience.
A=critical to achieve your goal and significant consequences if not completed on a timely basis-usually big, take time but have an impact
B=need to do but not a top priority, consequences of not doing right away are limited
C=can be done today, tomorrow or next week without significant consequences
D=someone else could do it satisfactorily (well enough) and would allow you to focus on the A’s and B’s
E=is this something that needs to be completed at all; be tough here
You will probably have more than 1 A item, so how do you decide which to start with?
Everybody has an hourly rate.
Annual salary/2000hrs (avg hours worked/year)
Would you pay someone your rate to do all of your tasks?
If the answer is no, look at those tasks as potential to delegate or eliminate
How important are they?
Within abc-breakdown and prioritize so always doing most important thing first
How do we do that? Evaluate which activity is most important to achieving your goal. Label A-1 (refer to slide), A-2, A-3 until all activities are labeled. Move on to B…
