Position Description
POSITION TITLE: Project Coordinator
REPORTS TO: Clinical Manager
POSITION SUMMARY:
This position is responsible for coordinating project management duties. This includes, but is not limited
to, project planning and data collection, evaluation and submission to promote compliance with standards
related to Meaningful Use, PQRS, including activity with registry, ASC Quality Measures, GIQuIC, and
ICD-IO. Coordinates Electronic Medical Record (EMR) training activities and queue management for
gPortaL Other duties may be assigned by department managers to promote efficiency, enhance customer
service or meet regulatory requirements.
PRINCIPLE ACCOUNTABILITIES:
I. 80% - Coordination of regulatory compliance functions such as Meaningful Use, PQRS, ASC
Quality Measures (ASCQM) and lCD-to. Provides project planning and implementation.
Monitors and forwards gPortal messages regularly. Updates Electronic Medical Record
(EMR).
2. 10% - Participates in or leads committees and/or training.
3. 5% - Provides support with Centricity schedule/template tasks and assistance with Quality
Assurance Performance Improvement (QAPI) activities, as assigned.
4. 5% - Other duties as assigned.
DETAILED RESPONSffiILITIESIDUTIES:
1. Overall responsibility for regulatory compliance as it pertains to the strategic goals ofthe
Practice. Facilitates policies, processes and timelines that support federal regulatory compliance.
Responsibilities include:
a. Developing/maintaining timelines for all regulatory compliance projects.
b. Facilitating the choice ofnecessary measures and monitoring data collection based on
timelines.
c. Training of staffand providers on data entry steps.
d. Utilizing critical thinking skills to identify problems in data collection and facilitate
solutions that require the least disruption to remedy the issue(s).
e. Ensure data is submitted in required form and by required deadline(s).
2. Monitors gPortal messages regularly throughout each business day, responding to sender and
forwarding messages/tasking appropriate staff/provider to follow-through with patient.
3. Provides support with Centricity schedule/template tasks.
4. Data collection/report creation for Quality Assurance Performance Improvement (QAPI)
activities, as assigned.
5. Set up and manage networked computers and accounts, troubleshoot and resolve network

2. problems. Maintain network interfaces such as VPN, PacLab and Cellnetix. Set up, implement
and maintain Practice website, gPortal and assist IT Specialist I as directed by GA's IT
consultant.
6. Maintains detailed inventory of all IT equipment including maintaining computer/
software licensure documentation as directed by GA's IT consultant.
7. Serves as EMR resource for providers and staff, working with the IT Specialist I and/or GA's IT
consultant to make necessary additions/updates to gMed software and address gMed issues,
particularly as they pertain to regulatory compliance data collection.
8. Monitor databases resource usage and recommend hardware/software changes as needed.
Apply/install new hardware, software, updates and configure changes to EMR
and other applicable IT resources.
9. Directly communicates with vendors and other practices regarding IT related issues,
troubleshooting, demos and networks as directed by GA's IT consultant.
10. Handles special compliance projects, as needed.
11. Implement new strategies with minimal disruption.
12. Proactively stays current on regulatory requirements and use of all necessary programs/systems.
13. Ability to organize, plan, and prioritize work while paying attention to detail.
14. Create timeline for getting projects completed to meet deadlines.
15. Gathers data, validates, checks and prepares reports as required.
16. Assists in training needs assessment and provides communication/training as needed.
17. Ability to use EMR and registry based programs to manage information, input data, retrieve
specific records, and create reports to communicate the information.
18. Ability to communicate effectively with physicians, non-physician providers, and co-workers.
19. Maintains patient confidentiality and right to privacy. Observes HIPAA guidelines regarding
protected health information. Maintains strict Practice confidentiality.
20. Sets a good example for co-workers in all aspects ofperformance. Strives to maintain and
improve cohesiveness and teamwork throughout the practice. Models and encourages behavior
consistent with GA's Mission Statement.
21. Knowledge ofcommon safety hazards and precautions to establish a safe work environment.
Makes judgments and takes appropriate actions regarding safety issues and notifies supervisor of
safety issues promptly.
22. Participates in meetings, and annual WISHA and HIPAA training, as indicated.
23. Other duties may be assigned by department leads, managers or health care providers to promote
efficiency and enhance customer service.
MINIMUM QUALIFICATIONS:

3. • Ability to speak English clearly as well as understand and follow oral and written instructions
• Ability to handle multiple projects and priorities
• Must have strong verbal and written communication skills and ability to lead in a team
environment
• Demonstrated ability to maintain strictest confidentiality in all aspects of work
• Proven analytic and organizational skills with high degree ofcompetency
• Advanced computer skills including: ability to use a computer application to enter, manipulate,
and format text and numerical data; insert, delete, and manipulate cells, rows, and columns; and
create and save worksheets, charts, and graphs
• High School/GED education required
• College education preferred
• Prior medical office experience preferred
ESSENTIAL FUNCTIONS:
Typical Physical Demands: Requires prolonged sitting, writing, use ofphone and computer, up to 8
hours/shift. Requires the ability to intermittently lift and carry up to 25 lbs 2-4 times/shift. Requires the
ability to use office equipment such as computer terminal and keyboard/lap top, printer, photocopier, fax
machine, calculator, telephone, postage machine and video conferencingleducation equipment. Requires
normal vision and hearing range. Requires eye-hand coordination and manual dexterity. Requires the
ability to distinguish letters or symbols. Requires use ofnormal to quiet tone ofvoice. It is necessary to
view and type on computer screens for long periods and to work in a sometimes stressful, fast-paced and
dynamic environment.
Typical Working Conditions: Work is performed in a medical office environment. Daily interaction
with physicians, office staff, mail courier and other community medical practices and/or businesses.
